Client Relations - Co-Owners, Residents, Guests and Visitors: • Interact in a courteous and professional manner with co-owners, residents and guests. • Effectively answer phones and other communication for both external and within the building. • Greet visitors in a courteous and professional manner and assist as protocol requires. • Effectively coordinate deliveries of packages, flowers, and restaurant food deliveries. • Timely distribute messages throughout the community. Administrative Duties: • Receive, sort and forward incoming packages. • Ensure packages are logged in timely and accurately. • Ensure packages are signed for at time of distribution. • Maintain package room in a neat and organized manner. • Track unclaimed packages and follow up with resident. • Lost or damaged packages must be immediately reported to supervisor. • Log the person before your shift and log in to Buildinglink with your information • Read shift log for any notes associated with the package room. • Log in any perishable packages first. Log them in under perishable and scan the tracking number under the comments section. Send the notification to the resident it is sent to. Place the package in the refrigerator with the unit number and date written on it. Make note on refrigerator door of the unit it goes to. • Log all other delivery packages into the system with the unit number and tracking number. Put unit number and date on package. Place the package in the corresponding floor number. • After all packages are processed and organized, audit any packages that need to be returned to the sender and log them into the return binder with the appropriate information. • Lost or damaged packages must be logged in the binder and immediately reported to supervisor. • Monitor office supplies and place orders when necessary, with the front desk. • Ensure package room work area is maintained in a professional and clean manner during shift. • Review daily front office procedures and facilitate communication between owner and maintenance team / front office members. • Review and edit Building Link content management to ensure regular updates are being made. • Keep updated records and files. • Maintain package room bulletin boards (physical and electronic). • Perform all other duties as needed/assigned. Package Room Responsibilities: • Track work order status and close upon completion. • Provide status updates to resident as appropriate. • Generate monthly work order report and provide to supervisor for inclusion in Board Packet. Communication Protocols Administration • Complete activities as outlined in Communications Plan. Qualification & Requirements: • Proven experience or relevant position. • Must be able to clearly convey information through verbal communications. Strong people skills a must. • Ability to prioritize tasks. • A High School Diploma is required. Additional education will be a plus. • Familiarity with office machines (e.g., computer, fax, printer, copier, etc.) • Intermediate or advanced knowledge of Microsoft Office products, specifically Outlook, Word, Excel and PowerPoint. • General knowledge of Internet use and using Internet browsers. • Proficient in English (oral and written). • Good organizational and multi-tasking abilities. • Problem-solving skills. • Attain and maintain full working knowledge of all Brittany operating policies and procedures. • Attain and maintain a working knowledge of BuildingLink Software. • A driver's license may be required.
