This position is located in Police Service and performs duties to assist one individual, and in some cases the subordinate staff of that individual, by performing general office work to the work of the organization. The position is the principal clerical or administrative support position in the office, operating independently of any other such position in the office. The incumbent is responsible for preparing correspondence, documents, and reports. Responsibilities Performs the full range of clerical and administrative support functions of the office. Receives and screens visitors and telephone calls. Escorts and refers callers to proper personnel. Monitors correspondence. Responds to routine and nontechnical requests for information such as status of reports, suspense dates for matters requiring compliance. Reviews documents prepared for signature. Use various types of office automation systems such as word processing, databases, and graphic software. Use email to transmit and receive messages. Responsible for proper spelling, grammar, format, and arrangement of materials. Use office automation to prepare correspondence, documents, and reports. Perform file management such as maintaining email, calendar, spreadsheets, and database management. Work performed requires the service of a qualified typist. This position requires a qualified typist. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/27/2023. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: controlling all incoming correspondence and action documents; maintaining files and records; receiving visitors to the office, including all appointments; arranging for meetings or conferences; typing correspondence, reports, and record in final forms from rough drafts; and ensuring correct punctuation, capitalization, spelling, grammar and conformance to style. AND Additional Minimum Requirement Proficiency Requirement: This position requires a qualified typist. A qualified typist can type 40 words per minute based on a 5-minute sample with three or fewer errors. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Physical Requirements: Workload is varied and requires some extended periods of standing, reaching, bending, stretching, walking, and carrying light items, such as papers, books, small parts, or driving an automobile. Additional Information Receiving Service Credit or Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. Selected applicants may qualify for credit toward annual leave accrual, based on prior work experience or military service experience. This credited service can be used in determining the rate at which they earn annual leave. Such credit must be requested and approved prior to the appointment date and is not guaranteed.
