Role and Team
Reporting to the Mechanic Shop Manager or designated manager, the Mechanic Shop Clerk will perform clerical duties, such as ordering parts for the mechanic shop, as assigned in accordance with corporate guidelines.
Must know, practice, and ensure that company policies, procedures, and applicable state and federal laws are followed always.
Responsibilities
Perform various general administrative duties including data entry, data verification, preparing reports and correspondence for the supervisor/manager
Create and maintain customer files, both digital and hardcopy
Order parts according to approved estimates and repair orders scheduled for the mechanic and body shop
Track and prepare parts received
Must be familiar with customer account contracts and knowledgeable of pre-authorized amounts for repair transactions as described in the account contract
Post repair and parts transactions to vehicle account in V-Trace, i.e. mechanical repairs, process customer billing, parts, PSI's, etc. and print reports
Compile information needed for various reports and assist in coordinating project-oriented duties at the discretion of the supervisor
Communicate with other departments to ensure repair transactions are authorized
Respond to customer inquiries pertaining to vehicles
Set up estimates and appointments with outside vendors/sublet services
Process payments to vendors for parts and services for shop
Post updates and estimates in the ADESA Inspections Portal
Meet monthly and year end deadlines for supply inventory reporting to accounting
Conduct or assist with shop inventory
Scan, code, and audit invoices for payment
Provide accurate, friendly quality service to customers when processing customer transactions
Ensure all shop area conditions are not a potential threat to employee or customer safety
Employee(s) will be required to follow any other job-related instructions and to perform any other job-related duties requested by any person authorized to give instructions or assignments

• Our Restaurant Reservationists are responsible for all reservation bookings, requests and confirmations during their day. Summary of Position
As a reservation agent, you will be a vital part of our reservations department, responsible for handling reservations inquiries, assisting with booking accommodations, and providing valuable information to enhance our guests' stay.
Roles and Responsibilities
Providing excellent customer service to all guests and taking reservations using proper hotel verbiage, ensuring to adhere to hotel standards
Accurately inputting and organizing reservation information via rooming lists, internet, travel agency requests, sales department, and reception with appropriate follow up
Accommodating in-house guest requests, ensuring a high level of guest satisfaction
Maintaining accurate logs of special requests and ensuring that requests are blocked in PMS or front office system
Answering and directing in-bound calls to the hotel and frequently using email and fax systems, coordinating and responding to mailed correspondence
Understanding the selling strategy for the hotel by knowing the status of room inventory and following it
Processing rooming lists accurately as well as all changes and cancellations for group reservations
Preparing group guest lists prior to arrival
Controlling and blocking rooms as well as pre-blocks for special groups
Ensuring that all reservations transferred to PMS or front office system are accurate
Aggressively selling hotel rooms to maximize transient room revenue using up-selling and yield management techniques per company policy
Memorizing hotel facilities and giving clear directions to the hotel for inquiring guests
Coordinate required departmental training for reservations team to include newly hired agents
Coordinate attendance of scheduled departmental meetings in the absence of the manager
Act as the main resource for reservation agents in need of assistance
Be the primary liaison for internal reservation communications from Sales, Executive Office, Group and Revenue Management Team
Qualifications
High school diploma or equivalent required
Minimum of two (2) years' experience in a customer service role required
One-year experience working either at the front desk or in the reservations department for a luxury hotel
Knowledge of hospitality sales, marketing, and other revenue management functions to include research, planning, market positioning, market segments, internal marketing, distribution channels, sales management, reservations, and yield management.
Excellent telephone etiquette and verbal and written communication skills required
Good cognitive skills; the ability to solve problems and make rational decisions
Knowledge of Microsoft Office products such as Word, Excel, and Outlook required

BASIC PURPOSE: Handle all telephone inquiries and reservations accurately and efficiently by answering the telephones courteously, promptly, and professionally while promoting hotel services and ensuring maximum room revenues.
ESSENTIAL FUNCTIONS:
1. Answer telephone promptly and courteously. Enter guest reservations into the computer system quickly and accurately segmenting reservations into the appropriate category while using the hotel's selling strategy and knowledge of all rates, package plans and hotel services, in order to close out sale and up sell the hotel as appropriate.
2. Maintain good relations with all guests and know and implement procedures for giving special attention to VIP's & Special Club members.
3. Maintain a working knowledge of the sales and front office areas, credit policy, different room types and hotel services.
4. Monitor, sell, report closely and attempt to obtain alternate date reservations for all closed out dates by utilizing the wait list
5. Change and cancel reservations as guest request. When canceling a reservation with deposit, complete an advance deposit refund requisition.
6. Take reservations for suites, properly filling in necessary information following credit policy. Block rooms accordingly and distribute worksheet to departments involved.
7. Review group cover sheets to ensure accuracy and enter information into the computer system.
8. Report rate resistance and all problems to Director.
NON-ESSENTIAL FUNCTIONS:
1. Answer letters, send brochures and information in response to guests' request.
2. Be familiar with duties of Director, Sales such as forecasting, coding, closing out and restricting dates.
3. Participate in hotel committees and task force opportunities.
Knowledge and Skills:
Education: A high school education or equivalent experience. Further education is desirable.
Experience: Previous data entry and telephone experience is helpful.
Skills and Abilities: Must possess telephone communications skills in terms of the ability to negotiate, convince, sell and influence potential hotel guests. Ability to operate a computer.
