Be familiar with building functions, processes, amenities, and residents and staff to provide a welcoming and helpful environment Answer and route all incoming telephone calls Serve as the first regular, day-to-day support for Independent Living residents, including: Assist with questions and needs, directing them to the appropriate staff or resources Manage sign-up sheets for events Scheduling reservations for building spaces Submit maintenance and service requests Communicate resident concerns to Independent Living staff Serve as a welcoming host to guests of Administration and Senior Living Advisors Respond to requests via email Handle monetary transactions and record keeping as requested, including: Receive and manage Fitness Center membership payments Petty cash Receive and forward resident payments Event Center invoices Rate letters AL meal ticketing Oversee all aspects of mail service for The Cedars Receive, sort, and distribute incoming mail and packages to various departments and residents Maintain postage equipment and serve as liaison to service vendors Maintain a supply of forms Manage office supplies, equipment, and keys and keep ledgers accordingly Procurement, inventory, and organization of supplies Coordinate office equipment maintenance and operation Managing Fitness Center logistics, including new membership forms, pool scheduling, tours, room checks, and assisting staff/residents as needed Provide administrative assistance to Executive Director as requested Assist Accounting office as requested, including mailing resident rate letters and managing event center invoicing Gain and maintain Notary Public licensure and provide Notary Public services Process overnight guest reservations, payment, and corresponding communication Create, manage, and organize secretarial details as requested for AL and HC, including AL calendar and meal ticketing Coordinate communication as requested, including maintaining bulletin boards and posted signage Maintain resident directory for all levels of care, including move-in/move-out records Manage IL newsletter print distribution Assist in scheduling, set-up, and other details for the Wellness Center and Event Center Print all publications and other materials as directed Manage lost and found process/storage Manage Bluestem gear inventory, storage, sale, and distribution Maintain Christmas and special occasion decorations Participate as assigned in Safety Plans, including response to incidents or emergencies Collaborate with other Bluestem Communities welcome desk personnel Qualifications Qualifications and Experience: Must be at least eighteen [18] years of age Must have outstanding customer service skills The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, detail oriented, organizational skills, and the ability to maintain a realistic balance among multiple priorities. Physical Requirements: Light Work - Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently. Requires walking or standing to a significant degree; or requires sitting most of the time but entails pushing and/or pulling of arm or leg controls.
