About the Role
As the Front Office Receptionist, you will be responsible for providing care to patients as a member of the care delivery team. You will keep the medical practice running efficiently by performing administrative and clinical functions within patient flow aligned within established Practice Management Guidelines. As part of a cross-functional team, you will work directly with a team of Medical Assistants and Medical Receptionists reporting directly to the Practice Operations Supervisor. You will own responsibilities in a fast-paced environment working within a paperless environment. Responsibilities include taking vitals, rooming patients, cleaning rooms, assisting with procedures, while focused on providing patients with excellent medical care.
You will focus on:
Greeting and registering patients for their appointment; providing the necessary paperwork, confirming and/or updating insurance coverage and patient demographic information
Collecting patient balances and co-pays, appropriately tracking and recording all payments collected and assists patients with their benefits questions
Supporting incoming calls and other office correspondence, including scheduling and confirming appointments, triaging calls for clinical team

This practice is owned by a board-certified, well-respected, fellowship-trained plastic and reconstructive surgeon, and caters to an elite clientele, where thousands of procedures have been executed with the most natural and impressive results, while maintaining a down-to-Earth family-focused office setting. This practice specializes in plastic surgery along with non-surgical procedures including but not limited to dermal fillers, lasers, and more.
The winning candidate must be willing to work in a sleeves-rolled, hands-on fashion, doing "whatever it takes" to help the team grow. There must be a focus on driving sales and results, coupled with a strong desire to implement and sustain organization and efficiency throughout the practice. There is a need for the winning candidate to be comfortable and capable working with a team of tenured front and back office employees. Responsibilities:
1. Sales - assist prospective patients in making comfortable and confident decisions to undergo surgery and non-surgical services through extensive phone conversations and live consultations. 5 days per week will be focused on selling, driving inquiries to purchase, and other sales-related functions. Comfort with quoting and asking patients to proceed with procedures and treatments ranging from $5,000 to over $40,000.
2. Follow-Up - consistently contact 50-100 patients each day, five days per week, through "pleasant persistence" is required. The ideal candidate loves sales, working with people by phone, face to face, and over email, and enjoys contacting hundreds of people per week, year round, and is lightning quick on a computer.
3. Additional Responsibilities:
Organization - Task orientation, timely completion of assignments, and an innate desire to “get things done”. Knowledge of medical software, such as Nextech, Patient Now, Modernizing Medicine, 4D, or Nex Gen is preferred by not required.

Intake Department Assistant responsibility is to provide support to the Intake Department through the referral coordination process.

Responsibilities include the following:
1. Responsible for transcribing all applicable information from the Intake Referral Form and patient information received from the referral source into the computer system correctly.
2. Handles all faxes incoming to Intake Department and distributes appropriately.
3. Calls referral sources to acknowledge receipt of faxes as applicable.
4. Logs all new referrals according to the current process.
5. Re-verification of insurance and demographics on restart patients as requested.

11. Back-up and follows-up on insurance authorizations when necessary.
12. Participate in surveys conducted by authorized inspection agencies.
13. Participate in the pharmacy's Performance Improvement program as requested by the Performance Improvement Coordinator.
14. Participate in pharmacy committees when requested.
15. Participate in in-service education programs provided by the pharmacy.
16. Report any misconduct, suspicious or unethical activities to the Compliance Officer.
17. Perform other duties as assigned by supervisor.
Minimum Qualifications:
Must possess excellent oral and written communication skills, with the ability to express technical issues in “layman” terms. Fluency in a second language is a plus.
Must be friendly professional and cooperative with a good aptitude for customer service and problem solving.
Education and/or Experience:

Prototypes, a program of HealthRIGHT 360's residential substance use disorder (SUD) program is a new program contracted with Department of Public Health's (DPH) Substance Abuse Prevention and Control (SAPC) program for residential drug Medi-Cal (DMC) services for up to 99 adult men and women: 33 that are for men who are judicially involved, 33 for men, and 33 for women. The BHC's residential DMC program will employ 100 people and works closely with the other BHC programs to provide a continuum of services for low income/Medi-Cal population. The program is located on the campus of Martin Luther King Jr. Hospital in the Willowbrook area of South Los Angeles and will serve all LA County residents.
Assist the agency with day-to-day functions, which includes a rotation of frontdesk intake/ registration, welcoming clients, scheduling, assisting clients in enrolling in health insurance coverage, and work as a call receptionist for our administrative & clinic/behavioral departments. Helps clients enroll, answers questions about the program, assists in directing participants to designated areas for participation in activities.
Key Responsibilities
Intake Responsibilities: Actively engages in coordinating client flow. Schedules appointments and directs calls throughout the agency. Assists with enrolling clients into health insurance coverage. Makes follow-up calls for providers; calls to confirm “next day's appointments”. Greets and provides customer service to guests, clients, and vendors. Is able to work in a team-oriented environment. Orientation, training and supervision of volunteers on certain frontdesk responsibilities may be assigned.

Education/Experience:

Answer telephone calls promptly and courteously.
Retrieve voice mail messages and return calls appropriately.
Transfer telephone calls to other staff (e.g. nursing staff, enrollment staff or etc. accordingly) appropriately.
Make, cancel and re-schedule appointments as needed.
Consistently provide financial screening for all next day patient charts during the course of the workday.
Call all patients that need to provide additional financial information for their next day appointment.
Call all patient if upon financial screening review patients' medical home or Primary Care Provider (PCP) is not anchored with APHCV.
Assist patient in selection and changes of PCP at Health Centers and maintain up-to-date PCP assignment in NextGen EPM, and make a referral to Enrollment Unit if external PCP assignment change is necessary.
Provide Health Center information by reviewing the Patient Guide at the new patient registration and at annual screening/review process for established patient.
Ensure proper credit/payment is maintained on patient's account (e.g. perform cashiering duties, posting charges, prints out receipt, etc.).
Perform all opening and closing functions as required such as opening and closing of daily cash box, batching and posting encounters, counting and preparing daily deposit and all other necessary activities.
Turn on and turn off television in patient waiting area at appropriate times.
Maintain patient comment box i.e. supply of comment cards, retrieving comments periodically.
Ensure infection control by wearing mask when exposure is known i.e. when patient or self is coughing consistently.
Monitor and assure that clinic forms are replenished in a timely manner (e.g. patient registration forms, new patient welcome packet etc.).
Maintain an adequate paper supply on the photocopy machine.
Shred unnecessary printed Patient Protected Health Information and fee tickets on daily basis.
Attend and participate in clinic staff meetings and training: always come prepared with a notebook and a pen.
Assist in data collection for Clinic Operations performance measures.
Forward patient's concern and feedback to appropriate personnel within APHCV for resolution and optimization of clinic efficiency.
Perform any other duties as assigned by supervisor(s).

Speak clearly, distinctly and professionally on telephone and face to face patient encounters.

SUMMARY:
APHCV expects all Clinic Operations (CO) Staff to be a part of the revenue cycle process that contributes to the optimization of capturing, management and collection of patient service revenue.

Qualifications
REQUIRED:
High School Diploma and 1 year minimum working experience in front and back clinic office functions, patient scheduling and registration.
Must be able to materially perform the task normally associated with the position including but not limited to: ability to lift up to 25 lbs.
PREFERRED:
Knowledge of various health programs (i.e. FPACT, EWC, BCEDP, Medi-Cal, Medicare, etc.).
Proficiency in written and verbal English and targeted language.
Exceptional customer service skills.
Proficiency in PC/MAC - working knowledge of Microsoft Office applications, NextGen, Intranet and Internet.
