What Does A Front Desk/Office Manager Do At University of Wisconsin System

* This position is responsible for the daily front desk customer service interactions, budget maintenance, and administrative functions of the Admissions Office.
* The position supports and reports to the Director of Admissions while working cooperatively with professional staff and co-supervising and mentoring student employees.
* This person will be an active participant in following applicable safety rules and regulations including necessary training and drills.

* Co-supervise front reception desk customer service operations (35%)
* A1.
* Maintain an active front reception desk presence, co-supervising student employees who work as a first resource for customer walk-in, phone, and electronic inquiries.
* A2.
* Provide direct assistance and accurate referrals to all office visitors as needed.
* A3.
* Work with the Visitor Services Coordinator to oversee the daily campus tour schedule.
* A4.
* Oversee daily letter generation process for prospective student communications and handle information requests and returned mail.

* Serve as Admissions Office budget manager (35%)
* B1.
* Assist the Director in developing and monitoring budgets for various program areas including but not limited to: general office, recruitment travel, advertising, professional staff development, student employment, and publications totaling just under $200,000 in Services & Supplies.

* Recommend purchase of capital and non-capital expenditures, supervise processing of orders, and control expenses and encumbrances.
* B3.
* In coordination with Financial Services and Internal Audit, compile data for budget audits (for credit card transactions, application fee payments, credits and waivers, and for 2% tuition fee remissions).

* Order office supplies, coordinate equipment purchases, and complete maintenance requests.
* Maintain inventory of printed marketing items in cooperation with the Communications and Marketing Coordinator.
* Work with University Mail Room and Printing Services to mail various publications.

* Serve as Admissions Office administrative manager (30%)

* In conjunction with the Director, approve e-reimbursement for travel authorization and expense reporting for professional recruitment staff.

* Ensure accuracy of University, unclassified, and student staff hours and leave reports.
* Help coordinate new staff searches.

* Assist the Visitor Services Coordinator in developing and maintaining timekeeping reports and auditing of student employment hours.
* C4.
* Help maintain the Director's Outlook calendar by scheduling meetings and reserving rooms.
* C5.
* Serve as Campus Business Representative for Admissions, attend University-wide meetings as scheduled, and apprise staff of budget/administrative changes.

* Work with Non
* Resident Recruitment Coordinator on 2% fee remissions and meet budget parameters.
* Identify, code, certify, and submit undergraduate student database file when student is approved by the Minnesota Higher Education Services Office Reciprocity Program.
* Notify offices of Financial Aid and Student Accounts of students accepted for the tuition reciprocity program by the Minnesota Higher Education Services Office.

* Maintain a list of UW System student non-academic suspension notices.

* Develop and carry out an application maintenance system with the University Archivists for Records Retention Disposition Authorization.
