Receptionists operate the front desk switchboard, greets the public and provides information, represents UMC in the best way possible and monitors building and grounds to ensure proper security and safety conditions. Requirements for a Receptionist: High School Diploma or equivalent Two years of general clerical, telephone & typing experience. Some work experience as a security guard, watch person, firefighter or police officer preferred. Ability to operate a motor vehicle in accordance with company policy. Ability to use common office equipment such as: telephone, fax machine, computer and copier. Computer programs including MS Office and Outlook. Responsibilities for a Receptionist: Operates switchboard and answers all incoming calls in a timely/professional manner. Makes scheduled walkthroughs performing various activities such as turning off lights/fans, securing exterior doors, etc. and is alert to any breach of security. Processes all guest check-ins by confirming reservations in computer system verifying guest identity, requesting form of payment, assigning room, and issuing room key in accordance with property policies and procedures. Processes all check-outs including express check-outs, resolving any late and disputed charges, settling account, retrieving room key, and requesting comments on guest's stay. Accommodates requests for room changes when possible. Communicates to appropriate staff that there are guests that are waiting for an available room. Verifies and adjusts billing for guests. Sets up accurate accounts for each guest upon check-in according to their requirements (i.e., shares, separate room/tax/incidentals, comp). Assigns room according to guest request and preferences whenever possible. Informs guest of any messages (e.g., voicemail, mail, faxes) received for them, and send to room if required. Keeps track of changes in room status (e.g., early check-out, late check-out, room transfer, unexpected stay over) for Housekeeping. Set up, maintain and breakdown the continental breakfast and coffee station when appropriate and required by the Hotel Manager. Attend to guest needs, i.e. help with baggage, give directions, get blankets etc. To complete assignments as directed by the Hotel Manager. Must be able to lift a minimum of 15 lbs. Inform hotel guests of company policies and procedures. Utilizes knowledge of room dynamics, seating capacities and assignments Communicate to restaurant manager when inventory items need reordering. Controls and maintains all paper products and promotional material Answers the phone with proper phone etiquette and assist the guest with professionalism at all times. Communicate with the chef as to seating breakdown prior to each shift including special requests or large parties. Assists service personnel assigned or specified by manager. Verifies and checks in deliveries in absence of the restaurant manager. Seeks approval of bar and station cleanliness from manager prior to end of shift. Ensures the menus are clean and that a appropriate number of menus are available. Accepts payments, completes transactions and complies with all established check procedures. Performs and executes closing paperwork and deposits within established procedures. Has extensive knowledge of menu, daily specials, promotional offerings, and be able to convey overall knowledge of property events and locations. Must be able to work any shift Requirements Has 2-3 years of experience Organizational Skills: Ability to manage multiple tasks, prioritize effectively, and maintain detailed records. Communication Skills: Excellent written and verbal communication for interacting with guests and colleagues. Customer Service: Strong focus on providing excellent service and resolving guest issues. Attention to Detail: Ensuring accuracy in reservations, billing, and other tasks. Problem-Solving: Ability to identify and resolve issues related to reservations, guest requests, and other operational challenges. Technical Proficiency: Familiarity with reservation systems, databases, and other relevant software.
