    Girl Scouts of Western Ohio is seeking an Administrator, Executive Office to join our team! Manages the office of the CEO and provides exceptional executive level support, constituent service and project management and execution for the Chief Executive Officer, Executive Team and Board of Directors. The Administrator, Executive Office is the CEO's trusted counsel and must be a highly resourceful individual with strong emotional intelligence, self-motivation, leadership through influence and strong communication and analytical skills. The role demands the ability to work independently on projects from conception to completion and requires acumen and finesse to handle complex situations and multiple responsibilities simultaneously mixing long-term projects with the urgency of immediate demands. Must be able to work under pressure at times and handle a wide variety of activities, relationships and confidential matters with utmost discretion. This position is based out of our headquarters location - the Cincinnati Girl Scout Center in Blue Ash, Ohio. ESSENTIAL FUNCTIONS CEO'S OFFICE Oversees the efficient management of all CEO Office operations, administration, projects, initiatives and communications (including presentations, reports, letters, email, publications, social media, greetings, voicemail and phone). Serves as primary point of contact for internal and external constituencies on all matters related to the office or the Board of Directors. Manage the CEO's office and ensure administrative support is timely, accurate and of the highest standard and in accordance with organizational guidelines and process. Manage a diverse range of matters submitted for the CEO's consideration or approval and determine necessary priorities and approval processes. Manage all purchasing and contract approval requiring CEO oversight and administrative and governance budgets. Prepare agendas and manage all logistics for executive and senior leadership team meetings including in-house presentations, reports and scheduling. Coordinate activities, set agendas and manage deliverables. Ensure CEO is prepared for all meetings and events. Provide management and oversight of CEO's calendar and correspondence, composing written communications. Respond appropriately to a range of confidential and sensitive business needs, meeting requests and other matters ensuring appropriate counsel, follow-up and resolution. Provide administrative support including CEO's travel, timesheet approvals, expense reporting, hosting guests, IT, onboarding leadership staff and all day-to-day executive support functions. Provide council-wide support to GSWO including: staff onboarding/offboarding, office administration, notary service, submitting maintenance requests, IT support, office security and emergency response. BOARD GOVERNANCE Oversee all board and governance planning and administration for the Board of Directors, Board Development Committee, task groups/committees, and National Council delegation. Serve as first point of contact and manage communications for all Board and governance activities. Ensure the Board, Board Development Committee, task groups/committees, and National Council delegation are regularly informed on relevant GSUSA and council matters. Create and compile all necessary materials, reports, presentations and correspondence for review and approval on schedule. Manage all communications and governance tasks pre-and post-meetings. Coordinate all Board, Board Development Committee and board task group/committee activities: including setting up and managing annual agenda and schedule, roster, mission engagement calendar, conflict of interest, volunteer agreements including compliance and scorecards, demographic surveys, board monitoring and surveys, meeting preparation, minutes, manuals and Board portal administration. Ensure compliance with Council bylaws, board policies, procedures and manuals. Facilitate Board, Board Development Committee and Council delegation engagement with membership. Manage the annual election, annual meeting and special meetings of the Voting Council or membership, including notice, slate preparation, credentialing, education sessions, agenda and presentations, minutes, and communications and tasks pre- and post-meetings. Serve as the National Council Delegation Liaison and manage all aspects of delegation recruitment, education, travel logistics, proposal management, membership engagement and other delegation activities. Serve as primary council contact with GSUSA to manage and administer Charter requirements, GSUSA board opportunities with council and Blue Book compliance, GSUSA convening registration, travel and reimbursement. QUALIFICATIONS Associate's degree or equivalent work experience in senior administrative management. At least five years of experience in executive or senior leader administrative support. Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail. Proven ability to handle confidential information with discretion and be adaptable to various competing demands. Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint). Familiar with project management software such as Asana. Proficiency in assimilating to new digital platforms. Excellent verbal and written communication skills with demonstrated ability to compose organizational reports, governance documentation, executive communications and correspondence with minimal assistance. Mathematical and data analytical skills with ability to review and analyze data, financial reports, budgets and organizational KPIs. SUPERVISORY RESPONSIBILITY This position has intermittent on-site, seasonal and backfill supervisory responsibilities. POSITION TYPE/EXPECTED HOURS OF WORK This is a full-time, exempt position, based in Blue Ash (Cincinnati), OH, with in-person work required most days and remote work offered dependent on CEO schedule. Some travel expected to Dayton, OH, other GSWO locations and National Council Session (in 2026, and once every three years). Hours of work and days from generally Monday through Friday, 8:30 am to 5:30 pm. Regular evening and occasional weekend work may be required as job duties demand. TRAVEL Travel is primarily within the Council's geographical footprint (32 counties of western Ohio and southeastern Indiana) during the business day, although some out-of-the-area and overnight travel may be expected. COMPENSATION & BENEFITS This full-time position offers a competitive salary range of $53,000 - $60,000, depending on experience with a generous benefits package. Send letters to parents about camp sign-ups, itineraries and health forms. Responsible for fundraiser marketing. Construct and distribute camp brochures. Communicate with camp regarding camp contracts, R2 deposits, A-forms, housing request forms and 10-day call-ins. 3.Banquet/Golf Marathon/Auction Create invitations, banquet sponsor packet, table host packet, banquet program and donor cards. Track guest list, table sponsors, RSVP list and donations received from banquet. Coordinate with table hosts about their invitation lists. Mail invitations. Send thank you notes to banquet donors. Track table sponsors. D.Training Provide training to area office assistant, area directors, area committee, volunteer team leaders and leaders with various items, processes and applications related to field administration. Working Conditions: Office Environment Education: High school education or its equivalent. Associates degree preferred. Ongoing education encouraged. Essential Duties: A. Case Development Ensure the campaign case is complete and includes all key components, especially the budget section and the gift plan. Invite the Young Life Communications department to bid on case material. Include a planned giving goal. Ensure that all presentation tools for funding the campaign flow from the case statement and are personalized to target constituencies (e.g. individuals and families, foundations/corporations, churches, etc.). Funding Campaign Operations Ensure that a campaign budget is developed and includes the cost of development, communication and data management and is approved by the Chief Development Officer (CDO). Include a Development Cost Recovery (DCR) factor of 12% (6.5% for campaign and 5.5% for Development department). Place any excess revenue for campaign operations in an account for ongoing fund development work at the camp. B. Campaign Management Oversee a feasibility study to determine the financial goal for the campaign. Use Windshield2000™ (WS) to manage the campaign. Ensure strategies for donors in the software are kept current. On an ongoing basis, clarify in the software what the next step is, who is responsible, when it will take place and how it will be reported. Work with the primary caller, field staff and other campaign directors to assess whether donors have other Young Life interests in order to ensure a seamless and coordinated approach with every major donor (15k and up). Set the timetable for the campaign and the monthly targets to be met to reach the goal. In terms of accountability for the campaign, decision-making is always the campaign director's (CD) responsibility, and the CDO is responsible for supporting the CD to make sure tasks are completed on time and reported to the appropriate staff and/or volunteers. D. Ongoing Responsibilities Develop prospects and when appropriate act as a primary caller or a secondary caller available to participate in donor solicitation meetings. Participate in the recruiting of the needed committees and volunteer positions. Lead, train, supervise, support, sustain and thank this staff so that they succeed in their work. A volunteer Executive Committee led by a chair to raise major gifts ($50K and higher) A Steering Committee of staff and volunteers to guide campaign operations Plan and carry out all supporting activities for the campaign such as donor events, communications strategies (including communication with appropriate staff), recognition programs and other related activities and materials. Work with the Director of Gift Planning, along with representatives of the National Christian Foundation, in implementing the gift planning strategy to reach the goal. Coordinate campaign activities with other Young Life development entities (e.g. area and regional fundraising efforts, other development initiatives, etc.). Submit the updated database to the CDO monthly. Submit the updated campaign timetable to the CDO monthly. Submit the database prospect report to the CDO in June to support the goal for following fiscal year. Work closely with the executive assistant to the CDO for any assistance and to keep the CDO apprised of all campaign developments and issues in a timely fashion. Establish the campaign office and systems to support campaign operations. E. Procedures and Policies Camp campaigns can take a DCR on in-kind gifts that replace budgeted items; (there is no DCR for the Service Center). Campaign consultants will only be engaged for camp campaigns by the CDO. Be knowledgeable of and assure the following policies are followed: Fund-raised construction policy. Policy on written pledges. Education: BA degree preferred. Qualifications Required For The Job: May be a volunteer or staff person of Young Life (preferred). Must be available to work full-time for the undetermined duration of the campaign. Capable of successfully overseeing the elements of donor management and follow-through. YL Staff Associate ISummary: Through both formal training and direct field ministry experience, learn how to effectively carry out and manage Young Life ministry. Ministry Functions: Spiritual Development - “Following Jesus” includes prayer and spiritual disciplines, fellowship, growth and health and church relationships. Develop a yearly personal growth plan that fosters a vibrant spiritual life including time for solitude, retreat, reflection, prayer and a sincere commitment to understanding God's Word. Seek and maintain relationships and disciplines, in the context of active participation in a church community. Actively participate in the spiritual life of the Young Life community. Lead teams and individuals in spiritual development. Leadership Development - “Equipping leaders, committee and staff” includes key volunteer care, recruiting, team building and training, supervision and vision casting. Meet with your volunteer leaders and area leadership on a regular basis. Learn to recruit and train new leaders to build a leadership team that reflects the community. Model excellence in contact work, club, Campaigners and camping to other leaders. Assist in training leaders, team leaders and committee how to work effectively in teams and develop a yearly ministry strategy. Resource Development - “Fueling the ministry” includes events, major donor care, public relations (branding) and TDS team. Raise financial support as directed and maintain good donor care practices. Communicate ministry updates and progress to personal donor partners. Observe and learn to network and develop strategic relationships with key adults in the community, including: principals, pastors, parents, potential committee members as assigned by the area director. Learn to plan and execute area fundraising events under the direction of an area supervisor and committee. Direct Ministry - “Proclaiming and modeling” includes contact work, club, Campaigners and camp. Actively engage in all three levels of contact work. Lead a team to plan and conduct a new or existing Young Life club and Campaigners/discipleship ministry with excellence. Lead a team to implement a summer and school-season camping strategy for a ministry. Serve on a summer assignment at a Young Life camp each year. Ministry Support - “Taking care of business” includes accounting, administration, communication (internal), data management and strategic plan. Adhere to all Young Life policies and procedures and maintain professionalism concerning office hours, dress, conduct and time management. Manage finances with stewardship, accountability and transparency using the mission-wide applications. Maintain accurate information on kids, leaders and donors for area records. Provide clear, prompt, appropriate and professional communication to everyone involved in ministry. Set yearly strategic ministry plan and initiatives to reach every kid; review them on a regular basis. Perform other duties as assigned and congruent with gifts, experience and area needs. Training: Core Training - Phase One (New Staff Training, Leadership I, Leadership II, Apologetics and one Winter Training course are to be completed in the first two years. Training may be supervised by a regional director, regional trainer or area to develop personal spiritual maturity and enhance personal character. May include regional training meetings and ministry skills training assigned by the area director. Education: College degree preferred. Qualifications Required for the Job: Experience in direct ministry. Proven relational skills with both kids and adults. Demonstrated verbal and written communication skills. Ability to maintain confidentiality. Work Conditions: Includes the extremes of a camp including: heat/cold, dirt, long hours and the physical demands of hiking, horseback riding, boating and more.
