We are seeking the right Intake Specialist to be responsible for tending to leads and managing the CRM. Responsibilities: The Intake Specialist will ensure leads in the office are given proper attention to grow conversion rates within the firm. The Intake Specialist handles all incoming calls into our office from potential new clients and obtains information on the potential new client's legal issues. Intake Specialist Duties Accurately collect information from Potential New Clients Manage the existing CRM (Client Relation Management) software Create and submit weekly reports to the Sales Manager Ensure the accuracy of Potential New Client data in the CRM Keep CRM updated and optimize usage Establish and maintain pre-consultation conversations with Potential New Clients Make call confirmations and follow up on appointments Stay in contact with clients who do not show up to scheduled consultations Respond to intake emails promptly and efficiently Other Duties Serve as backup to the receptionist for routing non-intake phone calls, as well as back up to receptionist tasks when they are out of the office. The Intake Specialist must be friendly, patient, compassionate, and have good time management skills The Intake Specialist must be self-motivated and self-directed to achieve his or her professional goals as well as the firm's goals The Intake Specialist must be knowledgeable and proficient with the Windows Operating System and Microsoft Office, including Microsoft Word, Outlook, and Excel. Experience with Client Relations Management Software, such as Lawmatics, is a plus, but not required. This position relies heavily on the use of technology.
