This individual will coordinate general office functions, maintains physical and electronic files, assists with billing and payroll, supports other departments, and may be expected to work closely with each administrator to coordinate office supplies, equipment, space, etc.

Primary responsibilities (including, but not limited to):
Manage day-to-day office operations, including maintaining a clean, organized, and efficient work environment.
Answer and screen incoming phone calls in a pleasant, courteous manner.
Perform general office functions such as sorting mail, data input, ad file maintenance.
Assist with billing and payroll functions to meet company deadlines.
Ensure invoices are completed accurately, timely, and according to company policy.
Maintain all necessary records related to LTC and Medicaid/governmental programs.
Collect and organize timesheets and verify/reconcile them against the scheduling calendar in home care software; track late, missing and incorrect timesheets.
Complete caregiver and internal payroll according to schedule.
Monitor employee pay rates and hours to ensure accuracy and comply with garnishments as required.
Record incoming checks and monitor the outstanding receivables continually to ensure we are not falling behind in receiving payments.
Follow up on receivables per company policy.
Manage and resolve client issues in a timely and effective manner, ensuring positive outcomes.
Prepare and maintain client files.
Complete caregiver reference checks and criminal background checks.
Input client leads into home care software and schedules appropriate follow-ups.
Ensure all information is filed correctly, organized, and easily accessible.
Compile Care Plan binders, Client Welcome Packets, and other documentation.
Ensure all communication is sent promptly according to policy.
Review timesheets for any significant change in client status, indicate in the caregiver notes section, and adequately document the information.
Maintains appropriate gross profit margin for each case.
Monitor and track key performance indicators (KPIs) related to client hours.
Qualifications
A minimum of at least two years of working in an office environment in an organizational setting.
Excellent interpersonal and communication skills with clients and internal staff.
Proficient with Microsoft software (MS Word and Excel)
Proficient with standard office equipment.
Adept at reading, writing, and interpreting industry-specific documentation, policies, procedures, or manuals.
Team player with positive attitude and independent solid work ethic.

Key Responsibilities
In this rewarding role, you'll provide personalized care to help clients with their activities of daily living, including:
Assisting with transfers and mobility throughout their home
