    The incumbent is a contract Business Operations I (henceforth referred to as “Seminar Coordinator”), and serves as the coordinator for executive-level high-visibility training seminars conducted by the Foreign Service Institute (FSI) Leadership and Management School (LMS), including but not limited to the National Security Executive Leadership Seminar, Senior Executive Threshold Seminar, Ambassadorial Seminar and Deputy Chief of Mission/Principal Officer seminar. This position is also the non-supervisory team lead of contract Secretary IIIs (henceforth referred to as “Program Assistants”), and works under the direction of the appointed Contracting Officer Representative (COR). The Directors for the Leadership Training Division (LTD) and Executive Development Division (EDD) will be the Government Technical Monitors for this position. The incumbent will maintain a close and highly-responsive relationship with the LMS Dean's Office, the five operational divisions/offices within LMS, presenters, senior officials, and other stakeholder offices within the Department, and relevant partner organizations inside and outside of the government. The incumbent will maintain confidentiality and use discretion in all communications and work confidently and competently with the most senior level offices in the Department of State. Duties and Responsibilities: Serve as non-supervisory team lead of contract Program Assistants who provide direct logistic and administrative support to EDD and LTD training courses, programs, and services. Oversee the workflow and shifts the workload of the Program Assistants to ensure adequate logistical and administrative support to all EDD and LTD training courses. Assist the COR with the on-boarding of new Program Assistants and create and maintain spreadsheets and/or databases for status tracking of contract positions, including status of pending requests and time off. Assist the COR with assigning the lead Program Assistant and back-up Program Assistant for EDD/LTD training courses/programs, along with assigning the Duty Program Assistant for ad hoc administrative duties. Coordinate with Division Directors and Course Chairs to ensure timely and complete logistical and program support for EDD and LTD training courses. Maintain, and develop as necessary, a comprehensive set of Standard Operating Procedures for LMS courses, seminars, and programs, and ensure these documents are easily-accessible and linked to the on-boarding process for Program Assistants. Analyze established and existing processes and suggest methods for streamlining and improving operations. Maintain a close and highly-responsive relationship with the day-to-day activities of EDD and LTD, the Course Chairs, and LMS senior staff. Draft and review out-going documents and correspondence for internal consistency and conformance with Department of State and FSI procedures and format; assure proper clearances have been obtained, when needed. Coordinate with Course Chairs and REA mentors to assist in the development of seminar schedules in accordance with LMS guidelines, course requirements, and presenting office availability. Modify schedules as necessary.
