In this role, youll be responsible to: Create and maintain the team culture, which may include: o Collaborating with Imagines' Recruitment Team to hire the best team members for the job. o Supervise the Direct Support Professional team. o Collaborating with Imagines Training Team to provide the best possible training for team members, assuring they learn the most updated and efficient practices. o Scheduling your team to work at times that fits the needs of the people we serve. o Being actively present and involved with your team, including performing weekly site visits and following up with team members. o Conducting monthly team meetings focused on immediate needs and team culture. o Providing coaching opportunities for staff. o Agreeing to be placed on-call as required and fill in for the team if there is need. o In this role, you must be available on short notice to fill gaps in the schedule due to absences, personnel changes, or other unexpected reasons. o Compensation for on-call duties will be paid in stipends based on rotation, per department guidelines. o Mileage reimbursement is available when on-call duties require report to work outside of regularly scheduled hours. Overseeing resources, which may include: o Monitoring and scheduling vehicle usage for services. o Monitoring budgets for individuals served are being maintained and followed as outlined in their financial plan by the Representative Payee Coordinator. o Supporting individuals in communication with and fulfilling responsibilities associated with their Representative Payee Coordinator. o Overseeing balances, ledgers, receipts, and special requests forms in collaboration with the Representative Payee Team. o Monitoring medication check-ins. o Monitoring appointment scheduling and follow-up communication for individuals served. o Collaborate with the Strategic Advancement team to promote local community partnerships and promote services offered by Imagine. Demonstrate knowledge, or be willing to learn, and comply with all policies, practices, laws, and rules provided by any governing bodies in the industry. Provide complete, consistent, and accurate documentation of incident reports, investigations, and service documentation. Be an advocate for individuals receiving services to have as much control over their own lives as possible. Communication Skills- Work closely with the doctor in a professional manner, to maintain clear and consistent communication on a daily basis or as needed outside of patient treatment times to help facilitate the practice vision and philosophy. Keep clear records of requested tasks/job assignments delegated to you and follow-up with doctor when completed to insure follow through. Be accountable for your actions demonstrating thoughtfulness for the practice, patients and team in the decisions you make. Must have the ability to resolve patient and team member concerns, build trust amongst the team and patients. 4. Financial Management Skills- Solid understanding of how to schedule for productivity and efficiency. Ability to understand patient insurances billing, finances, and payment plans. Ensure we are collecting for all deposits and treatment so there are no outstanding balances when run end of day report. Knowledge of insurance processes is critical in helping facilitate reimbursement to patient and support patient relations. Run reports catching and correcting any errors. Monitor and report office performance metrics to owner that may require additional follow-up or changes in policies. 5. Knowledge of Dental Software and Technology- A strong technology background is required as this is a very high tech practice/position and being able to manage the technology is a daily operation. Proficiency in computer skills is a must as well as good written communication skills. This position will make forms, documents, slide presentations and spreadsheets for better patient and team communication. Strong proficiency in using our dental office management software so you can help others in the office who have questions, attending software trainings on a regular basis for updates will be required. Having a good grasp of our practice management software and familiarity with technology streamlines tasks like appointment scheduling, patient record keeping , treatment planning/presenting and billing. You will also need to understand how to best maximize the software for reviews, reports, recare and patient communication. 6. Coordinate Marketing Initiatives- Promote the dental practice in the community to help attract new patients. Have the ability to work with social media helping to educate and share online about our practice. Attend events in the community as they arise, educating and effectively communicating our practice philosophy and unique services. Works closely with IT and the Business Office to monitor data and to reconcile and collaborates with Clinical Services and Finance for the enhancement of patient care and increase reimbursement. Develops and administers a capital equipment acquisition and replacement schedule. Prepares business plan(s) for prospective surgical programs. Performs cost/reimbursement analysis for new/existing surgical procedures. Ensures that appropriate forms are utilized that support documentation requirements that meet reimbursement and regulatory agency requirements. Assists with coordinating system-wide efforts to standardize operations and documentation processes. Collaborates with HSM Analyst to oversee medical records functions and maintain processes to ensure compliance. Follows policies, procedures, and safety standards. Completes required education assignments annually. Works toward achieving goals and objectives, and participates in quality improvement initiatives as requested. As an Office Manager, you will be responsible for performing overall management of the office operations. You will be responsible for office billing and collections, ensuring compliance with cash handling policies/procedures, purchasing supplies, and managing expenses. Requirements: High school diploma or equivalent Two (2) year experience in an office setting Valid driver's license in good standing Ability to travel up to 10% locally as required Preferred Undergraduate degree Five (5) years of professional office management experience Experience in medical field a plus Responsibilities: Provide guidance, training, and evaluation of clerical team. Manage clerical team schedule. Responsible for Medicaid/Medicare eligibility verification and tracking Manage supply orders. Responsible for cash collection and daily balancing Welcome visitors/patients by greeting them in person or on the telephone; answering or referring inquiries. Responsible for all clerical functions, including typing, filing, mail/correspondence flow, electronic organization of files, etc. Responsible for daily phone coverage functions Comply with all policies and applicable procedures. Maintain security by following procedures, monitoring logbook, checking in visitors, etc. Coordinate appointments for clients and staff. Communicate all relevant information to supervisory staff regarding clients and the facility. Manage Accounts Receivable/Accounts payable/deposits. Maintain safe and clean reception area by complying with procedures, rules, and regulations. Attend team meetings and complete all training courses timely as required. Other duties as assigned.
