Responsibilities
1. Assistance: Performs and aids the physician and nurse with a variety of treatments and patient care procedures.
2. Communication: Reports pertinent information to the immediate supervisor and gives a general report on all patients at the end of each shift. Reports vital signs and records accurately and within a timely manner.
3. Documentation: Observes, reports and records patient care, symptoms, treatments and reactions following approved policies and procedures of the institution.
4. In-service: Assists and participates in in-service education.
5. Patient Area Maintenance: Maintains a clean environment in patient rooms and work area.
6. Patient Observation: Notifies RN of changes in patient condition in a timely manner and documents appropriately.
7. Personal Care: Performs and/or assists patients with personal care activities, such as baths, showers, skin and hair care, and oral hygiene. Provides specific patient care as directed by the Registered Nurse and/or other designated individuals.
8. Teaching: Contributes to patient and family teaching while performing procedures as instructed.
9. Other Duties: Performs other tasks or special assignments as necessary to maintain proper operations and patient care. Completes other duties as assigned and demonstrates flexibility with job responsibilities in all areas.
10. Adheres to HMH Organizational competencies and standards of behavior.
Qualifications
Education, Knowledge, Skills and Abilities Required:
* High School diploma, general equivalency diploma (GED), and/or GED equivalent programs.
* Proficiency with medical vocabulary and general understanding of hospital policy & procedures.
* Excellent written and verbal communication skills.
* Proficient computer skills that include but are not limited to Microsoft Office and/or Google Suite platforms.
Education, Knowledge, Skills and Abilities Preferred:
* Completion of a Secretarial course and/or a Medical terminology course.
* Previous experience as a Nursing Unit Secretary in a hospital setting.
Compensation
Minimum rate of $18.36 Hourly

The Unit Secretary is responsible for assisting assigned patients in the activities, treatments, procedures and tests under the direction of the Registered Nurse and/or other designated individuals. The duties of the nursing assistant are carried out in accordance with the state and local laws and the nursing policies and procedures of the utilizing institution.
Responsibilities
A day in the life of a Unit Secretary at Hackensack Meridian Health Nursing and Rehab facilities includes:

The Mother Infant Unit consists of 24 beds (between the 3rd and 5th floor of the Dorrance Building). This unit specializes in the care of the post-partum couplet. The care includes frequent assessments for post-partum complications of the mother and newborn including but not limited to preeclampsia, post-partum hemorrhage, and infant hypoglycemia. This unit specializes in offering emotional support to the new dyad while also providing extensive teaching and crucial education prior to discharge.
Experience Required
Previous hospital unit secretary, medical office assistant or medical records experience preferred.
Additional unit-specific qualification may be required.
Clerical, communication and customer service experience a plus.
Education Requirements
High School Diploma or Equivalent required.
Unit Secretary certification is desirable.
Special Requirements
Part time days, 24 hours a week
Hours: 7a-7:30p with weekend/holidays rotation

Overview
Pavilion 7 is a medical-surgical unit that has a specialty focus on both orthopedic and neurological diagnoses. This 30-bed unit features 8 beds designed for our stroke population as part of Cooper University's Comprehensive Stroke Center, as well as 3 EMU beds for seizure monitoring. Telemetry monitoring is available in 10 of the unit beds when needed. The nursing staff provides caring, individualized attention to all patients 24 hours a day, 7 days a week, with collaborative interdisciplinary team members.
Experience Required
Previous hospital unit secretary, medical office assistant or medical records experience preferred.

Responsibilities
A day in the life of a Unit Secretary at Hackensack Meridian Health includes:
* Transcribes and transmits doctor's orders to appropriate areas under supervision of a registered nurse, and confers with the charge nurse and/or nurse assigned to patient regarding scheduling patients activities and tests
* Follows up consistently on written and oral instructions; promptly reports matters requiring immediate nursing intervention
* Performs clerical functions for physicians within the Unit Secretary's sphere of responsibility.
* Answers telephone and call light systems, takes messages, and communicates messages to the appropriate person in a timely manner
* Answers call bells in a timely and appropriate manner, ensures proper notification of staff, prepares and keeps current census sheet, acuity sheets, transportation log, dietary requisitions and other forms and delivers them to the proper department as necessary
* Performs clerical duties related to the admission and discharge of patients and obtaining medical records from other facilities
* Compiles new charts, maintains current charts, and enters patient information on the charts and computers
* Replenishes charts with MD order sheets, progress notes, consult sheets, and other sheets as necessary making sure that all sheets have patient identification stickers.
* Places telemetry sticker in progress notes for all patients on telemetry on a daily basis
* Performs all patient record activities and charting transcriptions with close attention to detail and accuracy. Ensures that complete information is filled in on all forms (requisitions, transfers, work orders, dietary requisitions etc.); keeps current census sheets. Delivers completed forms to the proper departments as necessary
* Routinely files printouts under appropriate corresponding dividers.
* Adheres to the current HIPAA regulations concerning patient and employee confidentiality.
* Provides for patient/employee privacy, safeguards all medical information.
* Maintains emergency charts for use in downtime.
* Maintains patient charts, makes sure that format of charts are maintained to ensure complete and accurate information in order to facilitate patient follow-up. Ensures that all are complete, accurate and up to date for all patients
* Discharges patients from the computer system in a timely fashion. Disassembles all charts of discharged patients within the same shift that the patient was discharged from the hospital and placed in a designated area.
* Maintains a neat and tidy work environment. Keeps noise to a minimum. Secures all patient records and other documents as necessary. Ensures computers, fax machines, copiers, scanners and other equipment in the unit are working appropriately. Calls for equipment repair as needed.
* Ensures delivery of excellent customer service resulting in positive and improving patient satisfaction scores for department and Medical Center

A day in the life of a Unit Secretary at Hackensack Meridian Health includes:
1. Assistance: Performs and aids the physician and nurse with a variety of treatments and patient care procedures.
2. Communication: Reports pertinent information to the immediate supervisor and gives a general report on all patients at the end of each shift. Reports vital signs and records accurately and within a timely manner.

4. In-service: Assists and participates in in-service education.

The Unit Secretary Equipment Tech acts as a patient experience ambassador to facilitate and maintain a positive experience with our patients, family members, visitors, and physicians by welcoming and explaining hospital and unit policies and procedures and addressing and escalating patient problems and concerns for service recovery. The Unit Secretary Equipment Technician also performs clerical support for the unit and the Nurse Manager and maintains the equipment within the high risk nursery.
Responsibilities
Essential Job Functions:
1. Represents the unit and Hackensack Meridian Health as a Patient Experience Ambassador.
2. Ensure that patient belongings are secured and labeled.
3. Answers telephone in a courteous and professional manner.
4. Greets visitors on the unit.
5. Provide direction assistance.
6. Answer call bells and assist with non-clinical requests.
7. Complete hand washing audits.
8. Assist with Facetime calls to family and obtaining language line.
9. Interacts with the team to resolve equipment issues, including nurses, physicians, and operations manager.
10. Performs daily, weekly, and monthly audits of assigned equipment and patient rooms.
11. Checks inventory of assigned procedure carts and restocks as needed.
12. Serves as liaison with Bio Med, Sterile Processing, Materials Management, and Plant Operations departments.
13. Delivers and picks up equipment and supplies from Sterile Processing promptly.
14. Tracks equipment that is out for repair and follows up routinely.
15. Recognizes and responds to opportunities to enhance patient satisfaction.
16. Other duties and/or projects as assigned.
17. Adheres to HMH Organizational competencies and standards of behavior.
Environment of Care Rounding:
1. Stock Personal Protective Equipment.
2. Stock Blanket warmers and gloves.
3. Round on unit. Report unit conditions and hazards in EPIC and Onelink.
4. Responsible for rental bed ordering.
5. Manage all equipment sent out for service.
6. Assists nursing staff with obtaining necessary equipment and supplies for patient care. (i.e. isolettes,
phototherapy lights, etc)
7. Assists nursing staff with washing of patient care items (i.e. clothes, blankets, chair inserts, etc)
Clerical Duties:
1. Maintain and order office supplies and forms.
2. Manage POLST- FAX advanced directive and POLST.
3. Chart Maintenance, including preparation of admission & transport paperwork.
4. Assist in the preparation & distribution of PKU newborn screenings and results.
5. Distribute medication to the RN which are sent via tube.
6. Acts as a runner to the lab, blood bank, and pharmacy.
Physical Demands
1. Long periods of sitting with frequent standing, walking or moving.
2. Requires periods of keying on the computer terminal to input information.
3. Requires constant verbal communication in person or using the phone.
4. Exposure to communicable diseases.
5. Extended wearing of PPE.
6. Application of surgical mask for long periods of time.
7. Lifts a minimum of 5 lbs., pushes and pulls a minimum of 5 lbs. and stands a minimum of 1 hour a day.
