We're seeking a highly organized and detail-oriented professional to join our Real Estate team as a Business Office Manager. In this role, you'll oversee the daily administrative, operational, leasing, and facilities functions that keep our Real Estate department running smoothly.
The ideal candidate is proactive, resourceful, and able to balance multiple priorities in a fast-paced environment. You'll collaborate closely with internal partners, landlords, and vendors to ensure efficient office operations, accurate lease administration, and the timely preparation of executive materials that support key business decisions.
What You'll Do
Administration & Operations
Manage day-to-day office operations including scheduling, correspondence, and record keeping.
Order, track, and maintain office supplies, equipment, and furniture.
Develop and implement office policies, procedures, and filing systems for efficiency and compliance.
Maintain accurate records, scan and file invoices, and ensure timely submission to Accounts Payable.
Organize and maintain department and vacation calendars to ensure coverage and preparedness for meetings.
Support payroll preparation, utilities tracking, and coordination of tax filings across multiple jurisdictions.
Financial & Vendor Management
Process, track, and reconcile invoices; monitor expenses and identify cost-saving opportunities.
Coordinate with Finance and Accounts Payable to ensure timely vendor setup, bill payment, and compliance.
Manage vendor relationships, including supply vendors, utilities, water delivery, vending machines and contractors.
Oversee utility transfers during new store openings/closures.
Facilities & Safety
Act as liaison with building landlords for parking, access, service requests, and compliance issues.
Oversee maintenance, repairs, and cleaning services for office facilities.
Track facility maintenance schedules (monthly, quarterly, annual) for each location.
Ensure compliance with life safety, fire safety, and health/safety regulations.
Coordinate COIs, permits, and certificates of occupancy for new and pop-up store locations.
Leasing & Real Estate Coordination
Serve as a primary point of contact with landlords on tenant matters, building issues, and lease administration.
Assist with lease and renewal coordination, including reviewing Letters of Intent (LOIs), abstracting key deal terms, and ensuring compliance with company requirements.
Track critical lease dates, including expirations, renewals, rent escalations, and option windows.
Maintain a comprehensive lease database and generate reports for leadership on portfolio activity.
Partner with Real Estate leadership to support negotiations, documentation, and reporting on active deals.
Coordinate with internal Legal and Finance teams to route leases, amendments, and related documents for approval and execution.
Manage the distribution and tracking of lease drafts, ensuring timely responses to landlords and brokers.
Support site selection and market research efforts by collecting, organizing, and presenting data.
Monitor compliance with landlord obligations, tenant responsibilities, and operating covenants.
Provide coordination and tracking for new store openings, relocations, dispositions, and pop-up programs.
Maintain electronic and physical files of executed LOIs, leases, and amendments for accurate record keeping.
Liaise with landlords on estoppels, SNDAs, and other ancillary lease documents.
Assist in preparing presentation materials for executive decision-making and landlord negotiations.
Executive & Team Support
Provide administrative support to senior executives, including calendar management, travel arrangements, and meeting preparation.
Prepare, edit, and distribute professional presentation materials for internal leadership meetings, Board updates, and landlord/partner engagements.
Take, prepare, and distribute meeting minutes for Real Estate and brand-specific meetings.
Assist leadership staff during absences or peak project times.
Act as a liaison to other departments (HR, Finance, Customer Service) to address employee support, benefits, and cross-functional initiatives.
Customer & Employee Experience
Address customer-related issues (orders, water, supply needs) to ensure a positive experience.
Support HR with employee-related matters and coordination of office events, birthdays, and celebrations.
Fill in for reception and mailroom as needed.
Project & Event Management
Manage timelines, deliverables, and logistics for annual pop-up stores and new retail locations.
Support planning and execution of office events and special projects.
Coordinate with internal and external stakeholders to ensure deadlines are met.
Tax & Compliance
Prepare and process tax payments for properties in multiple jurisdictions (e.g., Huntington, Alamogordo, Los Angeles, Jericho).
Track tax deadlines, coordinate with Finance, and ensure timely payments to avoid penalties.
Maintain MGIS access and monitor payments in the system.
What You'll Bring
5+ years of experience in administrative, office management, real estate, or facilities coordination (retail/real estate experience preferred).
Working knowledge of lease documents and landlord-tenant coordination.
Strong organizational and communication skills with excellent attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to manage multiple priorities and deadlines in a fast-paced environment.
Experience supporting senior leadership and managing confidential information with discretion.

The expected salary range for this position is
$54,080 - $60,320
per year.
The actual compensation will be determined by experience and other factors permitted by law.

Key Job Responsibilities
Business Development
- Proactively pursue net new business opportunities and follow up on assigned event leads from marketing campaigns, new solution offerings and industry relations efforts.
- Build strategies and customer pursuit plans that include contacting prospective clients to conduct an end-to-end event solution.
- Manage demonstrations to introduce Encore, Encore's approach, and solutions as relevant to each contact.
- Develop relationships with multiple stakeholders in designated key accounts to include meeting planners, business unit directors, and sourcing teams to target virtual and hybrid events using personal networks, contacts from industry relations activities, and unassigned contacts.
- Understand customer's needs and goals to create an event experience that best aligns Encore resources and solutions, while driving customer awareness and adoption.
- Identify and develop additional event leads via targeted prospecting.
- Manage quotes, proposals, pitches, and RFPs through the sales process and in partnership with other departments, from lead to WIN.
- Advocate for Encore solutions in the industry, through speaking, networking, or attending events as needed.
- Actively network and generate new contacts, making valuable introductions to Encore while also working the existing database to ensure customers are shown the maximum partnership value.
Event/Account Management
- Oversee the sales process for identified opportunities and key account assignments.
- Act as the liaison between customer and the production teams to ensure conversion and overall customer satisfaction.
- Ensure compliance and consistent execution of any customer agreements across Encore's executing divisions.
- Maintain timely and consistent customer scope and reporting via Compass and Navigator, through the transition to the assigned execution team for the delivery, while you maintain the internal/external communication of key requirements.
Revenue Management
- Meet and exceed monthly and quarterly revenue quotas.
- Actively manage virtual & hybrid event pipeline while evaluating opportunities to engage in other areas of Encore business including core audio visual services, power, rigging, HSIA, creative services, and all offerings Encore provides to clients.
Sales, Operational and Technical Support
- Effectively communicate the customer's needs internally across multiple departments.
- Liaise with internal resources to convey technical requirements, budget expectations, and timelines.
- Work closely with Encore internal contacts to realize account objectives and act on resolving customer experience and internal issues.
- Consistently monitor and update demos based on platform development and updates.
- Monitor and maintain accurate and timely Compass (CRM) Account and Contact data entry, billing records, show evaluations, customer surveys and any other information on assigned accounts requested by management in accordance with policies and procedures.
- Maintain latest solutions knowledge through regular training and development opportunities via EncoreU or other training opportunities as they are presented.
Job Qualifications
- Bachelor's Degree or equivalent
- 3+ Years' experience in Sales
- Seasoned Sales Professional with a go get/hunter sales mindset
- Ability to generate leads through lead follow up, lead generation through calling, sales blitz programs research, and networking.
- Experience in shifting focus to virtual and hybrid experiences, and the vision to adapt as needed with changes in the business

Work Environment
Office or Remote Office Location
Work is performed primarily in an office environment even if the salesperson is identified as remote. Salespeople who work "remote" need to have a designated office environment free of distractions and noise to immolate the proper work environment. The Office Manager is responsible for managing daily office operations and supporting administrative, HR, and dealership activities. This role ensures efficiency, compliance, and smooth internal communications while providing high-level support to various departments and leadership.
Key ResponsibilitiesAdministrative Operations
Handle general administrative duties, including clerical support and recordkeeping.
Order office supplies and manage office inventory.
Oversee the reception area; manage receptionist schedules and provide coverage as needed.
Vehicle Title & Registration Processing
● Process all new and used vehicle title transfers for Texas via WebDealer, and
submit applicable documents to the tax office.
● Handle all title transfers for out-of-state transactions, ensuring proper
documentation and regulatory compliance.
● Complete DMV registration paperwork using the TitleTec system with accuracy
and timeliness.
● Ensure all tax and title documentation is properly completed, submitted, and filed.
Human Resources & Employee Support
Act as a liaison between employees and Human Resources.
Conduct applicant phone screens and schedule interviews.
Facilitate New Hire and Benefits Orientations.
Oversee submission and accuracy of all new hire documentation and injury/accident reports.
Ensure timely approval and submission of employee timecards.
Submit Corrective Action documents and ensure complete documentation.
Accounting & Bookkeeping
Perform bookkeeping duties, update the accounting system, and maintain petty cash logs.
Manage accounts payable and maintain credit card tracking spreadsheets.
Handle cash management, deal posting, and scan all payoff documents to the appropriate parties.
Deal Processing & Compliance
Oversee all RV deal postings; verify deal accuracy and print commission reports.
Maintain records of trade titles and ensure new unit logging.
Process external incentives (spiffs) and communicate required documentation.
Support compliance efforts by collaborating with auditors and site leadership.
Other Responsibilities
Support dealership leadership with all administrative, HR, and compliance-related tasks.
Assist in handling miscellaneous duties as assigned by leadership.
Preferred Qualifications
High school diploma or equivalent required.
2+ years of administrative or office management experience preferred.
Strong knowledge of office procedures, recordkeeping, and general administration.
Excellent customer service and interpersonal communication skills.
Proficiency with Microsoft Office Suite, Google Workspace, and the ability to learn new systems.
Strong typing skills (minimum 50 WPM).
High attention to detail, organization, and sequencing of tasks.
Effective time management and ability to work under pressure in a fast-paced environment.
Supervisory Responsibilities
This position does not directly supervise any employees.
May provide informal guidance or support to reception and administrative staff.
Physical Requirements
Prolonged periods of sitting at a desk and working on a computer.
Periods of standing and walking, especially during training or events.
