POSITION PURPOSE The Manager of Banking Operations and Administration is responsible for leading a high-performing team dedicated to the efficient delivery of operational support and administrative excellence across the credit union. This role provides strategic oversight of Retail Banking operations and serves as a key advocate for process improvement and operational innovation throughout the organization. By maintaining a deep understanding of industry trends, regulatory requirements, and emerging technologies, the Manager ensures the continued evolution of the credit union's operational framework. The position oversees products and vendor relationships for deposit operations, online banking, mobile banking, ATM services, and card services, ensuring optimal functionality and member satisfaction. In addition, this role supports cross-departmental collaboration, advises on strategic operational initiatives, and leads projects that advance the efficiency, compliance, and overall member experience of the credit union. Provide strategic and operational leadership to the Banking Operations and Administration team, ensuring full utilization of credit union systems and a strong working knowledge of all supporting technologies. 2. Oversee daily balancing and reconciliation of ATM and debit card dispute general ledgers. 3. Oversee collaboration with the Application Administrator to ensure successful delivery of core and digital banking upgrades, including vendor coordination, change management, and cross-functional user acceptance testing. 4. Partner closely with the Training Department to identify knowledge gaps through departmental interactions and support ongoing staff development initiatives that enhance organizational expertise. 5. Manage workflows for all departmental functions, including those within the core and ancillary application environments. 6. Build and maintain strong relationships with internal stakeholders and external vendors to optimize the performance and support of technology systems serving members. 7. Continuously assess and enhance departmental processes to improve efficiency, accuracy, and member service delivery. 8. Provide leadership in the development, implementation, and ongoing refinement of departmental policies and procedures to ensure consistency, compliance, and operational excellence. 9. Contribute to the development and implementation of credit union-wide goals and strategic objectives. 10. Foster a culture of open communication and engagement by ensuring team members are informed, aligned, and motivated around organizational priorities. 11. Serve as the primary resource for resolving complex member issues, ensuring timely, accurate, and empathetic resolution that strengthens member trust and satisfaction. 12. Monitor card portfolio performance, including usage and growth, in collaboration with Retail Banking and Product Development, and report portfolio results to senior leadership. 13. Lead departmental initiatives and manage related resources, ensuring project completion within established timelines and budgets. 14. Recruit, develop, evaluate, and lead direct reports, ensuring the cultivation of a knowledgeable, empowered, and high-performing team. 15. Conduct regular performance reviews, providing coaching and feedback aligned with professional development and organizational objectives. 16. Allocate resources effectively to meet operational and member service demands. 17. Encourage team-driven innovation by soliciting, evaluating, and implementing process, and efficiency enhancements. 18. Ensure compliance and timely administration of IRA accounts, abandoned property, and IRS submissions. 19. Oversee the accurate and compliant administration of product maintenance and member support functions, including the VISA debit program, wire transfers, IRA servicing, and account document retention. 20. Maintain compliance with all federal and state regulations, credit union policies, and applicable governing standards. 21. Promote credit union products and services where appropriate, supporting overall member engagement and growth. 22. Demonstrate and model behaviors aligned with the organization's Core Competencies. 23. Perform other related duties and responsibilities as assigned. Requirements Required Knowledge: Thorough knowledge of banking and regulation principles. This position requires that the employee gain a working knowledge of Bank Secrecy Act (BSA) requirements and how they will affect their work. The employee will comply with all requirements of the BSA and cooperate with the designated BSA Officer in assuring compliance. Working knowledge of end to end payment workflows (ACH, wires, debit/ATM real time payments, and Faster Payments) Education/Certification: Bachelor's degree in Business preferred plus three to five years experience in the management of an financial operations department with a credit union or bank; or a comparable combination of education and experience in a financial services role. Experience Required: Experience using general office equipment Intermediate to advanced level Microsoft Excel/Word Experience coordinating technology initiatives across digital and core banking systems, including UAT planning, release validation, and stakeholder engagement. Rate of Pay: $23.00 - $26.00 per hour ESSENTIAL FUNCTIONS AND RESPONSIBILITIES * Answering all incoming member calls and addressing all needs, including placing members in appropriate accounts and consumer loan products and assistance with all digital enrollments for all HFCU products and services. * Responding to all digital inquiring and needs, including but not limited to chat, online account and loan requests as well as marketing leads * Proactively reach out to all new memberships established through line of business partners to assess needs and offer additional products and services as appropriate. * Required expertise on all products and services offered by HFCU * Demonstrate an ability to think critically to ensure best options are provided to members in both sales opportunities and meeting needs in general. * Cash handling and processing transactions. * Organize priorities, achieve monthly goals, and deliver quality work * Ability to function as Teller or Financial Service Representative to support branch needs * Demonstrate understanding and support of all HFCU initiatives for employee development. Actively participate in personal growth through use of tools and resources available to you. * Proactively look for operational enhancements and research options to present for process improvements to the Enhancement Committee. When applicable, partner with departments to brainstorm, design and implement approved enhancements. * Participate in organizational team projects, representing Retail in a professional and competent manner. * Mentor new hires * Performs other duties as assigned PERFORMANCE MEASUREMENTS Performance is measured against the competencies and goals as outlined in the Employee Performance Program, and established in partnership with the employee's leadership. There are three levels associated with this position. Level will be determined through managerial assessment of employee and location specific business needs. Level 3 Demonstrates superior product knowledge. Requires no instruction in the completion of basic duties. Possess excellent needs bases selling skills. Demonstrates capability to handle all complex branch assignments. Requirements EDUCATION/CERTIFICATION: Customer service and sales experience. Notary License required or within 12 months of hire. REQUIRED KNOWLEDGE AND EXPERIENCE: * Previous call center experience a plus. * Active listening and effective communication. * Problem-solving abilities and technical support skills. * HFCU product knowledge. * Extensive customer service and sales experience (financial industry experience preferred) including but not limited to customer service, needs based selling, goal attainment, cash handling, project and team participation, and community development. * Develop skill set in cash handling and transactional processing, performing account and loan intake and funding, and answering member inquiries through in branch and phone interactions. This position requires that the employee gain a working knowledge of Bank Secrecy Act (BSA) requirements and how they will affect their work. The employee will comply with all requirements of the BSA and cooperate with the designated BSA Officer in assuring compliance. POSITION PURPOSE Responsible for preparation of the Credit Union's financial statements (including income statements and balance sheets) and regulatory reporting functions (including NCUA 5300 Call Reports). Conducts financial research, monitors financial conditions, prepares reports and recommendations. Perform daily, weekly and month-end processes, such as journal entries and account reconciliations. Ensure that reports, accounts, systems, policies and practices adhere to generally accepted accounting principles (GAAP) and are in legal and regulatory compliance. ESSENTIAL FUNCTIONS AND BASIC DUTIES * Financial statement preparation, general ledger, financial and regulatory reporting and reconciliations, compliance to GAAP, related regulations and Credit Union policies and procedures. * Perform tasks to assist with period end closing such as accruals, and be able to develop internal partnerships within the CU to ensure that Accounting is proactive in recording entries. * Assist the Assistant Controller with internal and external audit document preparation. * Attend meetings as required and participate on assigned committees. * Adhere to all reporting and other deadlines, both internal and external. * Prepare GL reconciliations and journal entries with attention to detail, completeness and accuracy, as assigned. * Monitor cash accounts and prepare daily entries as needed / investigate variances and initiate cash transfers. * Assist with annual budgeting and monthly budget variance processes. * Assist with and provide support for the department's Accounts Payable functions, as assigned. * Completes and presents required financial reports, records, projections, and recommendations. * Work with other accounting staff on high transaction volume GL accounts such as ATM and coin machines and other reconciliations, researching and resolving differences. * Ad Hoc Accounting projects as needed, implement process improvements, increase efficiency of work flow. * Ensure transactions are properly authorized and in accordance with company policies. * Perform responsibilities of position in accordance with federal and state regulations. * Meet core competency requirements. * Perform additional duties as assigned.
