Overview
The Front Office Manager is responsible for ensuring the operation of the Guest Services, Concierge and Uniformed Services/Transportation in an attentive, friendly, efficient and courteous manner, providing all guests with quality service prior to and throughout their stay, while maximizing room revenue and occupancy.
Responsibilities
Respond to all guests' requests, problems, complaints and/or accidents presented at the Front Desk or through reservations, comment cards, letters and/or phone calls, in an attentive, courteous and efficient manner. Follow up to ensure guest satisfaction.
Motivate, coach, counsel and discipline all Guest Services personnel according to Viceroy Hotel Group S.O.P.'s.
Carry a cell phone at all times.
Prepare and conduct all Guest Services interviews and follow hiring procedures according to Highgate Hotel S.O.P.'s.
Develop employee morale and ensure training of Guest Services personnel.
Maximize room revenue and occupancy by reviewing status daily. Analyze rate variance, monitor credit report and maintain close observation of daily house count. Monitor selling status of house daily, i.e. flash report, allowances, etc.
Attend daily and monthly Rooms Merchandizing meetings.
Participate in required M.O.D. program as scheduled
Review Guest Services staff's worked hours for payroll compilation and submit to Accounting on a timely basis
Prepare employee Schedule according to business forecast, payroll budget guidelines and productivity requirements.
Ensure that no-show revenue is maximized through consistent and accurate billing.
Maintain Viceroy Hotel Group S.O.P.'s regarding Purchase Orders, vouchering of invoices and checkbook accounting.
Ensure that Wage Progress, Productivity and the Ten Day Forecast are completed on a timely basis according to Viceroy Hotel S.O.P.'s.
Maintain a professional working relationship and promote open lines of communication with managers, employees and other departments.
Work closely with Accounting on follow-up items, i.e., returned checks, rejected credit cards, employee discrepancies, etc.
Operate all aspects of the Front Office computer system, including software maintenance, report generation and analysis, and simple programming.
Monitor proper operation of the P.B.X. console and ensure that employees maintain Highgate Hotel S.O.P.'s in its use.
Ensure staff greet and welcome all guests approaching the Front Desk in accordance with Viceroy Hotel Group S.O.P.'s.
Ensure implementation of all Viceroy Hotel Group policies and house rules. Understand hospitality terms.
Ensure sign off of all Service Standards by Position for Guest Services staff.
Assist in preparation of revenue and occupancy forecasting.
Ensure logging and delivery of all messages, packages, and mail in a timely and professional manner.
Must maintain constant communication with Housekeeping, Reservations, Sales and the Credit Manager.
Coordinate all aspects of the ongoing implementation of the Viceroy Hotel Group philosophy of service.
Ensure correct and accurate cash handling at the Front Desk.
Follow and enforce all Viceroy Hotel Group credit policies.
Ensure that employees are, at all times, attentive, friendly, helpful and courteous to all guests, managers and other employees.
Maintain and monitor "Lost and Found" procedures and policies according to Highgate Hotel standards.
Establish and maintain key control system.
Ensure participation within department for monthly Viceroy Hotel team meeting.
Focus the Guest Services Department on their role in contributing to the Guest Service and audit scores.
Monitor all V.I.P.'s, special guests and requests.
Maintain required pars of all front office and stationary supplies.
Review daily Front Office work and activity reports generated by Night Audit.
Review Front Office log book and Guest Request log on a daily basis.
Qualifications
At least 5 years of progressive experience in a hotel or a related field; or a 2-year college degree and 3 or more years of related experience; or a 4-year college degree and at least 1 year of related experience.
Supervisory experience required.
The ability to demonstrate exceptional Customer Service Skills.
Must be proficient in Windows and Microsoft Office.
Able to work long hours as sometimes required.
Maintain a warm and friendly demeanor at all times.

The Reservation Coordinator is responsible for managing and maintaining accurate hotel reservations to ensure a smooth guest experience from booking to arrival. Respond to inquiries from the shared reservations email inbox in a timely and professional manner.
Enter transient reservations from wholesale and flash sale partners (e.g., Luxury Escapes, Gilt, Groupon) accurately and in accordance with partner agreements.

Review and approve turnover files for new or amended group blocks and create booking links when required.
Review and process rooming lists for group bookings, ensuring accuracy in guest details, billing, and room assignments.
Identify, block, and process staff and VIP reservations for group and transient accounts.
Respond to group or event-related inquiries from internal and external guests when required.
Qualifications
Experience and Requirements:
Minimum 2 years of experience as Reservation Agent / Coordinator at a reputed hotel/luxury brand preferred.
Must possess strong computer proficiency to include MS Office, Word, Excel, PowerPoint, Opera, SynXis, etc.
Must be able to speak, read, write and understand the primary language(s) used in the workplace.
Requires good communication skills, both verbal and written.
Ability to be persuasive with telephone sales skills.

What You'll Do
As a Room Attendant with Kimpton, you'll be responsible for cleaning guest rooms and common areas, all the while providing outstanding service to our guests along the way. You'll act as an advocate for the hotel, be a creator of ridiculously personal experiences and develop relationships with guests that will compel them to return.
Some of your responsibilities include:
Clean, dust, wax, scrub, polish and service guest rooms daily in line with hotel procedures.

Responsible for the pass key security and assuring that it is turned in at the close of each shift or according to the specific hotel guidelines.
Restock the cart at the end of your shift and organize the linen closet to prepare for the next day.
Report any exceptional and/or unusual circumstances, such as no luggage in a stay-over room, no service needed, sleep-outs, guests smoking in rooms, etc. to the on duty supervisor or manager.
Perform other duties as directed, developed, or assigned.

Respond to all customer requests in a timely and personable manner.

Previous experience as a hotel engineer is preferred or comparable maintenance experience at an establishment such as apartment complex or office building.

Overview
Assist Controller in directing the financial activities of the hotel, safeguarding the assets, and preparing all financial reports in accordance with generally accepted accounting principles and HEI Hotels and Resorts Standards.
Essential Duties and Responsibilities
* Sort and verify accuracy of Night Audit work (primarily receivables aspect), i.e. including reconciliation of banquet check extensions, coding of banquets at cost, review and route sales and promotion checks with back-up. Record department administration phone calls and inform Controller of any potential concern.
* Post city ledger payments in property management system, reconcile and bill all city ledger accounts. Perform follow-up billing and credit collection documentation and inform Controller of any potential uncollectible accounts.
* Reconcile credit card back-up to General Cashier Summary and inform Controller of any discrepancies. Bill out credit cards (AMEX, DINERS, etc.). Maintain accurate and legible logs for all credit cards.
* Set up new accounts in accordance with established credit policy.
* Assist in reconciling open account status items.
* Input General Cashier Summary and maintain binder.
* File and distribute credit card cancellations, bulletins and credit warnings. Process and follow-up on all returned checks accepted as cash payment. Record General Ledger and City Ledger reconciliations.
* Verify that purchasing procedures are followed, i.e.: purchase order price compared to invoice price, purchase order quantity compared to invoice quantity, ensure that the purchase order number is valid. Maintain an accurate, up to date Purchase Order Log.
* Route invoices with purchase order attached to department heads and Executive Committee members for approval. Ensure account coding is accurate and all invoices are being returned on a timely basis.
* Process all approved invoices for payment, ensure all appropriate signatures and back-up attached.
* Pay all hotel invoices in a timely manner ensuring accuracy of amount paid, account coding, invoice extension and that all discounts are taken.
* Handle all vendor inquiries and reconcile vendor statements.
* Maintain open invoices file, paid invoices file and voided check file in an organized and up-to-date manner.
* Interface checks and submit a log of all manual checks to the Controller.
* Comply with attendance rules and be available to work on a regular basis.
* Perform any other job-related duties as assigned.

* Bachelor's Degree in Accounting preferred.

What You'll Do
As the Housekeeping Supervisor, you'll be responsible for inspecting and maintaining the cleanliness and physical condition of the hotel guest rooms, meeting rooms, hallways, and public areas. You'll maintain a positive and friendly attitude with all guests and other employees to act as the communicator and liaison between guests and cleaners.
Some of your responsibilities include:
Prepare inspection report with the status of all guest rooms at the beginning of the shift. This includes all guest requests, out of order rooms, and show rooms for the day.
Inspect all guest check-out rooms for cleanliness, appropriate guest amenities, and the correct working condition of room equipment.
Report any substandard conditions or damage of the guest room to the Housekeeping department.
Evaluate room cleaners on their job performance according to the hotel standards. When necessary, take appropriate action (retraining, etc.) to ensure they are performing at a high quality level.
Notify Front Desk of all vacant and clean rooms, completion of guest requests, and room status discrepancies.
The Front Desk will give you all room moves, late check-outs, and additional guest requests for appropriate follow-up action.
Answer the department telephone using friendly telephone etiquette.
You'll help guests with special requests, information, and status of Lost & Found items.
Check the hotel's PMS computer for information concerning room status and to enter updated room status.
Collect, log, and secure all lost and found items in a locked cabinet, room cleaners' assignment sheets, secure floor keys and office, lock office door.
Confirm the work schedule for the following day with room cleaners.
Complete a written report of all room statuses for the Front Desk.
File all daily reports in the file cabinet.

Ability to stand during entire shift
Ability to withstand temperature variations both hot and cold.
Have thorough knowledge of menus and the preparation required, according to hotel standards.
Proficiency in the following cooking techniques: charbroiling, poaching, deep-frying, sauté, braising, roasting and par-cooking.
Knowledge of herbs and spices and proper use of each
Perform other duties as requested by management.
