JOB SUMMARY

ESSENTIAL FUNCTIONS
Monitor assigned registration and/or authorization operations for compliance with daily workflow. Ensure daily workflows are followed and document variations for future review/implementation. Understand and modify all patient orientation materials related to hospital/department policies and procedures with Management approval. Perform ongoing audits of assigned operations and re-educates as needed.
Ensure timely management of office correspondence. Utilize office correspondence software as appropriate; Outlook, Mxie, TigerConnect. Monitor communication by staff and suggest improvement opportunities.
Support staff by maintaining a solid working knowledge of insurance coverage, benefits and authorizations, Medicare Secondary Payer (MSP) questionnaire and how to log responses, Advanced Beneficiary Notices (ABN) and Memos of Understanding (MOU's). Maintain a strong working knowledge of the estimate process and troubleshoot issues. Communicate insurance updates to staff and ensure compliance through audits.
Maintain providers daily schedules. Ensure rescheduling (if needed) is performed timely. Collaborate with Office Coordinators/Administrative Assistants to ensure accuracy of schedules. Communicate changes timely to appropriate team members. Support staff with vendor and equipment scheduling.
Ensure incoming referrals are processed timely by working with staff to call patients to make appointments within 24-48 hours, complete pre-registration, forward intake paperwork and prepare estimates. Collaborate with Clinical Managers, Office Coordinators and Administrative Assistants if necessary.
Maintain working knowledge of insurance contract authorization requirements and their relevant procedures and guidelines for obtaining approval. Understand how to determine exemptions within policies. Recognize out of network contracts and how to proceed with communicating financial options to patient. If needed, process auth requests and pre-notifications per office protocol and workflow guidelines. Monitor notification of required pre-certifications to be done, ensuring that all necessary pre-authorizations are completed and received, along with physician referrals and orders. Ensure communication occurs of any important authorization related information to clinicians/providers to minimize financial risk.
Ensure that an ongoing account review process is in place utilizing reports and worklists. Perform regular analysis and maintenance of accounts to ensure accuracy of data. Review, investigate, and resolve account issues/errors and re-educate, if necessary. Follow up on denied visits that are due to invalid or un-obtained authorizations that lead to non-payment. If applicable; re-apply for authorization and/or appeal decisions to recoup any lost revenue. Responsible for providing re-education to staff members who did not schedule, register or obtain authorization properly. Review registration workflows on a regular basis to ensure best practice. Report to manager when systems/processes are not working.
Daily support for the Patient Account Representatives. Ensure daily adequate staffing for each patient access area. Primary resource for patients/families. Provides other regular support to Patient Access Manager and Patient Financial Services Department when contacted for account inquiries regarding registration. Actively participates in PAR staff meetings as well as clinical department meetings as assigned. Understands all related issues pertaining to the outpatient front offices. Participates in the training and workflow coordination of other outpatient members or support staff.
