Job Summary:
The Patient Access Specialist serves as the first point of contact for patients and their families, ensuring a positive experience while supporting the efficient delivery of care. This role is responsible for scheduling, pre-registration and registration functions, verifying insurance and benefits, collecting payments and maintaining accurate patient records for patient flow, coordinates necessary documentation and provides exceptional customer service. As an integral member of the healthcare team, this position requires strong communication skills, attention to detail and the ability to work in a fast-paced environment while meeting productivity and quality standards.
Job Qualifications:
Education:
* High School Diploma or equivalent G.E.D. required.
* Associate's degree preferred.
Experience required:

Position unit accountabilities and competencies:
* Perform registration and pre-registration functions across multiple service lines using the EPIC system.
* Complete core patient access tasks in a designated functional area while meeting productivity and quality standards.
* Interview patients and/or their representatives to gather and accurately enter demographic information.
* Accurately collect and process patient demographic, clinical and financial information to ensure compliance with regulatory and organizational standards.
* Collect, scan and process required documentation, including legal ID's, insurance cards, consent forms, third party liability documents and advance care plans.
* Verify insurance benefits electronically and/or by phone to determine participating/non-participating status and specific service benefits.
* Collect co-payments and other patients' financial obligations at the time of service.
* Resolve patient checklists and work queue encounters to support smooth patient care.
* Complete account preparations for future visits.
* Receiving and triaging heavy incoming call volume and responding professionally.
* Provide cross-coverage across multiple functional areas within the department, adapting to daily changes in work assignments.
* Cross coverage across regional sites as needed/available.
* Perform registration and pre-registration functions across multiple service lines using the EPIC system.
* Performs other Patient Access functions as appropriate.

Position Summary
The Director, HSS Orthopedics with Stamford Health, offers an extraordinary opportunity to be an integral leader of this world class, groundbreaking institution, working collaboratively with the Chair of Orthopedics and Director of Service Lines and Operations, to establish and achieve administrative, clinical, research and educational goals and to manage and coordinate complex service operations. This is a multidimensional role driving improved performance in the midst of a changing market and evolving physician models.
The Service Lines Department is focused on strategic and operational support of the medical staff and the physician practice operations of these Departments / Services, collaboratively defining strategy, and executing operational initiatives to support strategic goals. To that end, the Director will serve as a key leader and help manage initiatives and operations for HSS Orthopedics with Stamford Health. This role will focus on strategic interdisciplinary initiatives, business development opportunities, day-to-day operations, departmental budgeting, and physician practice key performance indicators (KPIs).
Key Responsibilities
Strategy
Develop a deep understanding of HSS (Hospital for Special Surgery) and the complexities of the Stamford Health (SH) collaboration, including the institution's physician model. In partnership with departmental leadership and Department Chair/Service Chief, evaluate structural and organizational options to define the collaborative's vision and strategic plan.
Support departmental leadership in effectively designing and communicating a vision for the HSS/SH Collaborative and Connecticut Market, cultivating strong relationships and working confidently with staff at all levels of the organization to create an environment rooted in partnership and collaboration.
Support the development and implementation of the physician recruitment plan to accommodate the growing demand for services while meeting the needs of physicians for clinical activity and clinical research.
Partner with Department Chair / Service Chiefs and Departmental leadership with strategic planning, business development initiatives and projects to manage and optimize physician practice performance.
Facilitate the establishment of annual Department / Service Goals in administrative / business, clinical, research and education areas.
Onboard and orient new physicians to service programs, initiatives, and offerings, encouraging participation and engagement within service.
Serve as a key liaison between HSS and SH, partnering closely with SH leadership on physician recruitment, strategic alignment, and growth of the collaborative, ensuring that initiatives reflect the priorities and expectations of both institutions.
Operations & Physician Office Support
Work closely with the Chair / Service Chiefs to ensure that operations are consistent with the overall clinical and academic goals and support the individual and collective career goals of the faculty.
Establish and maintain processes to improve patient care, increase efficiency and ease the burden on physicians' office staff through programs such as implementation of various patient access initiatives
Partners with physicians and their respective service line leadership, maintaining a regular on-site presence to understand practice goals; work collaboratively to identify opportunities for growth and address operational issues through consistent communication and joint problem-solving.
Support physician office optimization efforts across multiple service lines, working closely with service line leaders and physician practices. Act as the key coordinator to ensure consistent changes and provide hands-on support, as needed.
Create and maintain a highly effective and efficient infrastructure using best practices and a continuous improvement mindset. Collaboratively set direction on performance improvement initiatives, designing and overseeing project plans, deliverable preparation, and stakeholder alignment to ensure successful execution of strategic and operational priorities.
Collaborate with Service Lines Directors and Chief Administrators to oversee Service Lines colleagues responsible for supporting physician office day-to-day management.
Develop improvement plans for offices and staff when needed to meet expectations in collaboration with Service Line Directors and Chief Administrators
Serve as a liaison to the hospital to help streamline the patient experience, manage patient throughput more efficiently and support the full continuum of care
Partner with Periop leadership on OR / SPU efficiency, optimization, and cost reduction efforts
Serve as operational business partner supporting financial performance and reconciliation across partners. Drive efficient resource allocation to meet organizational goals
Work closely with the Project Development, Planning, Design and Construction Department on renovation/relocation projects and new construction to support the growing needs of the Services, ensuring that new space is created to support the vision and goals of the Services
Maintain repository of service patient education, spearheading changes/additions when needed and communicating updates outward to relevant departments
Roll out Interdisciplinary Initiatives within Department / Service Line with support of Manager and office staff
Execution of any operational initiatives within Service Line with support from Manager (if applicable)
Partner with Manager of Physician Onboarding and Service Line leadership to conduct regular follow-up with new physicians following practice opening, establishing an active partnership to ensure growth and success of physician offices
Partner with Department Chair / Service Chief sand Chief Administrators on analysis of performance metrics, budgetary and service report
Administrative
Lead planning, organization, and follow-up for service and committee meetings, partnering with chairs to set priorities and ensure accountability
Represent the Service on hospital committees, project workgroups, and enterprise-wide initiatives
Oversee and lead departmental and service line projects, ensuring alignment with hospital policies and standards for excellent care
Coordinate schedules for residents, fellows, and attending physicians
Collaborate with Chief Administrators on key communications, including Annual Reports, Program Descriptions, and Physician Evaluations
Complete additional administrative tasks and projects as required
Market Growth, Outreach, and Strategic Alignment:
Collaborate with Marketing, Strategy, and Commercial Growth teams to support market expansion, practice visibility, and capacity optimization across the collaborative
Partner with Marketing on initiatives including media opportunities, website development, and printed collateral to promote service offerings and physician expertise
Work closely with the Strategy team to analyze market data and identify trends, referral patterns, and areas for growth
Support targeted community outreach efforts in partnership with Commercial Growth to reach patients where they are and enhance awareness of services
Develop a deep understanding of the local and regional market to identify and advance outreach opportunities that support physician practice growth and patient access
Education:
Promote and assist with development of educational programs for patients
Ensure service meets goals relating to training and education
Assist with management of academic calendar / conference schedule for service
Function as a liaison between the service and HSS Education Department
Development and distribution of communication materials
Requirements:
Bachelor's degree required; Master's degree (MBA, MHA, MPH or related) strongly preferred.
Minimum 5-10 years progressive leadership experience in healthcare operations, including management of multiple teams or service lines within a hospital or health system.
Demonstrated success in strategic planning, operational management, and financial oversight of complex clinical services.
Strong analytical skills with experience interpreting complex data and driving performance improvements.
Exceptional communication, interpersonal, and negotiation skills with the ability to build consensus and influence stakeholders at all levels.
Highly developed critical thinking skills with the ability to find creative and innovative solutions to complex problems and issues

5. Performs treatment planning system monthly QA.
6. Creates treatment plans to accurately deliver the Radiation Oncologist's prescribed dose while sparing critical structures.

8. Assists the Radiation Oncologist in the design of customized shielding to minimize doses delivered to non-target tissues (i.e. normal tissues).
9. Calculates "beam-on" times for the high energy linear accelerators in accordance with the treatment plan signed by the physician.
10. Collaborates in the setup of the patient with the radiation therapists including the use of treatment aids and immobilization devices.
11. Monitors each patient's treatment and records to assure the quality of their radiation treatments.
12. Reviews and compare the simulation radiographs with the treatment portal radiographs, when needed.
13. Participates in weekly Radiation Oncology chart rounds to review new patients' treatments and to assist in the peer review of the Radiation Oncologists' treatment planning.
14. Teaches dosimetry, simulations and treatment planning to Radiation Oncology Residents during their rotation through Physics.
15. Provides information for protocol patients

+ Assists, prepares and positions patients as required to perform imaging procedures.
+ Performs CT Scans and other Diagnostic exams.
+ Applies the necessary technical judgment to obtain studies of an acceptable diagnostic quality according to written protocols and the patients' needs.
+ Provides patient education relevant to specific imaging procedures by informing the patient of the nature of the procedure, the area to be imaged and any specific instructions the patient may need.
+ Operates all radiographic imaging equipment associated with CT, including but not limited to injectors.
+ Prepares patients with aseptic solutions and sterile drapes.
+ Assists in preparation of sterile surgical instruments and supplies needed for all CT Biopsy examinations.
+ Assists physician with room set up and procedure, when required, to include opening, and handing guide wires, catheters, etc.
+ Loads and programs contrast media power injectors according to established departmental procedures.
+ Prepares and operates equipment, sets controls, establishes proper "programs" under direction of the Radiologist.
