Scope The Regional Facilities Associate is responsible for providing day-to-day support for the Regional Office Manager. This involves various responsibilities, including, but not limited to local process management, project management, responding to facilities related inquiries, spearheading rollouts, building security management, vendor relationships and coverage in related areas for the Office Management Group. Responsibilities Assists in ensuring efficient management of the US offices and property; recommends additions and alterations to the physical property. Follows standard operating procedures for office opening and closing requirements, security, and office appearance, and follows up to ensure compliance. Acts as designated point of contact for Williams Lea and works closely with WL manager on staffing for US offices. Supports OMs in identifying and monitoring the procurement and expense targets of all office needs. Works in conjunction with Regional Workplace Associate on processes related to the office purchasing credit card. Reviews and makes necessary adjustments to local policies to remain in compliance with the corporate accounting and financial requirements. Participates in monthly conference calls and communicates pertinent information to other office managers and corporate heads. Distributes materials developed at regional level with other managers and ensures timely communication of all operational information; collaborates with senior management to drive implementation. Assists in managing floor plans and the software rollout (Eptura). Works closely with Regional Workplace Associate to oversee officewide budgets and supervise expenditures under approved budgets. Coordinates with Hospitality Manager and Facilities teams to track regular maintenance of equipment (e.g., heating and HVAC system, alarms, security cameras) and contracts for quarterly leases. Regional administrator for Open Path (access to all US offices). Ensures compliance with health and safety regulations. Tracks holiday event expenses across US offices. Serves as the creator and editor for the Office Management Group page of the intranet (The Hub), maintaining and updating a variety of resources including up to date office floorplans. Travel to offices to assist with buildouts, escalated facilities issues, and to exhibit regional presence. Aids the Regional OM as needed. Guides employees to the appropriate resources to resolve office related inquiries or issues. Provides support for regional projects and perform duties as assigned. As a Mortgage Specialist (MS), you will use your in-depth industry knowledge and experience to provide excellent client experience to our Financial Advisors and their wealth management clients throughout the home loans mortgage origination cycle. The ideal candidate will be a subject matter expert in jumbo mortgages, complex income and assets and have a high degree of comfort engaging with affluent clients and their advisors. An individual that exhibits high energy, takes ownership and demonstrates a collaborative pro-active approach is critical for this role. Established track record of developing and maintaining Client relationships Proven track record of meeting individual and organizational loan production goals while maintaining a large client base High school diploma or equivalent required Eligible for employment with an FDIC-insured institution and able to register with the Nationwide Mortgage Licensing System & Registry (“NMLS”) as a mortgage loan originator Skills/Abilities: Extensive knowledge of mortgage products and client service experience In depth knowledge of the compliance regulations and laws that govern consumer mortgage lending, including fair lending, privacy, RESPA, and TRID Strong communication skills, both written and verbal, and interpersonal skills required Self-starter with a strong sense of ownership; ability to manage time, prioritize and plan accordingly Proficient in the use of a variety of systems for accurate reporting and tracking; including MS Office (Word, EXCEL, Outlook, PowerPoint) Achieve high levels of Client and Financial Advisor satisfaction Proactively manage loan escalations as needed to ensure a timely resolution while providing an enhanced client experience Effectively manage a complex pipeline that includes Core, Complex (>$2M), and Unique (Entity) transactions as well as Employee, UHNW and PWM Channel Loans.
