PRIMARY RESPONSIBILITIES:
Under the direction of the Director of HumanResources, the Assistant Director of HumanResources, and the Supervisor of Personnel, the HumanResourcesSpecialist will:
Provide administrative support for hiring staff
Manage personnel and payroll data
Develop and present new hire and substitute orientation programs
Coordinate academic and athletic supplemental contracts
Create and submit various reports
Plan, attend, and represent MCPS at on-campus and off-campus recruitment events, including job and recruiting fairs
Support departmental operations through other assigned duties.
QUALIFICATIONS:
High School Diploma or GED
Effective communication, organizational, and interpersonal skills
Proficiency in Microsoft Excel, Word, PowerPoint, and the Google Suite for collaboration
Functional knowledge of commonly used office equipment and workflow technologies
Strong verbal and written communication skills
Ability to maintain confidentiality with a high degree of professionalism
Ability to multi-task, manage interruptions, and work under pressure
Commitment to working effectively with diverse employee groups as a member of the HR team
Ability to develop and present onboarding programs to small and large groups of newly hired employees
Skilled in data entry and information management with a strong understanding of HR processes, compliance requirements, and employee confidentiality

Description:
The HumanResources Intern at The Greenbrier will gain hands\-on experience in a professional HR environment while supporting the daily operations of the resort's HumanResources Department. Essential Duties and Responsibilities:

Job Duties
Health Benefits Management:
• Responsible for overseeing all health insurance plans, including medical, dental, vision, mental health, and prescription drug coverage, for both full-time active employees and separated employees, as well as their dependents.
• This includes managing COBRA and flexible spending accounts.
• Responds to all benefits emails, correspondence, and phone calls within 48 hours of receipt.
• Additionally, maintain employee benefits eligibility and retirement files within the Cardinal system.
• Direct the preparation of documentation and the processing of all payroll transactions for faculty, administrative staff, classified employees, and wage employees.
• Ensure that all transactions comply with state and federal regulations.
• Coordinate the reporting of all payroll transactions to the central office of the Payroll Section and Personnel Records.
• Enter all payroll changes into the DATATEL Colleague HR system on a semi-monthly basis.
New Employee Enrollment:
• Provide thorough benefits counseling to new employees.
• Follow up with them as needed to ensure they complete their enrollment paperwork in a timely manner.
• Enroll all new full-time employees in the retirement system, VRS Navigator, and regularly update their information.
• Benefits Communications: Conduct orientation and training sessions on benefits.
• Keep all active and retired employees informed about the policies of the Commonwealth of Virginia and Virginia Military Institute on an ongoing basis through webinars, seminars, and written materials.
• Address payroll-related questions from employees and resolve any discrepancies.
• Develop and distribute communications during Open Enrollment and respond to all inquiries.
• Life Insurance Management: Manage the enrollment and updating of life insurance for full-time employees, as well as disability insurance for all employees in the Virginia Sickness & Disability program.
• Calculate optional life insurance premiums for the payroll department and continuously review and update this information.
Minimum Qualifications
• A solid understanding of medical, dental, and vision insurance, as well as life insurance, flexible spending accounts, retirement plans, COBRA, HIPAA, and other employee benefits are essential.
• Proficiency in computer skills, especially with Microsoft Word and Excel, is required. The ability to multitask and learn new software programs is necessary.
• Strong organizational skills and attention to detail are also crucial.

• Associate degree with two years of experience in employee benefits
• Knowledge of Colleague system and Cardinal systems.

This role will primarily manage the humanresource aspects of the department while also being deeply intertwined with our financial operations as we aim to provide excellent customer service to our students and faculty.
The Business and HumanResource Coordinator will be a forward-facing departmental point of contact in the faculty recruitment process and will also work closely with our research team that drives a significant portion of the listed job duties. Gaining knowledge of external research is a key aspect of the position. This role will be asked to demonstrate initiative, exercise independent judgement, and use strong problem-solving skills to perform job duties. They should continuously strive for improved process efficiency and automation with focus on implementation of best practices in compliance with university, state, and federal guidelines.
Day-to-day responsibilities will include, but are not limited to, managing departmental faculty recruitment, employee onboarding and offboarding, I-9 oversight, international employee visa administration for H-1B and J-1 Visitors, student wage processing, completion and reconciliation of graduate assistantships, adjunct contracting and research P14 documentation, departmental volunteer documentation, departmental leave reporting, and general department business support duties as assigned.
Required Qualifications
Demonstrated ability for effective oral and written communication with a diverse group of people including administrators, faculty, staff, students, and external constituents.
Experience interpreting and applying complex regulations, policies and organizational processes.
Demonstrated ability to work independently, manage multiple competing priorities, and adhere to project and process timelines.

Preferred Qualifications
