Position Description Job Title: Senior Human Resources Coordinator Department: Human Resources Reports To: Director of Human Resources Location: Calvin Campus Residential Employment Status: Exempt Full-time Salary Range: $70,000 - $80,000 Summary Perform administrative and technical duties to support the hiring of adjunct, part-time, faculty through the generation of course teaching offer letters. Following up with faculty to ensure all hiring documents are processed prior to the start of each semester. Responsibilities include the student employment and other Human Resources Office management functions. Specific Duties and Responsibilities 1. Adjunct Faculty hiring and course teaching contracts generation i. Onboard Adjunct faculty including initiation of Background checks and New Hire paperwork include uploading employee information into the Employee Document folder for each new hire and any updated changes ii. Work with the Office of Academic Affairs and the different Program Chairs to ensure accurate and timely contracts generation iii. Generate all adjunct faculty contracts including revisions, upload to DocuSign and follow up with signature parties in order to ensure accurate and timely processing of payroll iv. After add/drop period work with the Office of Academic Affairs and the Program Chairs on revised workload and course teaching offering letters as appropriate v. Assist with the semi-monthly payroll spreadsheet/s for accuracy and timely payroll processing paloaltou.edu 2. Student Employment i. Conduct training for student employment managers to ensure compliance with student hiring practices ii. Conduct training with student employees to ensure accuracy in student employee hiring process and forms iii. Post student employment positions to the PAU website and remove once filled iv. Ensure new hire and returning student paperwork is accurately processed through DocuSign and uploaded into ADP and appropriately placed in the student employee file v. Send e-mail to student and manager authorizing the student's work start date vi. Perform Student New Hire Orientation vii. Train student employment managers and students on accurate entry of time in timesheets in ADP 3. Interface with Payroll i. Send e-mail to students and managers concerning inputting time in the timesheets and manager approval prior to each payroll ii. Follow-up on all timesheet exceptions in ADP to ensure all are cleared prior to payroll processing, including employee sick and PTO requests iii. Develop, initiate, and train student supervisors and students on new required student annual performance review 4. Assist with ADP Data Clean-up i. Assist with the Data Clean-up in ADP to ensure all adjuncts and students are appropriately coded for reporting 5. Miscellaneous Duties i. Order departmental supplies ii. Assist with the planning and attend training, recognition or social events coordinated with the department of human resources iii.
