Payroll-HR Support Associate is responsible for the overall operations of the payroll and HumanResources Administrative functions of the facility. DUTIES AND RESPONSIBILITIES
Payroll Functions

HR Administrative Support Functions

Responsible for completing and maintaining all functions of OKScreen such as background check, licenses, employee roster, provisional and permanent employees, re-checks, auto flag activities and ensuring compliance.
Conducts new employee orientations at facility to ensure employees gain an understanding of benefit plans and enrollment provisions.
Strives to ensure employee understanding of benefit programs by, regularly counseling employees/dependents as situations arise. Resolves employee issues related to health and welfare plans, refers difficult or very complex complaints to insurance agent and/or support team as needed.
Acts as a resource for employees to ensure their understanding and compliance with benefit and HR policies and regulations.
Assists with annual benefit open enrollment period each year, as needed. Processes benefit changes, including enrollment and termination forms within deadlines.
Ensures incident reports and related Workers Compensation claims are completed and submitted in a timely manner.
Assists in the completion of responses to unemployment claims and provides backup documents as required.
Maintains authorized personnel filing system that meets the needs of the facility and complies with current employment practices.
Assists with preparation of annual affirmative action plan, if applicable.
Completes personnel-related reports for management as requested.
Office Administration Functions
Answers phones, order office supplies, correspondence, maintains copy machines, and related office equipment, as required.
Files all documents as required.

Personnel Functions

Report known or suspected incidents of fraud to the Administrator.
Ensure that departmental computer workstations left unattended are properly logged off or the password protected automatic screen-saver activates within established facility policy guidelines.
Staff Development
Provide each newly hired personnel with orientation schedule.
Facilitate quality orientation program by communicating new hire orientation schedule to unit manager and unit staff who will participate in orientation.
Attend in-service training programs as scheduled.
Assist with recordkeeping for facility in-service education, and orientation classes for newly hired personnel.

In this role, you will work with senior and junior designers to assist in completing various projects. The projects include public transit, pedestrian and bicycle facilities, roadway, bridge projects, and other large private and public structures. Support the Donor Experiences team in all phases of event planning and execution by:
Attending planning meetings, as appropriate, to gain insight into the event planning process.
Assisting with event logistics, including registration, set-up, on-site support, and tear-down, to gain hands-on experience with events from start to finish.
Supporting event data management by helping with pre- and post-event documentation in the Linvio Events module.
Primary Responsibility - Administrative & Operational Support (50%)
Provide administrative support to help ensure the smooth operation of the Donor Experiences team by:
Maintaining an accurate, up-to-date inventory of event materials and supplies.
Preparing address labels, mailings, and name tags for events and communications.
Assisting with ticket packaging, distribution and related event mailings.
Responding to phone calls and emails promptly to provide excellent service and support to internal and external stakeholders.
Other duties as needed.
JOB COMPETENCIES AND EXPERIENCE:
Education & Certifications-
Oklahoma State University student in good standing with the university. Pursuing a degree in hospitality and tourism management, or related fields preferred, but not required.
Experience-
Knowledge of basic information systems
Proficiency in Microsoft Office products
Written and verbal communication
Organizational Competencies-
Creative, motivated, passionate, and team player
Self-starter with the ability to get up to speed quickly and work effectively with little direction or supervision
Time management and organizational skills with efficient decision-making capabilities and attention to detail
PHYSICAL REQUIREMENTS: Must use a computer terminal and view a computer screen for extended periods of time. Must talk in person or by phone (frequently and sometimes for extended periods) to people on campus and across the country. Must constantly use visual acuity to check printed and designed materials of various types. Must be able to navigate within the OSU Foundation. Typical office working conditions. Must be able to lift up to 50 pounds and be able to stand for extended periods of time.
