Position Summary: Event Coordinator for our Heart of Colorado Rural Philanthropy Days (RPD). RPD is a regional event that brings together nonprofit organizations with local and statewide funders, businesses, elected officials, and government agencies for a three-day conference. The purpose of RPD is to increase resources, collaboration, and the sustainability of the local nonprofit community by expanding the relationships and opportunities available. The Heart of Colorado region includes Chaffee, Lake, Park, Custer, Fremont, Clear Creek, Summit, Gilpin, and Teller counties. The event is collaboratively planned by a regional Steering Committee, and this position sits on the conference Leadership Committee alongside local event co-chairs. The Event Coordinator is a key individual to the success of the RPD conference. They are the informational liaison between the Committee, local government and businesses, vendors, presenters, and the host community. The Event Coordinator position reports to Community Resource Center staff. Primary Responsibilities: Β· Help identify quality venue and vendor options for the event, and advance relationships and contracts with selected vendors. Β· Assist in identifying and communicating with local conference sponsors. Β· Assist in outreach to presenters and panelists identified by the Steering Committee leaders. Β· Maintain an up-to-date budget (cash and in-kind revenue, expenses, balance), in cooperation with the fiscal sponsor and the Fundraising Committee. Β· Submit and track financial transactions including invoices, check requests, collecting W9s; be in communication with finance re: sending invoices and receipt of payment. Β· Provide information about nonprofit organizations, community-based groups, local governmental entities, and leaders in the Northeast Region. Β· Participate in Steering Committee meetings, and the wrap up meeting following the event. Participate in monthly subcommittee teleconference calls as needed. Β· Serve as a liaison to participants, presenters, vendors, event volunteers and the Steering Committee. Β· Assist with participant questions about registration, including phone and email inquiries from potential and registered nonprofit and local government participants. Β· Coordinate on-site conference logistics for the event including developing staffing plans, recruiting and supervising volunteers, and ensuring delivery from vendors of supplies and materials. Β· Responsible for day of organization and flow of events at NE RPD; organize details of conference to share with the team and volunteers through a tool such as a minute by minute. Responsibilities: Responsibilities include, but are not limited to: CRC Behavioral Support & Data Collection Monitor the behavioral health of all animals in our care Conduct daily behavior rounds of all animals in the shelter and regularly participate in shelter daily rounds to ensure timely delivery of care and open communication. Create daily treatment plans and work closely with the two other Senior Managers to coordinate activities of behavior staff Participate in Medical, Sheltering, and Behavior meetings to ensure smooth collaboration among all areas of expertise and holistic care for animals Assign dogs to playgroup participation; monitor and track their behavior Conduct behavior evaluations for a variety of populations (hoarding case and puppy mill dogs, fighting dogs, shelter dogs and cats, animals rescued during disaster relief efforts) Serve as an expert handler for fearful and/or aggressive dogs (e.g., during medical exams, intake procedures, humane euthanasia) Monitor the effectiveness of treatment interventions through behavior database to track shelter animal progress Lead weekly treatment meetings with CRC behavior staff to troubleshoot behavior modification techniques and collect info to inform outcome decisions Provide behavior support to Response Partners and foster parents or delegate this task to Behavior Specialists when appropriate Ensure that all team members have received training and mastered the skills to handle dogs and cats in a low-stress manner, and that they implement these handling techniques consistently in all their interactions with animals Provide a safe and compassionate environment for animals in our care, our staff, and for our clients by using low-stress handling techniques. Once proficiently trained, this position may work a full overnight shift approximately 3-5 times per year or a partial overnight shift 6-10 times per year to cover vacations for our overnight staff. The target hiring range is for new hire offers only, and staff compensation may increase beyond the maximum hiring range based on performance over time. Responsibilities: Responsibilities Responsibilities include, but are not limited to: Contact Center and Clinical Case Management (90%) Professionally manage medical cases initiated by telephone, email, and other electronic means, from practicing veterinarians, animal owners and others. Obtain complete case histories and provide detailed and accurate diagnostic and treatment recommendations appropriate to the professional level of the caller and based on established APC protocols. Enter (type-in) information into the electronic record efficiently and accurately as conveyed during communications with caller and consultations with APC DVMs. Document exposures and risks, and relay detailed treatment recommendations per protocols and verbal instructions. Create follow up actions to have records evaluated and closed by appropriate personnel. Utilize ASPCA/APC resources to manage cases and access protocols, policies, and procedures. Consult the on-site experts, managers, and senior staff as needed for additional case management information. Complete follow up phone calls to pet owners and veterinary clinics as needed to obtain additional information regarding outcomes on specific cases. Collect payments from callers with provided software tools. Achieve quality and customer service-related goals as defined, exemplifying our core values and behavioral competencies. Meet case management quality, customer service, and volume metric goals as set for specific levels of tenure. May be assigned to other duties as necessary Training and Professional Development Opportunities (Up to 10%) Actively participate in on-site, off-site, or virtual training, including attendance at monthly support staff rounds. Assist in supportive activities which may include development of protocols for the medical library database, contributions to APC blog posts on toxicology related topics, participation in the staff mentorship program, and assistance with special projects as needed May be assigned to other duties as necessary. Qualifications This is a regional remote position. Candidates must be U.S. based and reside within a 350 mile radius of the ASPCA Office in Champaign, IL for the duration of employment. Up to 20% travel may be required, as this position requires occasional on-site training and support. A remote work agreement is required for staff not working at the ASPCA Midwest Office in Champaign, IL. In order to maintain optimal internet connection, a download speed of at least 30 Mbps, an upload speed of at least 4 Mbps, and a ping/latency less than (or around) 120ms is required. Staff will work daytime hours during their initial training and will be moved to later shifts incrementally, following the training schedule. Once training is complete, this position will begin as an evening or late evening shift, with shifts starting at 5p CT or later. Eligibility for earlier shifts is based on seniority. Schedules are subject to change at the sole discretion of the ASPCA Veterinary Technician credentials (required) in the state of residence, i.e., CVT, LVT, RVT. Must obtain CVT credentials in Illinois within one year of hire. Ability to handle emergency and/or challenging situations in a compassionate and consistent manner. Must have knowledge of and experience with PCs, basic office and Windows software, e-mail and Internet searches. Must display excellent internal and external customer service skills. Must have strong interest in toxicology. Must interact effectively with others with others and exercise good judgement when dealing with people in sensitive situations. Must possess excellent interpersonal, written, and verbal communications skills. Strong motivation to provide a high standard of care is essential.
