    We're hiring two highly motivated and experienced Senior Administrative Associates to provide strategic and operational support to IDEXX leaders, one to join us in Westbrook (IDEXX World Headquarters) and the other in Scarborough (our Horizon Center). As a Senior Administrative Associate, you act as the primary point of contact for a key leader. You are a liaison across the leadership team and with external stakeholders. You triage and delegate critical work, manage high-stakes priorities, help ensure seamless execution across a broad portfolio of strategic, operational, and logistical initiatives to support the business, and handle additional office activities. In the role of Senior Administrative Associate: * You will provide high-level administrative support to the stakeholder and their team, using professionalism, discretion, and efficiency. * You will provide administrative support via calendar and meeting management, resolving scheduling conflicts, facilitating meeting logistics and technology, and preparing meeting agendas and materials. * You will coordinate domestic and international travel, prepare and review expense reports, and manage Concur submissions. * You will assist with presentation creation and join key meetings when appropriate to stay ahead of deliverables and identify support opportunities. * You will manage projects of varying scope and complexity. * You will remain knowledgeable of business unit policies. * You will facilitate information flow among team members, answering questions and providing information as needed. * You will be a "go to" person for a dynamic, collaborative, and fast-paced global team. What you need to succeed: * Minimum 5 years of executive support experience in a corporate environment. * Experience working for a Global organization preferred. * Extensive experience supporting multiple high-level Executives. * You will need to be a master multi-tasker with the ability to shift priorities easily and often. * You will enjoy working in a fast-paced and dynamic work environment and take pride in checking items off your list. * Exceptional communication skills with close attention to detail. * Excellent customer service skills are imperative, starting with a can-do attitude with a focus on being positive, proactive, and providing solutions. * Technical skills and knowledge of the Microsoft Office platform, as well as confidence in troubleshooting video conferencing or meeting room audio visual challenges, are strongly encouraged. * You must demonstrate a high level of service and professionalism. * You will be comfortable with ambiguity and confidence in making decisions in the moment when direction is limited. Leakage Identification and Prevention: Monitor the entire revenue lifecycle-from customer acquisition and service provisioning to billing and collections-to identify risks and perform root cause analyses for discrepancies (e.g., billing errors, fraud, uncaptured services). Auditing and Compliance: Conduct regular audits of billing systems, customer accounts, and internal controls to ensure compliance with regulatory standards, internal policies, and contractual terms. Extract and QC nucleic acids from a variety of samples for NGS and dPCR (e.g. clinical tissues, liquid biopsy, and cell models). Work collaboratively within the Genomics team to convert biomarkers into molecular assays and across cross-functional R&D teams to support larger multi-omics objectives. Perform data quality control and troubleshooting, maintain accurate documentation, and continually improve lab infrastructure and workflows. Maintain a world-class molecular lab alongside other wet lab scientists.     The Veterinary Software Business Services & Subscription team is looking to add an additional Business Support Specialist to our team with a focus on Enterprise Accounts to help meet business demands. The role is a unique combination of bookkeeping and account management. This team is part of the Veterinary Software Customer Experience division, a dynamic department that is focusing on improving the customer experience across IDEXX software from time of sale throughout the customer lifecycle with our solutions. This Business Support Specialist would focus on performing a variety of activities in support of accurate, timely billing of IDEXX software products. The individual will be addressing internal and external customer inquiries in a timely fashion. In this role you may be asked to process orders for new corporate groups, complete winshuttle (excel) files for triggering billing, audit whole groups billing for a specific product or set of products, and other items as related to the Enterprise Account feeling comfortable and confident in the accurate billing of their software purchases. This individual would partner with leadership, and team mates on creating process flows for efficient billing design with new products or changing pricing models. We expect this role to bridge communication between our more accounting focused back office team and the customer or sales professional. This role can be customer facing at times, but is highly engaged with internal stakeholders to ensure we achieve the customers objectives with billing. What you will do: You will ensure compliance with audit standards and financial guidelines. Provide content pertaining to billing or data management to stakeholders (internal and external), resolving issues and ensuring customer satisfaction resulting in payment of invoices. You will collaborate with leadership and internal stakeholders on billing process design for new products, and process workflow improvements for existing software products and team(s). Ensuring clear documentation of process workflows and work instructions are crafted and maintained ongoing. You may generate billing files and/or supplemental documentation to support accurate invoicing and on time payment by clients. Audit against monthly promotions and adjustments to ensure accuracy of billing against contracts for products and accounts. Attention to detail. Organized with the ability to multi-task. Solid follow through with limited to no supervision. Familiarity and prior usage of SAP is strongly preferred Data Analytic skill set, including basic to intermediate experience in excel (i.e., sum, v or x look up familiarity). Experience with python or tableau preferred but not required. Customer Service and relationship building skill set with strong customer facing professional communication both verbal and written Comfortable with adapting to situations and positively navigating change. Process improvement experience and aptitude. Ability to work independently and as part of a team. Communication and cross-functional collaboration skills, both verbal and written, including the ability to communicate complex technical issues to technical and non-technical users in a professional, positive, friendly and understandable manner. High quality customer facing interpersonal skills, with experience working with customers and maintaining good customer relationships. You will have phone skills, with the ability to establish rapport. Technical record-keeping management skills. Personal computer skills, including Microsoft Office.
