Job Summary:
Coordinates the Service Department's daily activities and provides support to internal and external customers. This position is part time Monday-Friday approximately 20-25 hours per week. Some flexibility with hours may be available.
Job Duties:
Ensure and maintain a high level of customer satisfaction for both internal and external customers.
Assist the Service Manager with the documentation of departmental standard operating procedures and processes, required for quoting and processing customer calls.
Assist Service Manger ensuring incoming customer service request are processed in a timely manner.
Assist Service Manager with the promotion of service products (contracts, training, etc.).
Maintain the master service schedule reviewing regularly to adjust for changes in customer requirements, delay in receiving materials and availability of resources.
Ensure payment terms and purchase orders have been have been received and requirements met prior to scheduling infield service.
Coordinate/Assist with travel arrangements and documentation.
Open and close service orders.
Provide customer follow ups.
Answer and distribute customer phone inquiries to the appropriate in house specialist
Responsible for all month end billing, including assisting accounting in generating invoices for service billing.
Prepare accurate, detailed service quotes.
Assist the Service manager in developing teamwork to obtain department objectives
All other duties as assigned.
Qualifications:
Intermediate knowledge of MS Office.
Proficient in SAP.
Excellent written and verbal communication skills.
Strong time management skills, ability to work independently.
Team Player.
Strong attention to detail.
Education/ Experience:
HS Diploma or GED.
Experience in an administrative role a plus.
