Job Description
We are looking for a highly organized, energetic, initiative-taker who enjoys a fast-paced work environment and takes ownership in all aspects of their work. The successful candidate will possess outstanding customer service, multitasking, critical thinking skills, and the ability to react with appropriate levels of discretion and urgency to situations or events that require quick response and effective communication. They will also demonstrate a keen sense of initiative, a collaborative work style, and a strong work ethic, taking pride in cleanliness, efficiency, and accurate record-keeping and documentation. Physical aspects of the job include heavy lifting, carrying, transportation, and manipulation of maintenance equipment and appliances, standing/walking for extended periods, bending, kneeling, stooping, climbing, and balancing. This position requires some weekend and
holiday work and the ability to be “on-call” for emergencies.
Objectives of this Role
Supervise all maintenance of the physical condition and appearance of the property (grounds, internal, exterior).
Organizing, coordinating, and managing the overall maintenance operations including curb appeal, timely work request service, quality turnover/make-ready schedule, and cost-effective inventory control and ordering for the property.
Assure all service requests are completed, daily.
Generate and manage an effective on-call schedule. Able to perform effective emergency (after hours) maintenance, as required.
Assist and lead Punch List for vacated units, ensuring the units are move-in ready according to company /ownership standard, re-inspect vacant or punch list units after make-ready have been completed to determine the quality of work performed.
Obtain bids and negotiate prices as necessary with vendors and contractors.
Manage and maintain all contracts and warranties, diagnose, and perform minor and routine maintenance/repair in a timely and professional manner.
Provide ongoing training and leadership to Maintenance staff.
Experience in a high-rise or mid-rise apartment buildings preferred
Desirable Experience
Minimum 3-5 years of experience in property maintenance.
High school diploma or equivalent (BA preferred).
Excellent verbal and written communication skills.
Ability to exercise quick and accurate judgment and maintain confidentiality.
Effective conflict resolution and customer service skills.
Ability to effectively prioritize numerous requests and incoming information to ensure an appropriate level of response and urgency is given to each.
Ability to set priorities and multi-task with strong diligence.
Working knowledge of Yardi or other property management software preferred.
Current driver's license and proof of automobile insurance.

SUMMARY
This role oversees and performs technical and mechanical work that ensures the inside and external buildings, ground, amenities, and common areas of the community meet the Company's standards for cleanliness, appearance, safety, and overall functionality.
JOB DESCRIPTION
* Assists and completes work orders generated from resident requests for service, as well as routine upkeep on the community by diagnosing the source or cause of the defect or problem, and making repairs in accordance with established policies, procedures, safety standards, and code requirements.
* Oversees and completes the "make-ready" process to prepare vacant apartment homes for leasing and new move-ins by completing the pre-move-out inspection, creating a "punch" list of maintenance work needed, scheduling vendors and contractors as needed, obtaining needed supplies and materials, completing all maintenance tasks, and inspecting completed work.
* Develops standards for the cleanliness and overall appearance of the community's grounds, amenities, building exteriors, market ready unit interiors, breezeways, curbs, signage, leasing office, central garbage areas, parking lots, and other buildings and common areas to ensure that they reflect and represent the high quality of the community and Greystar standards.
* Periodically inspects work performed by other service team members to assess effectiveness of policies and procedures and develop corrective action plans as needed.
* Periodically inspects work performed by contractors, vendors and other service providers to verify the work, materials and services meet quality standards, scope and specifications as required.
* Maintains adequate inventory of spare parts and maintenance materials and works with Community Manager to order supplies and tools as needed to stay within budgetary guidelines.
* Completes monthly preventative maintenance procedures as outlined in the Policy and Procedure Manual.
* Assists Community Manager in developing the budget for regular repair and maintenance and capital projects.
* Supports cost-cutting and expense control programs by fixing rather than replacing parts when possible, not being wasteful with materials and supplies, and practicing the correct use for tools and equipment.
* Conducts regularly scheduled Greystar safety meetings, ensure all MSDS sheets are current and readily accessible, and keeps up to date on all OSHA and other safety related laws and requirements to ensure community compliance.
* Demonstrates customer services skills by treating residents and others with respect, answering questions from team and residents, responding sensitively to complaints about maintenance services, and assigned work orders with efficiency and urgency.
BASIC KNOWLEDGE & QUALIFICATIONS:
* High school diploma, GED, or related experience and training.
* Experience in property management maintenance, other building maintenance, or related trade.
* Incumbents must provide own hand tools unless prohibited by State law and must be knowledgeable and skilled in the safe use and maintenance of hand tools, power tools, user-moved aids, mechanical equipment and measuring devices.

SPECIALIZED SKILLS:

Essential Functions and Responsibilities
The Community Manager / Maintenance is responsible for the day-to-day operations, physical asset, and maximize the financial returns of assigned property. Effectively coordinates business operations of HUD/RD or Tax Credit properties, leasing, collections, marketing resident services, maintenance, risk management, expense control, information reporting, and compliance with applicable laws and company policies. Ensures compliance with company policies and procedures. Comply with State Residential Landlord & Tenant Acts and all other governmental laws and regulations. Implement Cascade Management's policies and procedures. The role is also responsible for buildings and grounds in a clean, orderly, and safe condition. Maintains facility in good repair by performing the following duties: maintain building by performing minor and routine painting, plumbing, electrical wiring, construction, janitorial, and other related maintenance activities when required. Ensure that all repairs are handled in a timely and appropriate manner.
Essential Duties:
Responsible for tracking and reconciling properties' Accounts Receivables.*
Responsible for approval, issuance, and timely processing of unpaid and late rent notices. Make recommendations to management for improvement of company policies, procedures and practices. Communicate with Supervisor regarding the overall function of the property.
Handle resident evictions along with the service and preparation of appropriate notices. Issue and ensure timely processing of 30/14 notices.*
Responsible for collection of rents, maintain petty cash, ensure proper accounting of monies collected, and make deposits in a timely manner. Log and collect late charges, NSF, and other charges. Deliver rent increase notices to residents.*
Promote harmonious relations among tenants, employees, owners, and the local community. Maintain a pleasant, helpful manner at all times.*
Complete and submit timely weekly reports; maintain neat and legible records at all times.*
Assist Portfolio Managers in preparing for property inspections.*
Perform daily property inspections to ensure visual appeal of property and maintain hazard-free conditions. Inspect buildings and grounds daily to ensure cleanliness; alert maintenance to items that need to be repaired.*
Maintain organized file system for resident information. File and maintain resident records; keep an adequate supply of forms and postage on hand.*
Work with Maintenance Technician to manage vendor selection and relations to ensure quality performance.*
Ensure compliance with applicable federal and state regulations associated with business operations.
Transfer over/under-housed residents by moving residents to properly sized housing unit as approved by compliance department. Maintain waiting list files of eligible applicants and files of removed/rejected applicants.*
Show apartments, accept applications, and screen applicants (verifying and certifying each resident's income at initial, interim, and annual re-certification) to determine eligibility in accordance with company policies and procedures and applicable regulations; complete resident move-in sheet with resident; ensure utilities are transferred.*
Ensure that the highest possible occupancy is maintained through continuous outreach efforts and advertisements as specified by the
Affirmative Fair Housing Marketing Plan. Develop, plan, and implement resident retention strategies.*
Responsible for responding to resident complaints.*
Understand rental agreement and residency policies and be able to explain them to residents.* Maintain building by performing minor and routine painting, plumbing, construction, janitorial, and other related maintenance activities when required.*
Ensure that all repairs are handled in a timely and appropriate manner. *
Initiate, perform, and oversee maintenance projects up to $300; PM approval needed for anything in excess of $300.*
Pick up trash on grounds. Keep breezeways, sidewalks, and grounds clear of clutter and debris.*
Clean and turnover vacant apartments to include all actions necessary to make the apartment rent-ready for the next tenant.*
Conduct move-out inspections and reporting, check smoke detectors on a regular basis to ensure proper operation, perform other inspections when directed or required.*
Requisition supplies; purchase tools and equipment (subject to supervisor approval); keep storeroom/shop clean, safe, and organized.*
Prepare and complete maintenance requests, work orders, and update Property Maintenance Log daily.*
Perform regular preventative maintenance inspections of all units.*
Notify the Regional Portfolio Manager of safety-related issues and lease agreement violations.*
Respond promptly to after-hours calls and complete necessary repairs.*
Assist in setting specifications, solicit bids, review independent contractor qualifications, and monitor performance to ensure conformance to contract specifications for major renovations or repairs.*

Education and/or Education
High school diploma or general education degree (GED); and one year related experience and/or training; or equivalent combination of education and experience.
Certificates, Licenses, and Registrations
Valid Driver's License and insurance is required.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability Tool Requirement
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Tool Requirement
Cascade requires that in this Community Manager/Maintenance position, the employees supply their own tools to perform maintenance work at worksites. A list of required tools to perform the basic maintenance functions of the job description must be able to be obtain within 60 days of employment.
