Job Description

DMS is seeking a Junior Webinar Coordinator to work on one of our new contracts to provide support services for ongoing webinars and web-based meetings. The Junior Webinar Coordinator will be responsible for supporting with webinar pre and postproduction activities. The ideal candidate should be prepared to schedule and support, manage and deliver up to five simultaneous webinars or meetings.

Responsibilities

+ Set up a designated email address to provide direct support to webinar/meeting participants and client staff

+ Schedule and configure meetings and webinars, including:

+ Create or schedule meeting or webinars and events using the meeting platform

+ Provide relevant information about each webinar to client staff for publication and or dissemination including webinar date, time, link to register, and information on how to join the webinar

+ Arrange for English-to-English and English-to-Spanish live captioning for all webinars and meetings delivered under this contract, and Spanish-to-Spanish live captioning for up to 10 webinars

+ Configure evaluations and/or polls

+ Conduct back-end administration of the webinar or meeting (e.g., triage questions, open and close polls, turn on and off annotation, advance slides, etc.)

+ Assist participants with connection, audio and visual needs

+ Provide advance support for client staff in testing device compatibility with webinar platform

+ Assist participants who have issues with registration or joining webinar sessions

+ Conduct one or more pre-webinar/meeting rehearsal with AmeriCorps staff prior to the delivery of the live meeting or webinar

+ Provide transcripts of the webinar as a Microsoft Word document within 3 business days of the occurrence of the webinar

+ Provide post meeting/webinar reports to the webinar or meeting lead. These reports include device reports, attendee reports, registration reports and other reports available within the meeting platform

+ Provide post-production captioning as needed by uploading the files into YouTube and using YouTubes auto captioning. Check the accuracy of the captioning and upload the recording to AmeriCorps Learning Management System

+ Experience with virtual meeting/webinar/event coordination and scheduling

+ Proficient computer skills (Microsoft Word, Excel, PowerPoint, and SharePoint)

+ Demonstrated ability to work in a highly collaborative environment with a heavy emphasis on teamwork

+ Proficient with webinar and meeting platforms: Microsoft Teams, Zoom Meetings, and Zoom Webinars

+ Minimum Experience: 5 Years

Education

+ Associates degree or equivalent in Business Administration, Finance, Organizational Development, or other technical fields of study from a regionally accredited college or university.
