DUTIES/RESPONSIBILITIES:
* Submit all universal life, term, annuities, simplified issue, final expense and also includes rollovers/conversions into the insurance processing system. Verify the accuracy and completeness of the application and related documents. Determine administrative requirements for New Business processing. Process and allocate all money received.
* Activate policies after underwriting approval on insurance processing system, which includes policy dating, error corrections, changes, delivery requirements and drafting initial premium if necessary. Review and approve annuity and conversion applications (if applicable). Order policy pages after final check complete.
* Handle applications and various documents received within our electronic imaging workflow system to prepare them for submitting and/or processing of pending business. Coordinate and maintain applications within the workflow system while processing for New Business.
* Communicate with agent/agency concerning questions about application processing and administrative procedures by phone, fax and email. Maintain the pending write system for new apps, initiate application writes on application omissions or questions. Order requirements from third party vendors or other requirements as requested by the underwriter. Type Modification Forms, App. Cont. Forms, and/or Policy Amendments when changes are requested by the underwriter and/or agent
* Process withdrawn, declined or cancelled cases; order letters, complete journal entries for refund of money. Execute replacement notifications. Mail letters checks to clients.
* Resolve questions, errors and system signals; calculate premiums and/or run an illustration and the ability to research rate book guidelines on all products. Cross train on other functions within New Business.
* Execute replacement notification by reviewing state replacement regulations to determine individual state requirements. Send notification to other insurance/annuity company along with appropriate supporting documents (if applicable). Process 1035 exchanges and fund transfer paperwork (if applicable). Follow up on these requests with other companies.

Job Description:
The Accounts Payable Manager is responsible for overseeing the day-to-day operations of the accounts payable function within Advantage Dental +. This role ensures timely and accurate processing of invoices, expense reports, and payments while maintaining strong internal controls and vendor relationships.
Key Responsibilities:
Manage and supervise the Accounts Payable Coordinator, providing guidance, training, and performance feedback
Oversee daily accounts payable operations, ensuring accuracy, efficiency, and compliance with company policies and procedures
Review and approve invoices, expense reports, and payment requests
Design, implement, and monitor comprehensive internal control procedures for all accounts payable activities. Prepare and analyze accounts payable reports for management review
Collaborate with other departments to streamline processes and improve efficiency
Support timely and accurate completion of monthly and annual closing activities by reconciling accounts payable balances to the general ledger and resolving any discrepancies. Prepare accrual entries for unprocessed invoices. Generate required reports including aging schedules, outstanding liabilities, and vendor analysis for management and financial reporting purposes. Coordinate with the accounting team to meet all closing deadlines and provide supporting documentation as needed.
Stay current with accounts payable best practices and recommend process improvements
Performs testing for new project implementations along with supporting system upgrades ensuring full end to end testing is performed successfully and timely
Qualifications:
Bachelor's degree in Accounting, Finance, or related field
4+ years of experience in accounts payable, with at least 1 year in a supervisory role
Strong knowledge of accounting principles and practices
Proficiency in accounting software and Microsoft Office Suite
Excellent analytical and problem-solving skills
Strong attention to detail and ability to manage multiple priorities
Effective communication and interpersonal skills
Experience with process improvement and implementing internal controls
Sage Intacct, DocLink, and Avid Pay experience is a plus

* Review daily account activity; establish recurring bill payments and client disbursements, keep client and FA apprised of any unusual activity in the account, monitor the yearly gift from the client to insurance trusts for payment of premiums. and revalue charitable trusts on an annual basis to ensure payments are going to the beneficiaries per the trust provisions.

Salary Range: $79,300 - $119,000
