Job Summary This person will be responsible for dispatching technicians and acting as a resource for customers and other departmental managers on all types of projects as needed. Essential Duties & Responsibilities • Customer Service / Taking service calls from customers via telephone and e-mail. • Managing service calls from receipt to billing. • Check "incomplete" calls and update status in internal work order notes. Notify managers of any situations that require follow-up. • Accurate review of all previous day field visits before billing to ensure proper language and spelling. • Continuously manage the dispatch board throughout the day. Check all open calls and dispatch accordingly. • Daily scheduling and dispatching for field technicians. • Complete customer and coworker requests. • Process quotes from the service technicians and send them to the customer daily. • Call the customer to confirm that they received the quotes and answer any questions. • Schedule any approved work and order parts as needed to get work done. • Work with the construction foreman to type quotes for unit replacement or new installation. • Set up and scheduled jobs for the construction department and ordered the material. • Make a work-in-progress report on all projects that is reviewed weekly by management. • Track and ensure that all PM Service contracts are renewed on time every month by the sales department and management. • Oversee shipping and receiving. Fill out a receiving label with the job name, job number, date, PO number, and contact name. Verify that we receive the parts that are on the packing slip. • Check off the received items and highlight the back-ordered items. Put a copy of the packing slip in the box with the parts. Give the person who requested the parts a copy of the packing slip. • File a copy in the job file. Update the receiving log by writing in the PO number, the part description, the vendor, the job name, and the job number. • Other duties as needed. Essential Duties & Responsibilities The ability to understand the design and intent of mechanical equipment and systems (Chiller, Boiler, Custom AHUs, Primary/Secondary pumping, Variable Flow Chilled Water Plants, Clean Room Applications, Demand Response, and Energy solutions). Create and manage design submittals and RFI's. Provides quality control of control design and technical aspects of assigned projects. Development of department standards. Lead designers, subcontractors, and vendors to ensure required design & installation information (is provided correctly and on time. Review subcontractor & engineering performance and provide feedback to the Project Manager. Coordinates purchase of necessary supplies, equipment, and services from appropriate sources and maintains proper inventory control, maintenance, and consumable supplies. Authority to review and approve design submittals to ensure compliance. Analyze systems and develop scope of work for controls implementation. Monitor, identify, and diagnose potential problems using computer workstations and on-site observations. Interface with customers, engineers, and contractors as needed. Lead customer training on assigned projects as needed. Lead technical and programming efforts on large enterprise multi-site accounts as needed. Maintain relationships with customers on assigned accounts. Ensure successful warranty turnover on assigned projects. Partner with customers as a trusted technical advisor Function as technical and programming lead on assigned projects and accounts. Partner with the project team and delegate tasks as needed to ensure successful project execution. Provide coaching, mentoring, and technical assistance to field staff and customers. Partner with the design and graphical team and make recommendations to improve customer deliverables and process efficiencies. Able to locate defective or non-operational components in new and existing systems using test equipment and programming expertise. Qualifications Bachelor's degree in engineering (preferably Electrical or Mechanical) or equivalent field experience. 7+ years of field experience and 5 years of direct automation experience (BAS) with control systems and programming required would fit this position. Knowledge of DDC Control Theory, BACnet, LON, and Modbus Control systems product line knowledge with ALC, Alerton, Delta, Distech, Honeywell, JCI, Loytec, Niagara, or Trane a plus. Strong integration knowledge of LON, BACnet, Modbus, and proprietary systems a plus Ability to interface with customers at a supervisory and management level. Engineering skills required including knowledge of electronics, mechanics, hydraulics, pneumatics, or computer programming. Knowledge of BAS analytics and/or fault detection & diagnostics (FDD) software platforms a plus. Microsoft Visio a plus. CEM certification or equivalent a plus. Excellent verbal and written communication skills. Good computer skills, understanding of controls networking. SUMMARY The Assistant Project Manager position is a critical role for the company. This individual will be responsible for assisting the Project Manager with planning and coordinating activities in the construction schedule. He or she will help with organization, scheduling, budgeting, and implementation. This individual must have the ability to support the Project Manager in resolving field problems as they arise. He or she needs to have the ability to monitor job progress and understand construction financial and accounting practices. ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following. Other duties will likely be assigned. Support Project Manager in driving project's overall flow effectively from inception to completion. Review contract and bid documents from estimating; review and understand scope for project turnover. Attend walk-throughs. Assist with project document control, including but not limited to, insurance, bonding, permits, submittals, RFI's, change orders, correspondence, etc. Ensure documents are centrally saved in the project's chosen document control software. Verify correct drawings are distributed to field. Assist with schedule of values, or billing format as required by the contract documents. Support project schedule showing completion, delivery dates and sub requirements. Integrate into overall project and manpower schedule as required. Request PO's for major equipment and subs indicating shipping requirements, and anticipating delivery dates. (Request proper delivery notice at that time.) Facilitate material takeoffs by trade foreman. Attend all necessary meetings with both internal and external entities to review scheduling and delivery, work plans, job progress, manpower, and solutions to setbacks. Support accounting department in monthly billings and collections and follow up on outstanding balances. Collaborate with foreman regarding project safety. (Toolbox talks and weekly walk through.) Gather information for changes in work and turnover to estimating for pricing. P.M. will finalize C.O. pricing after estimating completes takeoff and attempt to maximize profit on C.O.s. Ensure no work starts prior to approval or notice to proceed. Assist field personnel in closeout of project. Obtain as-builts from field, request CAD from engineering. Escalate critical and/or sensitive issues to the Project Manager with recommendation for resolution. Comply with all Company operating policies, procedures, and safety programs as established. Perform additional assignments as required by the needs of the company or as directed by executives.
