Adams & Martin Group has partnered with a well-respected law firm to identify an experienced Litigation Legal Secretary for their team. This is a full-time, on-site opportunity supporting attorneys with high-level litigation, legal document production, trial preparation, and administrative responsibilities.
Responsibilities
Perform advanced and highly skilled legal secretarial duties, including drafting, proofreading, and preparing complex litigation documents, pleadings, and correspondence
Maintain consistent communication with attorneys, paralegals, clients, and regulatory agencies while upholding strict confidentiality of all legal matters
Handle litigation calendar management, including monitoring court appearance dates, deadlines, filing requirements, and trial schedules
Set up shell pleadings with minimal supervision and follow court-specific litigation protocols for federal and state courts
Coordinate attorney travel arrangements, meetings, conferences, and trial preparation logistics
Process incoming mail, enter attorney time, and prepare expense reports
Exercise sound judgment and discretion when communicating with clients and legal partners
Provide administrative support, overflow support, and serve as a team facilitator/team lead when needed
Recommend and implement new procedures to improve workflow efficiency
Maintain organized physical and electronic litigation filing systems for accurate document retrieval
Perform clerical tasks including photocopying, mailing, messenger/FedEx coordination, and transcribing dictations or telephone messages
Use litigation knowledge to ensure accurate and timely e-filings in federal and state courts
Apply strong attention to detail when proofreading documents for accuracy, grammar, and legal formatting compliance
Support attorneys with multitasking across competing litigation priorities and deadlines
Integrate fully with the litigation team and contribute to a proactive, collaborative environment
Qualifications
Minimum of seven years of litigation secretarial experience in a law firm
Expert-level knowledge of litigation court protocols, filing requirements, and e-filing procedures (federal and state)
Strong proficiency in Microsoft Office Suite and legal document production
Ability to type 60+ WPM
Strong communication skills, professionalism, and ability to work with confidential legal information
Highly organized, detail oriented, and able to work independently with minimal supervision
Ability to prioritize tasks, meet deadlines, and manage shifting litigation demands
Strong judgment, discretion, and ability to exercise initiative
Problem-solving skills and ability to handle high-volume legal document workflows
High school diploma or equivalent required
Willingness to work overtime as necessary

This role will focus on providing a comprehensive range of secretarial support including typing, editing and/or formatting legal documents and correspondence, filing documents with various courts, both electronically and via messenger, arranging for service of documents on opposing counsel, coordinating schedules, client billing, new matter intake, inputting attorney time, paper and electronic file maintenance, calendar and contacts maintenance, coordinating travel arrangements, preparing expense reimbursement and other secretarial and administrative tasks as assigned. Attorney Support:
Heavy court filings including service of pleadings on opposing and associated counsel, at state, federal, and appellate level and in many different venues within California and other states
Schedule remote hearings and deposition appearances, in-person depositions, appointments, and meetings
Track litigation deadlines, provide deadlines to docketing and confirm deadlines are docketed correctly
Type, proofread, format and edit correspondence and documents (e.g., pleadings, contracts, memoranda, agreements and other legal documents) under time-sensitive deadlines; some pleading drafting;
Build and sustain attorney confidence by minimizing backlog and overtime while maintaining a deep understanding of their practices, goals, and firm policies.
Regularly check in with attorneys to ensure projects are on track, exercise judgment on when to seek guidance, and assign tasks to support staff while ensuring timely completion. Communicate project status clearly to all team members.
Efficiently handle complex and demanding workflows, leveraging firm resources when necessary.
Make arrangements for messenger, overnight delivery or courier services as needed;
Schedule appointments, conference calls, meetings and maintain calendars
Open and route mail and email, attaching files and documents; save to case management system

Client Interaction:
Answer, screen and respond to phone calls

Key Responsibilities
* Prepare and format complex legal documents (e.g., complaints, motions, affidavits, briefs) independently and under time constraints
* Perform word processing and document formatting using Microsoft Word and other software
* Conduct fact-checking and assist attorneys with case preparation
* Proofread legal documents for accuracy and consistency
* Communicate professionally with clients, court staff, and opposing counsel
* Organize and maintain electronic legal records
* Manage calendars, including court dates and training schedules
* Perform general office duties: filing, copying, faxing, and mail handling
* Prioritize and complete assignments with minimal supervision
* Assist in training new staff
