ESSENTIAL DUTIES: 90% Provide administrative support to the Department including but not limited to: * Assists in day-to-day operations of the department of Otolaryngology * Type documents/correspondence * Prepare incoming & outgoing communications * Schedule appointments (not medical), meetings, phone calls * Reserves rooms * Types minutes for meetings * Transcribes non-medical dictation if requested * Routine paperwork, record keeping, filing, data compilation * Tracks department funds and reports to Business Manager * Submits/tracks work orders * Monitors time & attendance, collects signatures on various timesheets, timekeeping * Obtain signatures on any necessary or assigned paperwork and processes through to completion * Prepares faculty credentialing paperwork * Prepares personnel paperwork (PERs, offer letter requests, etc.) * Prepares and assists with Contracts and Immigrations * Paperwork (requisitions, POs, ITs, etc.) for ordering supplies, equipment, books and paying memberships, licenses, dues, subscriptions, etc. * Tracking assets * Prepares travel paperwork and Christopherson requests * Mail collection, processing, and distribution * Greets visitors and answer general office questions for faculty, staff and visitors. * Communication internal and external on action items * Coordinates all planning, personnel management, logistics, setup, and paperwork associated with visiting speakers, educational symposiums, lectures, etc. and their associated entertainment functions * Prepares payroll/reimbursement/direct pay paperwork * Recruitment coordination * Office space coordination * Lightning Bolt for scheduling of clinical faculty * QuickBooks for departmental invoicing and billing * Fundraising and development with Foundation; prepares check requests for Foundation reimbursement * Assists in the yearly budgeting process * Monitors the budgets in each budget category * Reconciles accounts and project financials including use of institution accounting system * Assist other dept. personnel as needed * Special projects, provide Business Manager support and other duties as assigned 10% Perform other related duties as may be assigned. We are most interested in generating, analyzing and integrating big data of various omics to link with environmental factors to elucidate how DNA variants affect gene expression/regulation and protein expression/modification in the form of functional networks/modules/pathways and how the knowledge gained on these molecular mechanisms in humans would translate into better prediction/intervention/precision medicine and drug development. The center has been funded by NIH SCOR (Specialized Center of Research, P50AR055081) grant, U19 program of Complex Integrated Multi-Component Projects in Aging Research (U19AG055373), and multiple NIH R01 and NSF grants. Tulane SOM and School of Public Health and Tropic Medicine have several distinct research groups engaged in various omics and clinical/epidemiological studies that would offer a wide range of opportunity for collaboration. The hospital is operated by the LCMC Health and is the largest hospital in the system. The inpatient neuroscience services at UMCNO currently include a catheter-ready stroke service (Tulane operated), a neurocritical care service (LSU and Tulane jointly operated), and two general neurology consulting services (Tulane and LSU separately operated). The Neuro-hospitalist hired to this position will be the attending on the Tulane-operated general neurology consulting service for 26 weeks each year (typically one week on service, one week off service). On off service weeks, the Neuro-hospitalist will assist two half days with the supervision of the neurology residents' outpatient clinics (primarily non-stroke hospital follow ups). Otherwise on the off-service weeks, the Neuro-hospitalist will have discretionary time to engage in administrative and scholarly activities.
