The goal of the Hospitality and Guest Experience team is to create a welcoming and gracious environment for all campus guests, especially prospective students and families. We strive to curate a five-star guest experience with LeTourneau University's unique identity and mission thread throughout each aspect. It is our goal that all LeTourneau University students, residential and online, have a strong sense of belonging and connectedness to the community, and the Enrollment Events Coordinator plays a pivotal role in leading that charge. The Enrollment Events Coordinator will be a leader in event planning and guest experience. They will report to the Assistant Director of Hospitality and Campus Visits.
Responsibilities:
* Become an ambassador of the LeTourneau University mission, vision, and history so that each is threaded throughout team development and guest experience
* Organize and coordinate engaging prospective student events, including Yellow Jacket Preview, Aviation and Engineering Preview, Heritage Scholarship Competition, and SWARM
* Ensure service excellence is at the forefront of event planning and logistics
* Create and send dynamic communications to attendees before and after campus visits
* Work collaboratively with the Visit Center Coordinator to schedule group campus tours for preview events
* Become familiar with the LeTourneau University mission, vision, and history so that each is threaded throughout guest experience
* Ensure tour routes, including showrooms, are prepared prior to each preview event
* Communicate with the Assistant Director of Hospitality and Enrollment Events regarding any repairs or cleaning that should take place prior to preview events
* Collaborate with the Assistant Director of Hospitality and Campus Visits to ensure all EMC team members are aware of event details, including roles and responsibilities
* Organize meetings with additional offices, including the Belcher Center, Conference and Events, and the Office of the President, to discuss event details and make appropriate reservations
* Manage catering menus, orders, and payments for preview, SWARM, and other enrollment-related events
* Ensure details of events are attended to, such as digital signage, technology support, golf cart availability, technology integration into tours, and unique tour routes for each group
* Continually assess and improve events to integrate personalized experiences and care for guests
* Monitor event survey feedback for quality assurance and continual improvement
* Collaborate with other campus constituents overseeing specific programming for preview events (i.e., the Director for Engineering Outreach, Administrative Assistant to the Dean of Aviation, etc.)
* Collaborate with the Visit Center Coordinator and Assistant Director of Hospitality and Enrollment Events regarding roles and responsibilities of student ambassadors for events
* Lead the check-in and check-out process for events through CRM, welcome guests, and guide guests to refreshments and the next meeting location
* Utilize CRM for guest experience insights, engagement journey tracking, and enrollment events planning
* Collaborate with the Assistant Director of Hospitality and Enrollment Events to build, implement, and oversee virtual preview events for prospective students and families
* Provide feedback on creating a user-friendly, student-centric online experience for those looking for event information and registering for events
* Build ideas for new virtual and in-person events that serve prospective and incoming students, such as regional meet-and-greets that include recruiters and ambassadors
* Consistently attend Hospitality team huddles and provide reports regarding recent and upcoming events
* Serve as a backup to monitor the Visit Center/Admissions front office to ensure guests are greeted and assisted
* Occasionally serve as backup to the Guest Services Coordinator and cover the switchboard
* Assist the Assistant Vice President for Hospitality and Guest Experience and the Assistant Director of Hospitality and Enrollment Events with additional projects as needed

The Financial Aid Assistant is primarily responsible for providing customer service to students and support to the Financial Aid Office staff. This position is the first point of contact for students and families interacting with the Financial Aid Office and will be responsible for providing assistance with general questions and requests as well as providing counsel on how to access common resources. The Financial Aid Assistant will provide critical assistance to the Financial Aid Counselors and Financial Aid Directors through office management, state grant management, and document submission management. Financial Aid Assistant will provide support for students and their families from acceptance at the University through graduation.
These responsibilities include but are not limited to the following:
* Office Organization -- tasks such as managing the shredding schedule, ordering office supplies, submission of work orders for the office, submission of expense reports, managing common email and voicemail for the department (reviewing and distributing messages, out of office responses and voicemail messages)
* Front Line Support/Customer Service - provide professional and friendly assistance to students and families who walk in and who contact the office by phone. Triaging the students' needs to provide assistance or a smooth handoff to the appropriate staff member by listening to hear the need and proactively responding.
* Mail Receipt Management - sorting and distributing department mail to the appropriate staff member for processing. This also includes picking up mail, facilitating overnight mailings and preparing outgoing mail.
* Electronic Form and Storage Oversight - Assistance in missing document completion for financial aid eligibility through receiving and approving dynamic forms, preparing them for electronic storage, and updating the administrative software system for receipt of the documents. Communicating with students regarding the status of missing documents and assistance with accessing or completing the documents would also be provided. Scanning of physical items to the electronic storage system and assistance in research with the electronic storage system will be included.
* State Grant Fund Assistance - provide assistance with state grant funding management for reconciliation, request and receipt of funds.
* Federal Work Study Coordination and Eligibility Tracking -- Review and coordination of federal work study funds in conjunction with payroll and career services to help ensure all funds are accounted for and requested in a timely manner and any allocation requirements are met to remain in compliance with work study regulations.
* Outside Scholarship receipt management---updating aid code for receipt of funds in the administrative software system, making documentation of funds received in text notes for tracking, logging check on shared scholarship log with Cashier to facilitate reconciliations, assisting with refunding of outside scholarship funds to the payee if students withdraw.
* Assistance with cancelled candidacy management - cancelling aid for students who withdraw before beginning classes, updating the communication threads to stop requests for missing documents, returning any scholarships already received and coordinating with the Financial Aid Representative to ensure cancelled prospects are closed out thoroughly.
* DUAL Credit Waiver and Scholarship Management -- Coordinating the application of the Dual Credit tuition waivers or scholarships - applying the award in the administrative software system, updating any document tracking needed for aid eligibility through coordination with the Student Accounts Representatives.
* Renewal Confirmation Request Oversight -- Coordination of student submission of yearly renewal documentation for certain scholarships and tuition waiver applications.
* Confidentiality Responsibility -- Maintaining confidentiality in all dealings to ensure that the University remains in compliance with federal regulations related to Title IV Funding and FERPA.
QUALIFICATIONS:
The Financial Aid Assistant must possess at least a high school diploma and a high level of computer literacy. Proficiency in Microsoft Office, attention to detail and precision in data entry are essential. Previous experience in a fast- paced office setting is a plus.
