Douglas Emmett, Inc. leasing agent job description

· Explain and check applications, collect deposits, verify application information. Upon verification of application, deposit and lease will be given to the Manager for approval. Applications should be verified within 24 hours.

· Compile reports from guest cards and submit to Manager on a daily basis. If the prospect leases, place guest cards into a permanent resident file.

· Send a thank you card to every qualified prospect that did not lease. Cards will be mailed within 24 hours of initial visit.

· Notify guest whose applications were not approved, by sending a form letter with bureaus to contact for answers.

· Prepare move-in information upon approval of leases. Review and explain information to resident (i.e., gate codes/cards, parking assignment, lease agreement, community policies and move-in inventory).

· Leasing agent must conduct a walk-thru, and complete the move-in inventory sheet prior to tenant move in.

· Inspect models and leasing office daily to ensure that each is spotless and representative of Douglas Emmett standards. Submit a description of location, condition and rental status to the Manager and Senior Leasing Agent. Any needed work will be reported to the Manger and the maintenance request submitted. Models must be opened every morning and secured every evening.

· Keep informed about other DE communities, referring the prospect when unable to assist them at your property.

· Maintain courteous communications with residents, applicants and representatives of other companies.

· Attend monthly/weekly leasing meetings, and provided seminars.

· Assist in follow-up on work orders.

MARKETING

· Assist with Outreach Marketing Program.

· Review all advertising and keep abreast of all rates, incentives and concessions at the community, as well as competitive communities. Any suggestions will be directed to the Manager and Senior Leasing Agent.

RESIDENT RELATIONS

· Handle resident concerns in the absence of Resident Manger or Assistant Manager.

· Assist with the planning and execution of Resident Retention Programs and resident activities.

· Help to obtain maximum renewals of existing resident leases in accordance with Douglas Emmett renewal policies and procedures.

TECHNICAL PREREQUISITES

· High school diploma.

· Broad knowledge of California Tenant/Landlord law and Fair Housing laws.

· Prior experience with on-site computer software or a willingness to learn.

· Demonstrates initiative, professionalism, integrity, and exercises confidentiality of all areas of performance.

· Projects a professional image by meeting all DE dress code standards.

· Excellent oral and written communication skills. Ability to communicate in a positive and professional manner with residents, employees and vendors.

· Good customer service skills.

The Leasing Agent assists the Community Manager with coordinating business operations of HUD/RD or Tax Credit properties, providing eligible individuals with unfurnished housing in multi-family dwellings.

Assist Community Manager with overseeing complex operations, ensuring that the highest possible occupancy is maintained through continuous outreach efforts and advertisements as specified by the Affirmative Fair Housing Marketing Plan.*


Assist Community Manager to obtain new residents' signature(s) on appropriate paperwork prior to move-in. Orient new residents to community.


Complete and submit timely, weekly reports; maintain neat and legible records at all times.*


Ensure that prospect completes application and secures deposit in accordance with the company procedures and Fair Housing requirements.


Implement Cascade Management Inc.'s policies as found in the operations manual.


Ensure compliance with applicable federal and state regulations associated with business operations. Ensure that the Grievances and Appeals Procedure, "Equal Housing Opportunity", "Justice for ALL", and labor posters are posted in the office.*


Show apartments, accept applications, and screen applicants (verifying and certifying each resident's income at initial, interim, and annual re-certification) to determine eligibility in accordance with CMI policies and procedures, and applicable regulations.

Complete resident move-in sheet with resident; ensure utilities are transferred.*


Understand rental agreement and residency policies and be able to explain them to residents.*


Update availability report and process applications for approvals. (i.e., credit check, rental history, etc.) Submit processed applications to the Community Manager for approval. Follow up with applicant regarding status.


Greet prospects and qualify by covering all criteria (ask questions; utilize completed guest cards, etc.).


Collaborate with the Director of Marketing to ensure that marketing activities are achieved.


Follow up on all property inquiries and questions via preferred contact (telephone, email, fax, etc.)


Maintain waiting list files of eligible applicants and files of removed/rejected applicants.


Collect rents, maintain petty cash, ensure proper accounting of monies collected, and make deposits in a timely manner. Log and collect late charges, NSF, and other charges. Deliver rent increase notices to residents.*


File and maintain resident records, keeping an adequate supply of forms and postage on hand.*


Prepare budget recommendations and submit to Community Manager for review as part of annual budget process.*


Promote harmonious relations among tenants, employees, owners, and the local community.*


Enforce house rules in accordance with company policies and procedures. Maintain a pleasant helpful manner at all times and know the number of adults and/or children in the complex along with their name and apartment number.*


Make recommendations to management for improvement of company policies, procedures, and practices.*
