SUMMARY
The Sales Consultant is responsible for executing the property's marketing, leasing, and renewal strategies to achieve occupancy, revenue, and resident retention goals. This role serves as a key point of contact for prospective residents, guiding them through the leasing process with professionalism and a deep understanding of the community's lifestyle offering. The Sales Consultant supports resident satisfaction throughout the lease term and proactively manages lease renewals in alignment with Active Adult best practices. Responsibilities include lead management, CRM utilization, data analysis, event support, and collaboration with the Lifestyle Coordinator to enhance resident engagement. The Sales Consultant upholds Greystar's professional standards and ethical expectations while delivering exceptional service to residents, prospects, and guests.
JOB DESCRIPTION
KEY RESPONSIBILITIES:
1. Performs all sales and leasing activities to achieve the property's revenue and occupancy goals by greeting and qualifying prospects, conducting property tours and showing apartments, continuing the relationship with prospects, processing applications, credit screening, and criminal background checks, preparing the lease and move-in package, and ensuring a smooth resident move-in and lease signing.
2. Collects all pertinent information from prospective residents at move-in and records as appropriate.
3. Stays informed about and collaborates with teams/leadership on current market and competitor conditions that may impact the community's occupancy, market rent, and sales results, develops and implements short- and long-term marketing plans and goals to sustain occupancy, and follows the property's established policies related to concessions, specials, and other programs to boost occupancy.
4. Designs and executes marketing activities and events to create and drive traffic to the property, including implementing resident referral and employer outreach programs, using internet marketing tools and following other property-specific marketing plans, drives, and special programs.
5. Uses the on-site property management software application to track apartment availability, record traffic and leasing activities, manage resident and prospect data, capture critical demographic and other information about existing and future residents, and review and analyze data.
6. Ensures that the property and show units meet the Company's standards for show quality by daily inspecting the tour path and show ready units, communicating maintenance and upkeep needs to the property's maintenance team members, merchandising and ensuring a physically appealing show unit and/or model and amenities, and preparing the leasing office for daily leasing activities.
7. Follows-up with prospects and new residents within 24 hours to ensure satisfaction by sending e-mail, thank-you notes, and cards or making telephone calls or other contacts to finalize decisions to lease and/or renew. Documents all follow up and classes leads during the lifecycle of the sales process.
8. Executes and performs activities in support of the property's lease renewal program by preparing lease renewal letters and packages for residents, meeting with and contacting renewing residents in advance of move-out dates, and ensuring that lease renewal documents are signed and implemented on time, following the AA renewal playbook.
9. Responds quickly and courteously to resident and client/owner concerns and questions, and takes prompt action to solve problems and/or document and convey resident or other requests to the appropriate individual(s).
10. Demonstrates customer services skills by treating residents, prospects, guests, and others with respect, answering questions, and responding sensitively to complaints about maintenance services. Interacts with all residents and acknowledges them by name.
11. Attends community and networking events, aligns with local associations and community organizations, and participates in outreach marketing efforts to drive traffic to community and generate viable referral sources and new business leads, ensuring Greystar AA outreach expectations are consistently met.
12. Completes various financial, administrative, and other reports and analysis, and performs other duties as assigned or necessary.
13. Assists Lifestyle Coordinator by attending and assisting with the setup of events as required.
BASIC KNOWLEDGE & QUALIFICATIONS:
* High school diploma or equivalent required; associate or bachelor's degree in business, marketing, hospitality, or related field preferred.
* 1-3 years minimum of relevant experience in the application and usage of a sales, marketing, internet and customer service background sufficient to resolve customer complaints and issues and complete financial records, documents, and reports.
* Demonstrated ability to read, write, and communicate effectively to comprehend and complete legal documents, sell and explain apartment features, and answer questions.
* Mathematical skills necessary to process sales conversions.
* Ability to apply sales skills, such as generating sales leads, conducting sales presentations, qualifying prospects, and closing.
SPECIALIZED SKILLS:
* Incumbents must have all licenses and/or certifications as required by State and Local jurisdictions.
* Incumbents must have valid driver's license to drive a golf cart on property.
* Proficiency in word processing, spreadsheet, property management applications, and database management programs in order to complete required reports and documents.

The hourly range for this position is $24.00 - $26.00 in addition to an owner approved bonus structure.
Additional Compensation:

Primary Duties:
Utilize leasing expectations and procedures to warmly greet prospective clients, qualify, determine needs and preferences, professionally present the property and apartment homes, utilize feature/benefit selling, close the sale and follow-up.
Answer incoming phone calls professionally and handle accordingly, whether the caller is a prospective client, a current client, an internal Company team member or a vendor.
Complete all lease applications and participate in the verification of applications. Notify prospective clients of results.
Maintain accurate client records in accordance with Company policy. Update daily reports concerning notice to vacate, vacancy reports, activity reports, etc. on a daily basis.

ESSENTIAL FUNCTIONS :
The Leasing Agent will be responsible for carrying-out leasing for affordable housing for low and moderate-income families, which includes completing the essential work of applicant screening, verifications, home inspections, and all other leasing-related functions for Bickerdike's rental housing, as well as maintaining the lowest vacancy rates possible. In all instances the Leasing Agent will perform duties in accordance with and be committed to the Bickerdike mission.
The position requires the ability to plan, organize, and execute tasks; analyze information, make informed decisions, use critical thinking and reasoning skills, and monitor and regulate behavior and emotions. A high level of Customer Service skills is required.
RESPONSIBILITIES
Under the direction of the Leasing Manager, maintain and carry-out the application and leasing process for persons seeking rental/coop housing including, but not limited to: screening applicants for vacant units based on predetermined tenant selection criteria, preparing eligible cases to be presented to the tenant selection and appeals committees, marketing, showing apartments, and preparing leases.
Ensure completion of all required items and documentation related to the applicant screening process including but not limited to landlord verifications, home visits, income certifications, credit and criminal background checks, carrying out diligent follow up with all relevant individuals/entities as required.
Ensure that all policies and procedures related to leasing are adhered to and ensure that all applicant files are reviewed by the Leasing Manager prior to submission to the Appeals Committee and that all resident leases are reviewed by the Leasing Manager prior to lease execution/signing.
Coordinate and carry out annual inspections and all required follow-up duties including taking warranted action such as filing work orders, billing, etc. in relation to tenant damages noted during annual inspections and/or re-inspection in cases of bad housekeeping or failed inspections.
Coordinate and carryout all duties related to assigned waiting lists, in coordination with the Waitlist Coordinator and Leasing Manager, including but not limited to: maintaining accurate and up to date status information, ongoing tracking of move-ins, move outs and transfers, all aspects of the annual updating process and all duties related to wait list re-openings.
Prepare and submit to Leasing Manager all required reporting to owners, governmental agencies, funding agencies and others as appropriate prior to due dates.
Maintain and utilize established electronic and paper record keeping systems and documents in accordance with internal protocol, HUD, IHDA, tax credit and other regulatory guidelines and requirements including but not limited to tenant files, rent rolls, annual inspections, required recertification forms, and Class 9 forms.
Staff the Appeals Committee and other committee meetings as appropriate.
Report tenant problems/concerns/complaints to the Leasing Manager.
Perform other relevant duties as assigned.

QUALIFICATIONS:
Minimum of 3 years of related Leasing experience. High school diploma or equivalent required. Must have or be willing to obtain Leasing Agent License. Bilingual English/Spanish a plus. Low Income Housing Tax Credit experience needed. Good communication, writing, computer and executive functioning skills necessary. Must be able to work with persons of various ethnic and socio-economic backgrounds. Willing to work flexible hours. Must have access to car, valid driver's license and proof of insurance for work in field. Chicago northside residents within the communities we serve, preferred.
REPORTING RELATIONS : Under the general supervision of the Leasing Manager. In the absence of this supervisor, shall report to the Vice President of Property Management, or as assigned.

Maintain a professional, yet friendly, atmosphere in the leasing office and other areas where prospective residents and residents meet.
Maintain work area in a clean and organized manner.
Inspect models and make ready vacancies daily to ensure cleanliness.
Answer incoming phone calls and handle each call whether it is a prospect call, current resident, service request, etc. Transfer calls to Manager when appropriate.
Greet prospective residents, qualify and determine their needs and preferences, professionally present the community and specific apartment(s) while pointing out features and benefits.
Maintain awareness of local market conditions and trends. Contribute ideas to the Manager for marketing the property and for improving resident satisfaction.
Perform outreach marketing duties.
Correctly complete all lease applications, process application verification and notify prospective residents of results.
Complete all lease paperwork including related addenda per CSC policy.
Accept rent and deposit - not to include cash or incomplete money orders. Provide receipt upon request.
Complete Guest Information form on all prospects, send thank you notes and perform follow up.
Enter phone and/or walk-in traffic from Guest Cards into the computer daily
Physically inspect property when on grounds, pick up litter and report any service needs to Manager, to include cluttered patios, inoperable vehicles, broken windows, water leaks, etc.

Organize and file appropriate reports, leases and paperwork daily.
Attend company meetings when requested.
Document all resident communication (verbal and written) in lease file conversation log.
