    Job Description JOB PURPOSE: Each Leasing Consultant has primary marketing responsibility as it pertains to interfacing with prospective residents at the community, handling day-to-day issues with current residents, and coordinating the renewals of existing leases. In this position, Leasing Consultants are the community's most important personnel as they can determine how well a community does in a very competitive marketplace. Specific training for Leasing Consultants centers on Fair Housing, closing techniques, and overcoming objections. PRIMARY DUTIES & RESPONSIBILITIES: Will always include those specifically assigned by the immediate supervisor. Provide excellent service to all residents, prospects, and visitors to the community. Effectively lease apartments in accordance with occupancy goals. Follow Fair Housing Standards in all dealings with prospects and residents. Conduct outside marketing under the direction of the Assistant Manager and the Community Manager. Conduct the application review for each lease including credit and income verifications and background checks. Complete lease paperwork and files for each resident to include the lease, all addendums and other proper documentation and signatures. Ensure the condition of leased apartments prior to move-in, including a final inspection. Follow up with residents throughout their lease terms, promote the annual renewal campaign for the community, manage lease renewals and complete lease documents. Complete all tasks necessary to successfully operate the leasing office. Specific Responsibilities: Daily/Weekly: Daily Opening and Closing Procedures: Perform a daily “marketing” inspection, including the check of the model, the condition of the leasing path, and amenities areas. Pick up trash while carrying a trash bag and sparkle kit. Answer all phone calls, emails, and voicemails that come in throughout the day. Signage Inspection: Inspect bootlegs, banners, balloons, and brochures. Leasing Office/Clubroom Appearance: Vacuum and clean clubroom as needed, if not performed by housekeeper. Refreshments: Prepare cookies or restock candy, beverages, and coffee each morning. Notify Community Manager when supplies are needed. Leasing: Greet prospects and show apartments and coordinate the leasing process. Review applications from applicants and provide information to Assistant Community Manager for verification. Leads: Maintain Guest Cards and maintain leasing notebook. Follow-up on all traffic with a Thank You email the same day as their visit and a phone call within 24 hours of their visit. Once approved, send a copy to resident and file lease properly. Work Orders: In conjunction with Maintenance Team, enter work orders into Entrata. Provide a follow-up call if work cannot be completed within 24 hours. File work orders. Notify Community Manager of problems. Renewals: complete renewal effort tasks as necessary. Monthly/On-Going: Leads: Archive inactive Leads. Ensure Leads and Applicants in Entrata are up to date. The Leasing Consultant is responsible for all activities related to apartment rentals, move-ins, and lease renewals, including generating and handling traffic, leasing apartments, qualifying prospects, preparing lease documentation, and completing move-in procedures in accordance with company policies and procedures. Key Responsibilities Greets prospective clients, shows community and performs leasing duties. Answers and handles incoming phone calls from prospective new residents, current residents, vendor/suppliers, etc. Completes guest cards and maintains according to established procedures. Tour the community and model with prospects and apply product knowledge to communicate property features and benefits to close the sale. Immediately follow-up on prospects that did not close and attempt to close sale again. Have prospect complete application and secure deposit in accordance with the company procedures and Fair Housing requirements. Maintains awareness of local market conditions and trends. Contributes ideas to property manager for marketing community and improving resident satisfaction. Updates required reports concerning move-out notices, activity, etc., on a daily basis and provides information to the property manager. Proof reads all lease paperwork and processes move-ins and move-outs. Organizes and files all applicable reports, leases, and paperwork. Updates reports, process applications for approvals. (i.e., credit check, rental history, etc.) Submit processed applications to the Community Manager for approval. Follow up with applicant regarding status. Ensure apartment is ready for resident to move-in on agreed date. Orient new residents to community. Assist in monitoring renewals. Distribute and follow-up on renewal notices. Monitor advertising effectiveness. Gather information about market competition in the area and file. Consistently implement policies of the community. Represent the company in a professional manner at all the times. Accept rental payments and give to the appropriate staff member to process. Distribute all company or community-issued notices. Maintain accurate monthly commission records on leases and renewals for bonus purposes. Assist management team with other various tasks as required. Receive all telephone calls and in-person visits. Listen to resident requests, concerns and comments.? Accepts service requests from residents and routes to maintenance for prompt processing. Conducts service follow-up with resident when work is completed. Assist with marketing and sales programs. Maintain market information including amenities, facilities and pricing. Summary/Objective The Leasing Specialist (Part Time) reports to the Marketing Manager and will perform the duties described below in a competent, professional, and timely manner in accordance with Fair Housing Laws. Schedule tours and show apartments. C. Follow-up with all prospects following and approved procedure. D. To personally greet customers as they enter the office. E. Generate computer leases and complete all lease procedures. F. Contribute marketing ideas and strategies to renting apartments including the production of ads and fliers. G. Check and respond to office email. H. Notify current residents of an upcoming tour. II. Resident Relations A. Refer all resident questions and problems to the appropriate Marketing Manager or Property Manager. B. To assist with resident events. C. Maintain a sense of responsibility to MSC as well as to the residents. III. Office Obligations A. Process applications, leases, and contact sheets in a timely manner. B. Filing as needed. C. Be familiar with DocuSign Position Type and Expected Hours of Work This is a part-time position, hours of operation are Monday through Friday 9:00 a.m.-5:30 p.m., Saturdays 9:00 a.m. - 4:00 p.m. Scheduling can be flexible, with the ideal candidate being available most Saturdays. Required Licenses or Certifications: * Incumbents must have all licenses and/or certifications as required by State and Local jurisdictions * Incumbents must have valid driver's license to operate a golf cart on property.
