Leasing Manager The Leasing Manager is responsible for overseeing all aspects of leasing and marketing at the property. The Leasing Manager works closely with the Community Manager to set leasing goals and develop a strategic marketing plan for achieving budgeted occupancy. The Leasing Manager is responsible for effectively leading the leasing team and accomplishing effective leasing, marketing, and positive resident relations. Essential Duties & Responsibilities Strategic Leasing Management Regular/daily onsite attendance is required Ensure staff leasing techniques are effective in obtaining closure, follow-up procedures met, signing/documentation of leases, and reporting systems are accurate and up to date. Audit all lease files to ensure adherence to policies and procedures Deal with resident complaints, concerns, and requests to ensure resident satisfaction Develop and implement resident retention programs (i.e., resident functions, special promotions, monthly newsletter, etc.) Effectively show, lease, and move in prospective residents Marketing Management Assist in developing the annual marketing plan and marketing budget Implement all marketing efforts and outreach, developing campaigns and assisting with design to generate traffic Monitor leasing/renewal progress, focusing on areas needing additional support Supervise the planning, preparation, and implementation of all leasing and renewal events as approved by the Community Manager Maintain thorough product knowledge of the property and competition as well as market conditions; complete weekly market survey report Utilize established sales and marketing strategies to increase property traffic, maintain closing ratios, and achieve budgeted occupancy. Personnel Management Assist the Community Manager in the use of consistent techniques & company directives to screen, hire, train, coach, and develop on-site staff. Assist the Community Manager in ensuring the effectiveness of staff through ongoing training, coaching, counseling, and guidance in compliance with Asset training benchmarks. Promote harmony and quality job performance of staff through support and effective leadership Ensure staff compliance and consistency with Company policies and procedures Administrative Management Manage excellent customer service and monitor service request turnaround and responsiveness of maintenance staff Maintain property appearance and ensure repairs are noted and completed on a timely basis (this requires regular property inspections and tours) Assist with supervision of all business functions related to operations Plan for and utilize property resources, equipment, and supplies economically (i.e., obtaining bids/pricing from vendors, suppliers, contractors, dealing with inadequate service, etc.) Education/experience High School Diploma or Equivalent; Bachelor's degree preferred or one year's experience in the housing industry; Ability to understand and perform all on-site software functions; basic computer skills required. Must have basic knowledge of Fair Housing Laws and OSHA requirements. Physical requirements While performing the duties of this job, the employee is regularly required to remain in a stationary position, often standing or sitting for prolonged periods, communicate with others to exchange information and repeat motions that may include wrists, hands, and/or fingers. The employee is frequently required to ascend/descend ladders, stairs, scaffolding, ramps, step stools, and the like, move about to accomplish tasks or move from one worksite to another, operate motor vehicles and/or golf carts, assess the accuracy, neatness, and thoroughness of the work assigned, traverse flat and non-flat terrain. Accurate pricing, concessions, occupancy, and amenities must be correct and completed in the management software. • Responsible for the weekly status report due each Friday with accurate reporting of the leasing activity for the week and current statistics. • Maintain professional appearance at all times. • Additional projects as assigned by property manager or regional supervisor. AFFORDABLE HOUSING COORDINATOR RESPONSIBILITIES: • Assist in the intake and processing of affordable housing applications in accordance with program requirements. • Verify applicant eligibility through income certifications, third-party verifications, and other required documentation. • Maintain accurate and organized affordable housing files to ensure compliance with local, state,and federal regulations. • Ensure all required forms, income calculations, and supporting documents are completed accurately and in a timely manner. • Monitor upcoming recertifications and ensure residents complete required paperwork before deadlines. • Work closely with compliance departments and auditors to provide requested documentation during file reviews and audits. • Track and report affordable housing data as required by regulatory agencies and company policy. • Communicate program requirements clearly to applicants and residents, offering guidance and assistance throughout the process. • Stay up to date with affordable housing regulations and program changes to ensure continued compliance. • Collaborate with the property management team to maintain accurate occupancy and compliance records. Complete weekly activity summary and time log and submit as required each week to the Management Company office. Maintain confidentiality on all matters pertaining to the property, ownership and residents. Conduct all business in accordance with the company policies and procedures, Fair Housing, ADA, Fair Credit Reporting Act, and all other federal, state and local laws pertaining to multi-family housing. Ensure clean move-ins, complete unit inspections and place move-in gifts as appropriate. Marketing responsibilities: Study the surrounding market, noting trends and opportunities with respect to such items as utilities, parking, value-added services and community needs. Complete property surveys of neighboring properties focusing on amenities, rents, concessions, and property curb appeal. Conduct Open Houses and participate in other special events as requested by Corporate Managers. Distribute all resident communication when asked (newsletters, notices, etc). Design and recommend to Management Company resident retention and incentive programs. Implement these programs after approval. Post vacant apartments on Craigslist and other suitable and approved marketing venues as defined by Management Company. Assist with coordinating resident appreciation events.
