There is plenty of room for growth in this exciting role on the Fairfield Property Management Team. This position reports to the Community Manager and successful associates may be promoted to Assistant Community Manager.
WHAT YOU CAN EXPECT TO DO IN THIS ROLE:
CUSTOMER SERVICE & SALES
Be the first point of contact with prospective residents, current residents, vendors and Fairfield associates.
Drive the lease closing process by highlighting the quality of the community and the amenities available at the property to prospective residents.
Determine the customer's needs, resolve and/or escalate to a higher level as permitted.
Use your customer friendly personality as well as your ability to diffuse/resolve difficult situations while nurturing relationships.
Deliver unmatched service to residents to exceed their expectations, while maintaining resident retention.
Meet sales goals, leasing ratios and maintain milestones in customer service and resident satisfaction, throughout the sales process.
OPERATIONS
Manage various tasks such as lease files, maintaining updated necessary paperwork and computer systems.
Use Yardi accounting software manage the leasing process.
MARKETING
Complete marketing/advertising tasks including updating social media sites.
Maintain knowledge about local market conditions; shop local competition.
WHAT YOU'LL NEED DAY ONE:
Minimum of one year experience in a customer service, sales or retail position required
Experience or knowledge in leasing or real estate a plus.
Strong typing and computer skills with intermediate knowledge of Microsoft Outlook, Word and Excel.
Professional verbal and written communication skills required
Ability to close a sale is highly preferred
Knowledge of tax credit, fair housing, and trade practices a plus.
Experience using Yardi or other related property management accounting software a plus.
Experience using Microsoft platform including Outlook, Word, Excel required
High school diploma or equivalent required.
A valid driver's license may be required.

The pay range displayed for this position is determined by skills and experience required, location and job complexity*. Turn in traffic and phone recap weekly to the Community Director.
Follow up with each visitor within 24 hours via personal phone call and send a personal note/e-mail for them to receive within seven days of their visit.

General Office/Administrative Responsibilities:
Conduct move-in, move-out and turnkey inspections and follow through with any concerns.
Maintain key closet procedures to ensure proper control of access and security on the property.

Maintain dress code as outlined in the policy manual and ensure Leasing Team adheres to the policy and uniform schedule.
Assist in Lease renewal procedure by:

Job is intermittently sedentary but requires mobility (i.e., climb stairs) to tour, show, and inspect apartments on a daily basis
Will use some repetitive motion of hand-wrist in using computer and writing
Works in a typical office setting with daily exposure to outdoor environment (i.e., heat, cold, damp, rain, etc.) when touring community
Hazards can be minimized with proper lifting techniques, SDS, general safety training, and wearing appropriate personal protective equipment (PPE)
Must handle stressful, urgent, novel and diverse work situations on a daily basis

Will be regularly called upon to work long hours and odd schedules (including weekends)

Primary Responsibilities
Present properties and provided amenities in a positive light to prospective tenants
Act as a landlord for property owners and help them navigate the property market
Advertise available properties using a variety of media and promoting materials
Determine the needs, living standards and economic viability of prospective customers
Confirm rental application data and personal references
Stay knowledgeable of the property market status
Provide information on all aspects of properties (expansion, zoning, crime, etc…)
Negotiate leasing terms and conditions and close deals
Ensure proper maintenance and inspect properties periodically
Essential Skills and Abilities
General office duties including answering phones, creating memos, email correspondence and knowledge of HUD regulations/policies.
Ability to use statistical data for the recertification process, ability to determine resident turnover and reasons why residents are moving, ability to determine resident needs.
Ability to communicate with residents, other site-level staff, corporate office staff, vendors, and contractors.
Ability to organize and maintain tenant files, coordinate monthly activities and maintain waiting list.
Ability to design flyers, calendars, bulletin boards, activities and forms; ability to promote property through marketing and leasing efforts.
Ability to motivate others and operate as a team; ability to take initiative and delegate work to others; ability to handle emergency situations.
Ability to calculate social security rates, rent payments, and prorates; ability to maintain purchasing and declining balances.
Computer Skills: Outlook, Excel, Word, Internet, One-Site.
Other Skills: Customer Service, Confidentiality, Patience, Professionalism, and Teamwork.
Working Conditions
Work is typically performed in a normal office environment with moderate noise level. Walking is required for property tours and you may be exposed to weather conditions. It may be necessary to lift up to 25 pounds when accepting resident packages.
