Essential Job Functions
Meets with prospective residents, identifies their housing needs, interviews them to determine eligibility based on established criteria, shows vacant and model suites and property amenities based on established techniques specified by the company. Quotes established rental rates and promotions. Makes follow-up calls, sends follow-up literature and pursues rental status. Collects funds related to applications, security deposits and rentals. Required to manage all internet leads and proper follow up. Maintains social media activities on different platforms and strives to increase engagement through postings and responses to reviews and ratings. (30%)
Completes applicant screening process and prepares appropriate correspondence based upon the result. (15%)
Prepares leases and related leasing addendums. Maintains lease records and files. Maintains property waiting list and other updates to various records and reports in accordance with policy and procedures, applicable affordable housing programs and HUD/Agency regulations. (15%)
Supports and ensures timely input, proper use and full utilization of on-site PC-based property management software for leasing data. (10%)
Ensures apartments are ready for occupancy by inspecting, placing move-in products and last-minute touches when necessary. Distributes keys, move-in package, safety video and other appropriate paperwork at time of lease signing. (10%)
Maintains current knowledge of marketing and leasing techniques. Strives to attain affirmative marketing goals. Seeks out new residents through outreach, direct marketing, cold calling, distributing literature and contacting government, social, religious and community organizations in selected target areas. Maintains current knowledge of apartments, building amenities and local agencies or attractions of interest to residents. Maintains awareness of current rental rates and promotions of competitive properties, including visiting competitor properties to better understand their product, marketing and sales techniques. (5%)

Requirements

Associate degree in Customer service/Hospitality preferred

Responsibilities and Functions:
Operations
Performs property inspections to ensure curb appeal, cleanliness of all common areas and that the property is a hazard free environment. Follow up inspections and proper documentation such as entering work orders to complete the punch list of items is complete.
Assist in the process of vendor selection to ensure ethical and quality of performance. Negotiate pricing for all vendor services frequently.
Assist in managing resident issues, such as resident disputes, maintenance repairs (ensuring they are addressed and completed in a reasonable time frame). Documentation is thorough and accurate for all types of activity listed above.
Assist the property manager with approval of resident applications, discounts, and lease renewals.
Prepare and review daily and weekly traffic reports, activity and availability reporting. Strategize with the site manager on advertising, renewal increase recommendations, on a daily/ weekly/ monthly/ quarterly / annual basis to meet company objectives for the asset.
Rent collection and review of all scheduled revenue in accordance with company goals. Maintain budgeted occupancy. Review Deposit reporting for accuracy on a weekly/ monthly basis. Process invoice coding and submittal to appropriate department in a timely basis meeting company standards. Assist in the preparation of annual budgets and reporting.
Responsible for operating all maintenance programs, including preventative inspection schedules, budgets, safety, storage, inventories, vendor use, purchase order systems. Manage projects and contractors completing improvements of the asset. Generate and handle traffic, qualify future residents, lease apartments, prepare lease documentation, and complete move-in paperwork and procedures to include inspection of the apartment prior to move in. Coordinate move-in schedule with maintenance as well as a move-in inspection with the new resident.
Prepare and schedule all activity for residents during any portion of their residency cycle (prospect, move in, renewing resident, or move out resident) to ensure a prompt response.
Responsible to prepare all vacant units/ models to be viewed to meet company standards.
Complete open and close procedures are completed on a daily basis.
Follow-up with all prospects and future residents in a timely manner via phone, email, mail.
Prepare Increase/renewal notices to comply with the assets objectives in retention.
Assume responsibility in the absence of the Property Manager and Assistant Property Manager (if applicable).
Specifically for this Role:
