The Administrative Aide - EWD Operations and Client Services provides administrative, logistical, and customer support to ensure the smooth operation of the College's workforce training and education services. Reporting to the EWD Operations and Client Services Manager, this position assists with contract processing, registration coordination, billing, documentation management, purchasing, reporting, and other support logistics. The Administrative Aide plays a key role in supporting operational efficiency, maintaining accurate records, ensuring compliance with College processes, and delivering a professional, responsive experience for employers, instructors, and participants.
The successful candidate will have an Associate degree in a related field and two years of related work experience.

Responsibilities:
Greet and assist visitors in person and by phone, directing them to appropriate resources based on their needs.
Support employers, students, and instructors by resolving routine inquiries and directing questions to appropriate staff.
Support the EWD Operations and Client Services Manager with the coordination and tracking of training contracts, purchase orders, billing documentation, and registration materials.
Maintain accurate and timely data entry for training projects, including participant records, attendance, and course evaluations.
Coordinate logistics for training sessions, including scheduling rooms, preparing materials and classrooms, confirming instructor needs, and ensuring technology and equipment readiness.
Coordinate purchases of equipment, supplies, and materials needed for EWD training and operations, ensuring timely procurement and proper documentation.
Collaborate with Registration, Finance, and Marketing to ensure efficient processes for scheduling, registration, billing, and communications.
Assist with the preparation of reports, tracking documents, and dashboards that monitor EWD activities and performance indicators.
Work in coordination with all areas of the College to respond to and process student requests, as requested.
Assist with special projects, data collection, and process improvement initiatives to enhance efficiency within EWD operations.
Experience & Qualifications

Knowledge of software applications, including Microsoft Office 365 (Office Suite, Teams, SharePoint, etc.).
Excellent written and verbal communication skills to communicate clearly and effectively with end users, colleagues, and management to provide a complete and timely explanation of issues and decisions to ensure customer satisfaction.
Ability to take initiative, work independently with little supervision and make sound decisions with minimal direction.
Strong organizational and time management skills, including the ability to prioritize special projects with routine assignments.
