Responsibilities
Position Summary:
Provides assistance to legal secretarial staff and attorneys
Note: One position will be a 9:00 AM- 5:30 PM shift and the other will be 11:00AM to 7:30PM shift
Essential Functions:
Filing
Minor document editing/redlining
Preparation of expense reports
Preparation of new matter memoranda
Photocopying/Scanning
Creation of labels
Assists with mailings and distributions
Enters attorney timekeeping
Binder assembly
Prepare audit letters
Monitor and respond to requests in the "Clerical Assistants" tile in BigHand and ensure any tasks not submitted through the platform are manually entered as required
Continuing education by actively pursuing opportunities to enhance skills and knowledge
Performs other duties as assigned or required to meet Firm goals and objectives
Qualifications
Education/Training/Certifications:
College degree required. An equivalent combination of education and/or experience may be considered in lieu of the degree when the experience has been directly related to the functions of the job.
Professional Experience:
1+ year office experience preferred
Technical Skills:
Proficiency in Microsoft Office products, accurate typing, grammar and spelling skills
Typing of 50 WPM preferred

The typical pay scale for this position in Chicago is between $43,000 and $56,900, although the actual wage or salary could be lower or higher if the candidate's education, experience, skills and internal pay alignment are different from those specified.

EDUCATION AND EXPERIENCE

About the Role
The Prelitigation LegalAssistant is self-motivated, dynamic, and completes tasks in a thorough and efficient manner. The person in this role supports and collaborates with the pre-litigation team in all day to day tasks and provides an outstanding client experience to the injured individuals. Duties and Responsibilities include the following, but are not limited to:
Create, build, and maintain case files in client management system
Act as a liaison between clients, insurance adjusters, and medical offices
Adhere to deadlines and maintain database calendar(s)
Review and analyze medical records and bills
Prepare and supply clients' medical records to insurance carriers for evaluation
Draft correspondence
Assist with preparation of demand
Process and distribute all incoming and outgoing checks for clients
Effectively communicate with the clients while demonstrating empathy and understanding of their case
Efficiently and effectively complete all assignments, tasks, and client calls
Recognize and communicate escalated or urgent matters to the appropriate person in a timely manner
Schedule client visits when needed

Administrative Tasks-

Handle confidential information in a professional and discreet manner.
LegalAssistant/Paralegal Tasks-
Prepare extensive PowerPoint presentations, Excel worksheets, and Visio structure charts and diagrams.
Gather and receive legal documents from internal and external sources, then store, arrange, index and classify documents electronically and maintain required hardcopies. Must be able to properly identify legal document type, parties involved, and specified terms, where appropriate.
Update legal entity management system, properly identifying and inputting entity characteristics and data and related signatory information.
Assist with Annual Board meeting preparation.
Draft basic governance documents or agreements from templates.
Compile, update, and maintain closing documentation including coordinating and obtaining appropriate signatures, creating binders with labels and indexes, and filing and distributing final copies (electronic and hard-copy).
Requirements:
Bachelors degree required, top-tier university and exceptional grades a plus
Above average knowledge of Microsoft Office products including Word, Outlook, Excel, PowerPoint and Visio
5-10 years of administrative and legal experience preferred
Strict attention to detail; accurate and organized while able to prioritize appropriately
Ability to multitask with a high reading level comprehension
