The LegalAssistant provides administrative support to the Office of the General Counsel. This role works independently with general supervision and collaborates with the legal team on ongoing and special projects. This is a full-time position requiring a consistent schedule of eight hours per day, five days per week.
PRINCIPAL DUTIES:
Under the supervision of the General Counsel, prepare various legal documents and filings including corporate consents and resolutions, immigration pleadings, applications for tax exemptions, certifications, contracts and affidavits.
Prepare administrative filings, including corporate annual reports for the Secretary of the Commonwealth and annual reports to the Vatican.
Support attorneys with case preparation and document management.
Conduct citation checking for legal documents prior to filing.
Conduct basic internet/legal research under guidance of the General Counsel and Senior Legal Counsel.
Summarize documents and meetings using artificial intelligence or other electronic tools.
Collect, organize, and manage documents and information responsive to discovery requests.
Compile information for publication in the
Official Catholic Directory.
Maintain electronic and physical legal files and databases, including deadlines for court filings and immigration filings.
Notarize official documents.
Attend board meetings, prepare agendas and supporting materials, and record minutes.
Prepare and submit vouchers for payment for departmental invoices; coordinate payment of legal invoices by parishes or schools; process reimbursements.
Prepare and maintain spreadsheets tracking expenses and budget for the Office of General Counsel.
Schedule meetings and maintain attorney calendars.
Establish, retrieve and maintain digital and paper records.
Receive, review, and route incoming correspondence; respond directly to routine inquiries; prepare general correspondence.
Screen and direct incoming phone calls.
Maintain supply of office inventory.
Safeguard confidential information and records.

QUALIFICATIONS:
Knowledge/Skills:
Strong legal knowledge and understanding of legal procedures and terminology.

Ability to proofread for accuracy, cite-check, correct citation form, and ensure legal filings and correspondence are error-free.
Capable of conducting basic internet research and developing appropriate search terms.
Capable of tracking legal deadlines and providing notification to supervising attorneys of upcoming deadlines.
Some knowledge of artificial intelligence tools and how to utilize them.

Job Description
As the Public Defender, you will wear many hats, blending the roles of legal champion and inspirational leader. Your diverse range of responsibilities will include:
1. Defender of Justice: Handle a personal caseload with unwavering commitment, ensuring that each client receives the highest level of representation and advocacy.
2. Inspirational Leadership: Lead and supervise our dedicated defense team. Provide expert guidance on case preparation, trial strategies, client interactions, plea negotiations, appellate practice, and sentencing advocacy.
3. Administrative Duties: Oversee essential administrative functions, such as budget management, records retention, timekeeping, and policy compliance. Your organizational skills will keep our office running smoothly.
4. Advocate for Excellence: Ensure that our attorneys and staff are equipped with the necessary training and continuing education to excel in their roles. Spearhead efforts to secure and maintain court appointment certifications and adhere to the Standards of Practice for Indigent Defense Counsel. Manage the performance of staff through regular evaluations and corrective action where necessary.

Qualifications
Juris Doctor (J.D) and Virginia State Bar admission, extensive criminal litigation experience, comprehensive knowledge of Virginia Criminal Law, Constitutional Law, and the Standards of Practice for Indigent Defense Counsel, considerable knowledge of management principles, demonstrated ability to effectively supervise subordinate staff, actively manage employee work performance and familiarity with agencies that interact with the Public Defender Office and a demonstrable commitment to quality indigent defense representation are required. The ability to fully utilize technology tools and systems. Extensive knowledge and understanding of VIDC Standards of Practice. The successful candidate will take advantage of opportunities to further the mission of the IDC through participation with local and state boards, organizations, and community groups. Being present in the office on a regular basis and maintaining physical attendance are considered crucial aspects of this job. A valid driver's license is required.

Redact medical bills for use at trial.
Schedule all trial-related meetings.
Calculate and calendar court deadlines.
File pleadings in state and federal courts, court of appeals, Virginia Supreme Court.
Manage and audit liens, including liens associated with ERISA, Medicare, Medicaid, and workers compensation.
Work within a case management system.
Other duties as assigned.
Qualifications:
3+ years Personal Injury plaintiff experience.
Experience in conducting Intake interviews with new clients.
