What You'll Do

Utilization of our banking software for various tasks including inputting deposits, inputting checks requested, reviewing the client's ledgers and more
Calculate and facilitate payment to referral sources following case closure
Deposit settlement and reimbursement checks into their corresponding account and ensure deposits are properly input into Quickbooks, EasyTrust, and Filevine
Collaborate with team members to ensure that checks are processed (deposits, mailed, void, etc.) in a timely fashion and no checks become stale dated
Collaborate with team members on additional administrative tasks including phone calls to providers, following up on tasks, and assisting on various projects as necessary
Meet with clients to give them their checks and have them sign off on the receipt of their check and scan to file
Help with prepared disbursements to make sure they are an accurate accounting of the proposed or final settlement proceeds which ensures our clients are being given accurate information for the distribution of their settlement money when our clients talk to their attorney. Request checks, merge letters with providers, and then scan those checks and letters to the client file

Role Overview:
The Administrative Assistant has two primary responsibilities. Client Document Coordination:

Appointment and Schedule Management:
Assist the Intake Coordinator with new client appointments, manage changes and updates while optimizing attorney schedules. Communicate any changes in appointments or delays to both clients and staff.
Office Maintenance and Supplies:
Keep the reception area orderly, creating a professional and welcoming environment. Ensure essential office supplies are stocked and available, particularly at the front desk.
Team Collaboration & Support:
Work in tandem with the entire administrative team, aiding in seamless communication and operations.
Act as an alternate for the other Admin Assistant when needed.
Security and Confidentiality:
Monitor and control access to private areas of the office, ensuring only authorized personnel enter.
Maintain the highest level of client confidentiality, especially when handling sensitive documents or information.
General Administrative Duties:
Provide support with common administrative tasks such as faxing, data entry, and offering refreshments to clients. The role is structured to ensure the efficient and client-friendly operation of the firm's front end while supporting the broader administrative team.
