Our client, a top national defense litigation firm, is hiring a Legal Secretary to support their Boston team. This associate will be responsible for multi-attorney support and calendar management, preparing court filings, performing legal research, and retrieving medical records. Candidates must have 2+ years of relevant legal support experience (including e-filing and Westlaw legal research experience) and exceptional communication and organizational skills. Prior experience with medical malpractice defense or insurance defense is strongly preferred.
RESPONSIBILITIES:
Provide day-to-day administrative and legal support to litigation attorneys
Prepare, format, proofread, redact, and organize legal documents and exhibits
E-file documents in state and federal courts and ensure compliance with court rules and filing procedures
Maintain organized electronic and physical case files throughout the litigation lifecycle
Open and manage new matters; assist with ongoing case documentation

Provides administrative and logistical support to the General Counsel and the Legal Department including but not limited to receiving and screening calls, arranging conference calls, receiving visitors, coordinating and scheduling meetings, preparing agendas and confidential correspondence, reserves and prepares conference rooms and handles other special projects as assigned.
Provides administrative support to the General Counsel and Legal Department related to the MCCA's Designer Selection Board including but not limited to meetings, scheduling vendor and contractor interviews, initiates posting to MCCA website and prepares invoices for MCCA Designer Selection Panel members' services, preparing and assisting with all procurement correspondence including but not limited to contract award letters, notice to proceed letters, rejection letters. etc.
Provides IT assistance when requested on formatting, editing, and typing documents.
Obtain, track and file MCCA and Show Event insurance certificates.
Reads and routes incoming mail. Locates and attaches appropriate files to correspondence to be answered by Legal.
Tracks all public records requests and works with MCCA attorneys to ensure compliance with the Massachusetts Public Records Law deadlines.
Processes all legal invoices through the MCCA's Business Central finance system
Schedules, coordinates, and prepares for MCCA Board of Directors Meetings, including preparation of confidential correspondence, presentations, reports, agendas, notices, and resolutions.
Assists with all aspects of Board of Directors, and miscellaneous subcommittee meetings and works with MCCA attorneys to ensure compliance with the Open Meeting Law.
Acts as coordinator for executive meetings to ensure all needs are communicated to proper personnel.
Acts as Liaison between the MCCA and the Members of the Board and/or other MCCA Staff.
Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records in accordance with the applicable, rule, policy, regulation and statute.
Assembles claims and investigatory materials and files same with insurance broker
Conducts research, compiles statistical reports, confidential correspondence, and other complex documents
Works independently on special projects as needed.
General Support:
Develops a comprehensive knowledge and understanding of the Authority's locations and business activities.
When appropriate, attends Board Meetings and department staff meetings; takes, transcribes, and distributes meeting minutes.
Maintains Authority Minute Books and filings.
Maintains Authority Briefing Book for onboarding new MCCA Board Members.
Distributes materials to MCCA Board via email, Teams Meetings and utilizing the project management tool, Basecamp.
Initiates Financial Management System process.
Organizes and maintains department file systems and files correspondence and other records.
Office Management:
Coordinate the necessary coverage and support to maintain a smooth office operation as well as assist in training other support staff, including temporary workers, as needed.
Delegates work to office clerical personnel as needed.
Analyzes and organizes office operations and procedures such as filing systems, requisition of supplies, and other clerical services to maximize productivity.
Evaluates and makes recommendations concerning effectiveness and cost efficiency of automated equipment.
Maintains and updates office attendance utilizing attendance system for Executive Office as needed.
Performs other duties as assigned.
MINIMUM ENTRANCE REQUIREMENTS:
Minimum of 5-10 years of relevant experience supporting high-level executives in a confidential environment; some of this experience may be substituted with post-secondary education or certification (e.g., Bachelor's degree, paralegal certificate).
Strong organizational skills, discretion, and ability to manage multiple tasks under pressure.
Detail-oriented, team-oriented, and able to communicate effectively at all levels.
Experience with public boards or state/local government preferred.
WORK SCHEDULE:
Standard business hours, with the understanding that schedules may vary based on operational needs. This may include occasional evenings, weekends, or travel, as required. Occasional travel to MCCA facilities is required. Travel to relevant conferences or external events may also be necessary based on business needs.
All positions within the MCCA are designated as on-site roles. As such, this position requires in-person attendance five days per week. Remote or hybrid work arrangements are not part of MCCA's operational model.
DRESS CODE:
Business formal. Employees are expected to project dignity and decorum appropriate for public-facing leadership roles through professional dress and grooming.
PHYSICAL REQUIREMENTS:
This position primarily involves sedentary office work with frequent use of standard office equipment and occasional movement around MCCA facilities. The role may require attending off-site meetings and events, and occasionally lifting or carrying materials up to 15 pounds. Provide a variety of direct legal support assistance services to include:

In preparation of documents, considers the nature and the status of the case involved.
* Proofread and edit drafts of legal documents such as motions, orders, correspondence, discovery requests and responses, and other pleadings. Complete variable aspects of preparing recurring legal documents that conform to the rules governing their style and format.
* Electronically file documents on behalf of and at the directive of the attorneys with the appropriate state or federal court, applying knowledge of local court rules and practices.
* Provide assistance with trial preparation by performing duties such as independently compiling trial notebooks and witness and exhibit lists.
* Prepare and track grand jury subpoenas and returns. Aid in processing and organizing legal data and other supportive material. Organize, process and copy documents in accordance with requirements. Assemble record materials for court filings.
* Compose original letters that require a good working knowledge of legal procedures and specialized terminology, e.g., transmittal of pleadings, requests for extensions of time in certain cases, advising of actions taken or developments in cases referred by other federal departments and agencies, and notices to attorneys representing defendants.
Provide a variety of ancillary office support functions requiring some subject-matter knowledge of the United States Attorneys programs and operations. Typical assignments may include the following:
* Perform docketing duties such as opening, updating and closing cases through use of the automated case tracking system. As necessary, searches database for required information.
* Obligate funds for litigation expenses and monitors for continued necessity.
* Review bills and invoices and submits to budget office for payment.
* Maintain calendar of assigned active cases. Track filing, hearing, and trial dates, and scheduling conferences and interviews. Develop and maintain suspense system for ongoing cases and informs the attorneys of pending dates and deadlines. Maintain calendar(s) of the attorney(s), scheduling appointments, interviews, and conferences, and provides reminders of commitments and court appearances.
* Assemble the physical files and electronic files for new cases by filing materials in chronological order, preparing and printing conflict of interest sheets for assigned attorneys, and numbering the initial case materials and discovery. Upon receipt, send additional discovery to outside parties as directed by the assigned attorney.
* Prepare files for closing by putting the documents in chronological order, ensuring that the relevant documents are in the file, and prepare a closing sheet for the assigned attorney's signature.
* Receive visitors, answer telephone and refer callers to staff members or take messages as appropriate. Deliver to and retrieve papers from the federal courthouse. Furnish requested information concerning pending and closed matters and cases, functions and general procedures of the office. Determine which matters should be referred to the AUSA and the urgency of the matter.
* Attend meetings and trainings as may be required and appropriate.
* Produce a variety of written documents and materials utilizing a wide range of office software applications, such as MS Word, MS Excel, MS Outlook, MS Access, Adobe Acrobat Professional or other databases. For example, assignments may include integrating output from different software types, e.g., tables produced by database applications and charts and graphs produced by electronic spreadsheet applications, into word processing or desktop publishing text. Products include complicated tables, graphs and charts, which may be incorporated into legal documents or courtroom presentations. Ensures all documents contain the proper format, spelling, punctuation, capitalization, and grammar.
* When appropriate, provide automated litigation assistance to attorneys in trial preparation and courtroom presentations, including transcribing dictation. Utilize various software applications and graphics hardware such as scanners and plotters. Prepare documents, charts, and visual materials used in trials. Provide technical support e.g., enlarging charts and photographs, duplicating tapes and videos, and marking exhibits.
* Perform other related duties as assigned.
Qualifications:
* At least one year of specialized litigation experience required, however over three years is preferred.
* Specialized experience is defined as experience reviewing legal documents such as complaints, motions, orders, answers, pleadings, subpoenas, and libels for completeness of information; retrieving and assembling information for hearing and/or trial use, researching a variety of legal sources to obtain and/or verify information; maintaining file systems; and using automated software to produce legal related reports, documents, correspondence and related materials.
* Requires excellent written and oral communication skills.
* Should have hands-on familiarity with a variety of computer applications, such as MS Word, MS Excel, MS Outlook, and Adobe Acrobat.
* Ability to consistently deliver highest quality work under extreme pressure will be very important.
* Ability to obtain a Public Trust Security Clearance

AGENCY OVERVIEW
The Committee for Public Counsel Services (CPCS) is the state agency in Massachusetts responsible for providing an attorney when the state or federal constitution or a state statute requires the appointment of an attorney for a person who cannot afford to retain one. The agency provides representation in criminal, delinquency, youthful offender, child welfare, guardianship, mental health, sexually dangerous person, and sex offender registry cases, as well as in appeals and post-conviction and post-judgment proceedings related to those matters.
CHILDREN AND FAMILY LAW DIVISION OVERVIEW
Children & Family Law Division
Interns will assist lawyers and work closely with social workers to represent children and parents in cases in which the Department of Children and Families (DCF) removes children from their homes because of claims of neglect or abuse. This unit also provides lawyers to children and parents in child requiring assistance (CRA) cases.
