Manages calendars for attorneys, ensuring all details are anticipated, arranged and well-coordinated, including, among other things, all meeting logistics (AV requirements, catering, other special needs) and preparation of meeting minutes. Preparing or coordinating copy and print jobs, reviewing for accuracy; and coordinating mail/shipping needs. Maintaining accurate and well-organized physical and electronic files. Displaying a cooperative spirit and fostering a positive work environment; working collaboratively as part of the support team, proactively backing up other department members; ensuring accuracy and completeness of all work being produced by a team of which the legal assistant is a part; assisting co-workers with overflow. Works independently with confidence, knows when to reach out for supervision; conveys a poised, positive, professional image to attorneys, staff and visitors, and takes pride in being part of Brown University Health and its law department. Embraces new technical solutions and incorporates them into new and existing processes; attends available training to maintain required skill level of software applications. Provides information or resolves matters according to established policies, with an ability to draw on knowledge of Brown University Health's departments, hospitals and relationships with outside agencies and organizations. May help monitor budget, review purchase requisitions and maintain accurate financial records on departmental expenses. May assume regular responsibility for recurring projects or programs requiring knowledge of department or corporate operations and the use of independent judgment. Maintain office supplies, reordering at consistent with needs and budgeted allowances. Performs other related duties as required. BASIC KNOWLEDGE and EXPERIENCE: At least 2 years of experience as a Legal Secretary or in a similar role within a law firm or legal department of a corporation. Proficient in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook (email and calendar), OneNote, Teams, and OneDrive. Proficient in Adobe.
