What You'll Do
Processing all settlement checks, deposits, stop payments, voids, and charge backs
Process invoices and apply charges to corresponding client cases and note client files
Review and print check requests, importing check information into Quickbooks, EasyTrust, and Positive Pay (all banking software we utilize)
Utilization of our banking software for various tasks including inputting deposits, inputting checks requested, reviewing the client's ledgers and more
Calculate and facilitate payment to referral sources following case closure

Request checks, merge letters with providers, and then scan those checks and letters to the client file

Support a sophisticated practice handling matters in Real Estate.
Assist with making edits to and proofreading correspondence, contracts, agreements, and other complex documents in draft and in final form.
Prepare, submit, and maintain weekly time records.
Set up, maintain, and ensure that files are kept current including classifying, arranging files, filing, and storing information.
Monitor, prioritize, organize, and facilitate daily workflow to meet project deadlines. This includes all administrative tasks including scheduling meetings, calendar management, processing expense reimbursements etc.
Maintain e-mails and documents on Document Management System (DMS) as determined by attorney and paralegal.
Act as liaison for attorneys and all office service departments, including Accounting, Business Development, IT, and Docketing & Records.
Drafts basic documents and filings
The Ideal Candidate:
3+ years of legal assistant experience (real estate experience strongly preferred).
Strong document production background with the ability to identify inconsistencies/discrepancies.
Excellent command of English grammar, syntax, and professional writing standards.
Strong working knowledge of Microsoft Office; experience with legal billing systems a plus.
Ability to prioritize tasks, manage deadlines, and remain adaptable under competing demands.
High degree of professionalism, confidentiality, and interpersonal skills.
Demonstrated ability to build effective working relationships with attorneys, staff, and clients.

Your Role: Key Responsibilities
Provide administrative and clerical support to attorneys and paralegals
Draft, proofread, and format legal correspondence and basic documents
File and serve legal documents, including e-filing with California courts
Maintain and organize case files, both physical and electronic
Manage attorney calendars, schedule hearings, and track deadlines
Communicate professionally with clients, courts, and internal staff
Prepare and process outgoing mail, scanning, copying, and data entry
Assist with discovery preparation and document production
Support high-volume caseloads while maintaining accuracy and attention to detail
Follow established procedures consistently and effectively
Use Microsoft Office and law office software proficiently
Qualifications
1-2 years of legal assistant or administrative legal experience preferred
Strong written and verbal communication skills
Experience with California court systems and e-filing is a plus
