Position Overview
Reporting to the Manager Health Services - Mental Health & Addictions, the Administrative Secretary is responsible for the provision of confidential, complex clerical, secretarial and administrative support to the respective site(s), programs and portfolio. The incumbent is responsible for reception, organizing and maintaining work processes and records, as well as data management, preparing correspondence, reports and other documents, scheduling, coordinating meetings and other special events, transcription and presentations while managing the Regional Manager's schedule.

POSITION SUMMARY:
The Floating School Secretary/Substitute Teacher supports daily school office operations at various locations across the school district. This position serves as a substitute or supplemental school secretary. Duties include reception, attendance tracking, recordkeeping, data entry, and communication with staff, students, and parents. This position also serves as a substitute teacher in the classrooms when additional support in a school office is not required.
MINIMUM QUALIFICATIONS:
Minimum of 60 semester hours of college credit required
Prior experience working with youth in an educational setting preferred
Prior administrative or school office experience preferred
Experience with PowerSchool is a plus
SKILLS AND ABILITIES:
Excellent verbal and written communication skills
Proficient in Google Suite and office equipment (copiers, fax, phone systems)
Strong organizational skills and attention to detail.
Ability to multitask and prioritize in a fast-paced environment.
Flexibility to adapt to different school settings and team
Ability to maintain professionalism and confidentialit
Ability to manage student behavior in a fair and respectful manner
KEY RESPONSIBILITIES:
Serve as a front desk receptionist: greet visitors, answer phones, and direct inquiries appropriately.
Maintain accurate student attendance records and enter data into the student information system.
Provide clerical support to school administrators and staff, including typing, filing, copying, and managing correspondence.
Maintain confidentiality of sensitive student and staff information.
Monitor and replenish office supplies as needed.
Provide support for events, communications, and scheduling as directed.
Ensure compliance with district policies and procedures.
Travel to and work at different school sites as assigned, sometimes on short notice.
Serve as substitute teacher at different school sites as assigned, sometimes on short notice, when extra support in the school office is not required.
WAGES:
$16.16 per hour for days scheduled as school secretary substitute
$150 per day for days scheduled as substitute teacher
