What to Expect:
JOB DUTIES AND RESPONSIBILITIES may include:
* Participating in the investigation of administrative complaints and developing an investigation plan for cases involving violations of State Education Law 6530
* Obtaining, reviewing, tracking, and documenting all necessary investigative materials and
activities in relevant databases and software applications
* Preparing an investigative summary report for all investigations
* Coordinating, researching, preparing, and proofreading responses for review and approval
related to Freedom of Information Law (FOIL) requests
* Coordinating, researching, preparing, and proofreading Executive Correspondence Unit (ECU)
inquiries received from the Governor's or Commissioner's Offices
* Coordinating and following up on the provision of all subpoenas needing to be requested or
responded to by gathering all relevant materials, conducting any necessary research, preparing
all documentation, and communicating where necessary with external stakeholders, or the
Board for Professional Medical Conduct or Division of Legal Affairs for review and approval
* Presenting investigations before an Investigations Committee of the Board for Professional
Medical Conduct
* Conducting in-person and telephone interviews of complainants, witnesses, and subjects of
investigation
* Telephone communication to/from licensees, attorneys, complainants, facilities, or other
external stakeholders
* Drafting and proofreading correspondence to subjects, witnesses, complainants, facilities, or
other external stakeholders related to a complaint or investigation
* Coordinating, tracking, and responding to inquiries made through the relevant Bureau Mail Log
(BML)
* Preparing, tracking, disseminating outgoing and incoming mail
* Maintaining and coordinating the scheduling of meetings or other conferences, as well as
assisting with technological needs during meetings and conferences 4
* Scanning of various documents such as medical records, quality assurance files, and others to
be saved in electronic format, place them in proper files, and distribute them to appropriate staff.
* Other responsibilities as assigned by the supervisor.
MINIMUM QUALIFICATIONS:
* Proficiency in legal terminology or investigative techniques
* Proficiency of Microsoft Office Suite programs including, but not limited to Outlook, Word, Excel, Access, and PowerPoint
* Proficiency in web-based applications and databases
* Excellent written and oral communication
* Strong ability to manage multiple tasks, prioritize effectively, maintain organized files, and meet deadlines

Duties Description The New York State Education Department's Office of the Professions (OP) is seeking candidates for the position of Executive Secretary for the State Board for Nursing. Under the direct supervision of the Executive Coordinator for Professional Practice, the Executive Secretary performs leadership, liaison, and coordination tasks for a broad range of activities related to the profession of nursing. The Board for Nursing has responsibility in licensing, disciplining, and providing scope of practice determinations for more than 570,000 Registered Nurses, Licensed Practical Nurses and Nurse Practitioners. The incumbent will manage the board office staff and will be a key policy advisor in the OP. Duties of this position will include, but not limited, to the following:
* Provide assistance to the Board of Regents through the State Education Department by: 1) developing requirements for licensure; 2) reviewing and evaluating applications for licensure; 3) assessing professional practice issues; 4) convening disciplinary panels; and 5) other matters regarding professional regulation;
* Confer with OP management staff, as well as, with State and national associations on matters related to practice, professional training, licensure, and other related matters;
* Interview and recommend prospective Board members to the Department and the Board of Regents;
* Provide support for the State Boards, including preparation of State Board agendas, minutes, and reports;
* Participate in conferences and other activities relating to professional training, licensure, or practice;
* Prepare responses to numerous requests from the field for information regarding licensure or practice;
* Provide technical guidance on legislative proposals;
* Develop reports on professional matters and participating in the Department's implementation of the Board of Regents strategic plan;
* Respond to inquiries from other agencies or individuals and manage the Board Office;
* Work collaboratively with other OP staff to develop application materials, consumer information, plain language information for licensees, and materials for the OP Web site;
* Coordinate the work of other Professional State Boards as determined by the Deputy Commissioner of the Professions; and
* Coordinate and assist with other Professional State Boards as assigned.
Minimum Qualifications MINIMUM QUALIFICATIONS: Candidates must be licensed as a Registered Professional Nurse (RN) in New York State with a current registration with the Department AND possess a master's degree AND seven years of progressively responsible administrative leadership experience. Three of the seven years of experience should be in a position involving lead responsibility for program and/or policy matters. Candidates must be able to demonstrate superior skills in oral and written communications, and especially in developing plain language information to communicate effectively with applicants, licensees and the public. Candidates should demonstrate public speaking skills; knowledge of current practice and research in the professions; and general research and survey skills.
PREFERRED QUALIFICATIONS:
Preference may be given to candidates who have:
* Knowledge of the role of technology in the professions and in creating effective/efficient communications and processes;
* Experience with governmental, educational, or regulatory boards;
* A dedication to public protection; and
* A broad, well-developed array of administrative skills, with a background in public administration.
Additional Comments CONDITIONS OF EMPLOYMENT:
This position is in the exempt jurisdictional class, and the incumbent will serve at the discretion of the Commissioner of Education. Promotions and transfers may change appointee's negotiating unit. Applicants should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. This position allows for the opportunity to telecommute up to 30% each bi-weekly pay period and is granted at the discretion of the supervisor and the appointing office. This position will require 10% in-state/Statewide travel. Filling of this position is contingent on Division of the Budget approval.

Job Summary:
Administrative Secretary performs a variety of administrative and clerical duties to support to the Director of Employment Services, our departmental managers and employees while assisting in daily needs of the employment service department regarding general administrative activities. Ensures submission of and tracks all supporting documentation of billing documents, communicating any concerns to the Director. This position also covers the agency's main switchboard mornings from 8 a.m. - 12 p.m.
Job Qualifications:
High school diploma/GED with 2 years clerical experience or Associates degree
Experience and proficiency with MS Office (Word, Excel, Outlook, PowerPoint)
Excellent organizational and communication skills
Must be able to read, write and speak the English language.
Major Responsibilities:
Complete necessary administrative duties for the Directors of Employment Services & Industrial Operations such as maintaining electronic calendars, establishing/monitoring appointments, preparing meeting agendas, taking meeting minutes.
Monitor and reconciling timecards within Kronos as requested for department managers
Responsible for tracking, cross checking and distribution of billing documents. Maintains billing tracking system and follows up as required.
Generate and monitor E-reqs and work orders as needed or requested
Process and distribute mailings, assist with filing and record keeping.
Act as Liberty Receptionist as requested.
Attend trainings as required and/or needed.

Summary
The Paralegal will support contract services with contract review and editing. Additionally, this position will support both the General Counsel and Contract Manager. This position will also manage claims including contacting insurers to prepare for litigation.
Responsibilities
Support the Contract Manager and General Counsel with contract- related activities
Serves as a primary point of contact for Contractors and internal customers regarding contracting activities

The Role:
This role will collaborate directly with both the Chief Legal Officer & the General Counsel and will have the opportunity to work on various workstreams within the legal department.
Review and support drafting of contracts (including NDAs), onboarding documents, and certifications for clients/counterparties.
Support the formation, maintenance, qualification, and dissolution of corporations, LLCs, LPs, and other entities; prepare necessary state filings.
Maintain corporate governance records, including minute books, resolutions, consents, and organizational documents.
Coordinate with corporate service providers regarding registered agent services and annual reports.
Assist with closing documents, checklists, signature packets, and post-closing binders for transactional matters.
Provide administrative and document support to attorneys, including drafting, editing, proofreading, and formatting.
Assist with contract lifecycle management activities, including approval workflows, signature coordination, and repository maintenance.
Conduct legal and regulatory research as needed.
Support compliance certifications, regulatory filings, and KYC/AML documentation requests related to prime brokerage and investment banking activities.
Perform notarizations and coordinate digital/wet signatures as needed.
Contribute to process improvements and departmental efficiency projects.
Perform other paralegal functions as assigned and assist with ad hoc legal initiatives.
Experience/Skills:
At least five (5) years of professional experience as a paralegal supporting corporate governance, entity management, and transactional matters; experience inside a financial services or broker-dealer or supporting those businesses is preferred but not mandatory.
Bachelor's degree or paralegal certificate, or relevant business experience required.
Proficiency in Google Workspace, Word, Excel, PowerPoint, and willingness to learn new technologies; familiarity with CLM tools (e.g., LinkSquares, Ironclad) and e-signature platforms.
Ability to manage a high-volume workload, prioritize effectively, and meet deadlines with minimal supervision.
Self-starter with strong relationship-building skills across internal teams, clients, and outside counsel.
Strong attention to detail, proofreading, and organizational skills.
Ability to perform legal and regulatory research.
Excellent written, verbal, and interpersonal communication skills.
Ability to handle sensitive information professionally and confidentially.
New York Notary Public qualification (or willingness to obtain) is a plus.
The Base Salary Range for this role is $120,000 - $150,000. This range is representative of the starting base salaries for this role at Clear Street. Where a candidate falls in this range will be based on job-related factors such as relevant experience, skills, and location. This range represents Base Salary only, which is just one element of Clear Street's total compensation. The range stated does not include other factors of total compensation such as bonuses or equity.
