Skills & Competencies:
* Proficiency with rules for court document filings

Service Minds is seeking a highly organized, detail-oriented In-House Paralegal to support our Legal and Compliance function across a multi-brand residential skilled trades organization (Electrical, HVAC, Plumbing). This role works closely with the Chief Compliance Officer and partners cross-functionally with HR, Operations, Safety, Fleet, Finance, and external counsel.
The primary focus of this role is claims reporting, documentation, and coordination, with additional responsibility supporting compliance initiatives, legal workflows, risk management efforts and insurance renewals. The ideal candidate is comfortable operating in a fast-paced, operational environment and can manage sensitive matters with sound judgment, discretion, and professionalism.
Key Responsibilities
Claims & Risk Support
Manage and support claims reporting and processing, including vehicle accidents, general liability, workers' compensation, and other operational claims
Ensure claims are reported accurately, completely, and on time, in coordination with insurers, brokers, and internal stakeholders
Track claim status, documentation, deadlines, and follow-ups through resolution
Maintain organized claim files and supporting documentation
Legal & Compliance Support
Support the Chief Compliance Officer with day-to-day legal and compliance matters
Draft and prepare correspondence, notices, forms, and routine legal documents
Assist with legal research related to employment law, safety, fleet, contracts, and regulatory compliance
Help monitor compliance with applicable laws, regulations, and internal policies
Cross-Functional Coordination
Partner with HR, Operations, Fleet, Safety, and Finance teams to gather information related to claims, investigations, audits, and legal inquiries
Coordinate with outside counsel, vendors, and insurance partners as needed
Support internal initiatives related to risk reduction, safety programs, and compliance improvement
Document & Process Management
Maintain legal department filing systems, databases, and document management tools
Help standardize workflows, templates, and tracking tools for claims and legal matters
Assist with special projects and process improvements that increase efficiency and consistency
Qualifications
Required
Paralegal certification or equivalent relevant experience
Strong understanding of legal terminology, legal processes, and document drafting
Excellent organizational skills with strong attention to detail
Strong written and verbal communication skills
Ability to manage multiple priorities and meet deadlines
Preferred
Experience in a corporate legal department, insurance defense, or civil litigation
Experience with claims management, risk, safety, fleet, or employment-related matters
Familiarity with Microsoft Office, document management systems, and legal tracking tools
Experience supporting cross-functional, operational teams
Work Environment
This is a hybrid position with up to two remote workdays per week. In-office days focus on collaboration with Legal, HR, Operations, and Compliance partners. The role requires professionalism, discretion, and comfort working with sensitive and confidential information.
