    Medstar Ambulance 3.8company rating

    Clinton, MI job

This role sits at the center of our EMS education, onboarding, and compliance world. If you like organized chaos, meaningful details, and being the person everyone relies on to keep things moving, this job may be a great fit. We're looking for a highly versatile Administrative Assistant in our Education and Training department, with shared responsibilities in our Orientation Program. Think part administrative assistant, part licensing and compliance specialist, and part problem solver. This person keeps our education programs compliant, our new hires supported, and our training records up to date and accurate. EMS or RN experience is a big plus because understanding how the system works matters here. You'll work closely with education and HR leadership, department managers, and new team members. Some days you'll be coordinating orientation logistics. Other days you'll be deep in certification tracking or pulling reports that help leadership see how our programs are performing. This is not a desk-only role. It's hands-on, fast-moving, and important. What You'll Do Support New Hires and Orientation You'll help new team members get started the right way. That includes collecting uniform sizes, issuing uniforms and equipment, managing assigned inventory, setting up classroom assignments and LMS access, scheduling orientation presenters, and working with Operations leadership to ensure smooth advancement of our new team members. Manage Uniforms and Equipment You'll oversee uniform and EMS stock inventory, place orders, track costs, process returns, manage fund balances, and keep an eye on pricing trends. Keep Education and Licensing Compliant You'll maintain EMT and Paramedic student files, track certifications, upload credentials into TraumaSoft, manage course logistics, and support paramedic program registration. You'll also track fit testing, health records, and continuing education audits for license renewal. Track Data That Actually Matters You'll monitor and report on student and employee metrics like pass rates, attrition, retention, length of service, and reasons for departure. You'll manage attendance and payroll tracking for education programs and maintain an analytics report that leadership can rely on. Support Broader Operations You'll ensure annual Medical Control requirements are completed. You'll also conduct audits across your areas of responsibility to make sure we stay compliant and ahead of issues. What We're Looking For You're organized, detail-oriented, and comfortable juggling multiple priorities. You don't panic when things change and you're comfortable working with data, systems, and people. You know how to follow rules and also understand why they exist. Experience in EMS education, clinical operations, or healthcare licensing is a strong advantage. EMT, Paramedic, or RN experience is especially valuable. Familiarity with Microsoft Office, LMS platforms, task and inventory management systems is extremely valuable. Most importantly, you care about doing things right. Our crews depend on this work, even if they don't always see it. If you want a role where your organization skills directly support patient care, education, and workforce readiness, we'd like to hear from you.
