Position Overview
The Executive Assistant serves as the primary administrative and operational partner to the Advisor, providing comprehensive business support and limited personal assistance with the highest level of professionalism and confidentiality.
This role goes beyond traditional administrative tasks: the Executive Assistant manages priorities, anticipates needs, maintains systems, and ensures the Advisor's time, focus, and workflow are optimized. The ideal candidate is detail-oriented, self-directed, and comfortable operating independently in a professional services environment. Previous experience within Ameriprise Financial is highly valued.
Key Responsibilities
Executive & Administrative Support
Manage inbound email and communications, prioritizing and escalating as appropriate
Manage the Advisor's calendar, including client meetings, internal meetings, and travel coordination
Proactively anticipate needs and independently manage administrative workflows
Provide discreet personal administrative support as needed (e.g., personal email, scheduling, or errands) with strict confidentiality
Operations & Workflow Management
Maintain documentation, CRM data entry, and task tracking
Oversee operational workflows, including task prioritization, project support, and client-service coordination
Support meeting preparation, materials, and follow-up
Client Service & Office Support
Support phone coverage by answering and routing calls/messages
Assist with client communications and administrative follow-up
Provide general administrative support, including scheduling, email management, task assignments, and follow-up documentation
Qualifications
5-7+ years of experience as an Executive Assistant or in a similar role, ideally within financial services, wealth management, or professional services
Previous experience with Ameriprise Financial is highly preferred
Bachelor's degree preferred but not required
Exceptional organizational skills and strong attention to detail
High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams); experience with Salesforce or similar CRM systems preferred

Scope and Responsibilities
The Vice President will be responsible for executing and supporting operational activities within the private credit deal lifecycle, and will have a deep understanding of the processes, documentation, data management, and counterparty communication required to execute transactions and administer assets post-close. The candidate will work closely with investment professionals, legal and compliance, accounting and tax, technology, and reporting teams.
Key Responsibilities Include:
Act as a key member of a dedicated middle office team that serves as a hub for private deals and facilitates private deal closing activities;
Coordinate with internal stakeholders and external counterparties to ensure accurate and efficient deal fundings, asset set up, investment monitoring and reporting accuracy;
Review private deal pipeline on a regular basis to ensure that all deals are tracked in a timely manner;
Analyze legal documents, such as credit agreements and fee letters, to identify critical terms for each private deal;
Assist in managing all banking, custodian and facility relationships across the credit platform;
Oversee outside stakeholder reporting and communication with banks, rating agencies, co-investors, auditors, or other parties;
Develop a complete understanding of the roles and responsibilities, systems and processes across each internal functional group, and serve as a central point of contact between the Investment Team and the back office;
Partner with investment professionals, outside and internal counsel, tax, accounting and compliance professionals to ensure good cross-functional communication and coordination throughout the investment process;
Participate in developing and documenting operational policies, procedures and controls;
Ensure proper operational procedures and controls are followed and maintained, with appropriate escalation to stakeholders;
Support document management for private credit deals;
Analyze process issues and bottlenecks to make improvements; and
Assist in process improvements and automation as well as the development of longer-term systemic solutions,
Qualifications
8+ years of relevant experience working in an operations capacity at an asset management company, investment bank or other financial services company;
3+ years of experience in private credit investment operations and middle-office support, including experience reviewing private credit documents (credit agreements, amendments, etc.) for key terms, data points and operational nuances;
Strong knowledge of private credit fund concepts across a range of strategies, including corporate direct lending. Extensive knowledge of BSL market is a plus;
Strong knowledge of general finance, process documentation and cross functional operations;
Solid analytical skills and ability to understand and resolve complex problems;
Proficient in Microsoft Office with strong working knowledge of Microsoft Excel; and

Responsibilities
This role will be aligned to Oaktree's liquid credit platform. This individual will support these strategies, at the direction and under supervision of our senior product specialists, to help support fundraising strategy and development/ongoing enhancement of marketing collateral. The candidate will be expected to develop internal subject matter expertise regarding our strategies' approach, areas of focus and portfolios. This position will also benefit from the resources of the broader product specialist team at Oaktree.
Selected responsibilities include:
Product Strategy
Contribute to the design, creation and management of product reporting and collateral for internal and external consumption, including performance/market commentary and other investor communications (e.g., presentations, factsheets, quarterly reports, insights pieces, talking points etc.)
Respond to or provide information on product- or strategy-specific inquiries and requests under the direction of Product Specialist professionals
Understand the strategy(ies) or product(s), market(s) and operational structure(s) to be able to draft responses to investor inquiries where appropriate
Coordinate with the appropriate internal resources when information is not readily available
Support technical product/investment-related investor requests and the completion of due diligence questionnaires in partnership with Oaktree's diligence and reporting team
Develop subject matter expertise for the relevant strategies, including: philosophy and approach, markets and areas of focus, sustainability integration, competitors, portfolio composition and performance, among others.
Assist with product-related investor calls and meetings, including new business development pitches, portfolio reviews, and small-scale events
Assume project management responsibilities related to new product launches or other initiatives
Ensure all communications are fully compliant with industry regulations and firm standards
Product Development
Support the preparation of market research on current and prospective product offerings
Support the formation and oversight of separate accounts designed to achieve client needs and objectives
Develop internal materials or analysis to support new product ideas
Qualifications
1-3 years of relevant experience preferably within an institutional asset management, investment banking, consulting or product management role; prior client-facing experience is a plus
Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word), with the ability to create both client-facing and internal deliverables
Strong project management and teamwork skills, including the ability to manage multiple projects simultaneously and work collaboratively within a team environment
